OPERA Controls — Front Desk

The following tables outline the functions, parameters, and settings that can be configured in the OPERA Controls Front Desk group.

ADVANCE CHECK IN

Master control that activates the Advance Check In functionality, which provides the option of flagging one or multiple arrival reservations as Advance Checked In reservations with the option to also record the estimated time of return to the property. Housekeeping is alerted of the ETR when performing their tasks.

Note:

Pseudo room reservations cannot be identified for Advance Check In.

Note:

To flag a reservation for Advance Check In the reservation must have a valid payment method.

 

AUTO CHECK IN OF ADVANCED CHECKED IN RESERVATIONS

[AUTO_CHECK_IN_ADVANCE_CHECK_IN_RES]

Automatically checks in Advance Checked In reservations when the room housekeeping status of the reservation’s room number matches the room housekeeping status set in the Room Status for Auto Check In of Advance Checked In Reservations.

Available when Advance Check In function is Active.

When turned On makes the following available:

  • Room Status for Auto Check In of Advance Checked In Reservations setting

Enables the Auto Check In Processor in the Toolbox Utilities - Processors

 

EXPECTED TIME OF RETURN (ETR)

[EXPECTED_TIME_OF_RETURN]

Enables the option to provide an Expected Time of Return (ETR) and/or an Expected Time of Return Comment on reservations, and adds ETR search capabilities for arrival reservations when an ETR is provided.

Available when the Advance Check In function is Active.

Expected Time of Return value is in property time format.

Expected Time of Return comment allows up to 200 characters.

 

ROOM STATUS FOR AUTO CHECK IN OF ADVANCE CHECKED IN RESERVATIONS

[ROOM_STATUS_FOR_AUTO_CHECK_IN_ADVANCE_CHECK_IN_RES]

Defines the room housekeeping status (or multiple statuses) that triggers the Auto Check in for Advance Checked In reservations.

Available when Auto Check In of Advance Checked In Reservations parameter is turned On.

Values for the room housekeeping status are multi–select from all room housekeeping statuses available at the property.

Default list values are Clean and Dirty room status.

This list can also show values for Inspected, Pickup and Out of Service when their respective OPERA Control functions for “Inspected Status”, “Pickup Status” and “Out of Service” in Room Management are active.

Note: If a value is not set in the Room Status for Auto Check In of Advance Checked In Reservations setting, Advance Checked In reservations will not be automatically checked in even though the Auto Check In Advance Checked In Reservations parameter is On.

DO NOT MOVE ROOM

[DO_NOT_MOVE_ROOM]

 

Enables a Do Not Move flag on the reservation once a room is assigned. Only users with elevated privilege can remove the do not move flag and modify the room number value.

ENHANCED ROOM ASSIGNMENT

[ENHANCED_ROOM_ASSIGNMENT]

 

When active, users will have the ability to define the Rating/Points for specific Reservation attributes. OPERA Cloud will then use this logic when conducting a Room Assignment during Pre-Arrival planning or at the time of arrival.

Note:

Cannot be used in conjunction with AI ROOM ASSIGNMENT function or ROOM TYPE AUTO ROOM ASSIGN parameter.

GUEST LOCATORS

[LOCATORS]

 

Enables the ability to set a temporary location for a particular guest in order to inform other users, such as telephone operators, of the guests¿ current whereabouts on or off premises.

LOG IT

[LOGBOOK]

 

Enables the ability to create log book entries for various departments.

PRE-REGISTRATION CHECK IN

[INTERNET_CHECK_IN]

 

Activates the pre registration functionality, flagging the reservation as pre-registered for check-in through third-party mobile app or hotel website.

 

PRE-REGISTRATION EXTERNAL SYSTEM ALERT

[INTERNET_CHECK_IN_ALERT_CODE]

Stores the external system alert code used for alerts created for internet checked-in reservations.

 

PRE-REGISTRATION EXTERNAL SYSTEM TRACE

[INTERNET_CHECK_IN_TRACE_DEPT]

Stores the external system trace department code used for traces created for internet checked-in reservations.

SERVICE REQUESTS

[SERVICE_REQUESTS]

 

The ability to add a service request to guest and/or reservation for follow-up at a future date. Service Recovery is used to report incidents that occur and require actionable follow-up and subsequent closure by other staff members.

 

DAYS TO PURGE E-SIGNED REGISTRATION CARDS

Number of days for e-Signed Registration Cards to be purged after a reservation is checked out.

WAKE UP CALLS

[WAKEUP]

 

Enables the ability to setup PBX wakeup calls for reservations.

Complimentary badge.

ESIGN REGISTRATION CARD

Enable eSign Registration Card functionality on reservations for getting electronic Signature and Initials.

  • “Pseudo Rooms Not Checked In" executes prior to update of the business date.

  • “Pseudo Room Arrivals Next Day" executes after update of the business date.

Note:

Pseudo room types are not identified for Housekeeping to skip the check for Clean/Inspected status.

AUTO CHECK IN PSEUDO ROOMS AFTER CHECK OUT

Pseudo room type reservations indicated as "Always Checked In" in Reservation Payment Instructions are automatically copied and checked in after they are checked out. Only applies to pseudo room types setup for Always Checked In.

AUTO CHECK OUT

[AUTO_CHECK_OUT]

 

Auto Check Out provides the ability to initiate a process that will automatically post payments and settle billing windows for departing reservations and then proceed with checking them out. Folios or receipts will not be printed or emailed during this process.

AUTO DEPOSIT COLLECTION

[AUTO DEPOSIT SCREEN]

 

The deposit screen on reservations with existing deposit schedules will automatically appear when the user saves the reservation and it may also take the user one step further and automatically open the deposit payment form with deposit amount pre-populated based on configuration.

BLANK OUT METHOD OF PAYMENT FOR ARRIVAL RESERVATIONS

Blank out (remove) the method of payment during the check in process for arrival reservations without an existing credit card authorization.

GENERATE KEY PACKETS

Activates the key packets functionality which allows the Property to generate Key Packet labels for individual or block reservations.

MANDATORY ROOM MOVE REASONS

[MANDATORY_ROOM_MOVE_REASONS]

 

Activating this Parameter will make the Reason field mandatory on the Room Move screen.

REGISTRATION CARDS

[REGISTRATION_CARDS]

 

Activates registration card functionality.

 

DEFAULT REGISTRATION CARD

[DEFAULT_REGISTRATION_CARD]

Sets the registration card used by default for all check ins.

 

GENERATE REGISTRATION CARDS AT CHECK IN

[PRINT_REGCARD_AT_CI]

Generates registration cards at check in.

Valid values:
  • NEVER GENERATE

  • PROMPT TO GENERATE

  • SELECT DESTINATION

 

PRINT REGISTRATION CARDS FOR ACCOMPANYING GUESTS

Enables the printing of individual registration cards for each accompanying guest from a reservation.

The Registration Cards parameter and the Accompanying Guest function must be On for this parameter to be available.

 

AGE THRESHOLD TO PRINT REGISTRATION CARD

[AGE_THRESHOLD_TO_PRINT_REGISTRATION_CARD]

Guests for this age or older are eligible for an individual registration card when their profile is used as an accompanying guest.

Select a numeric value to represent the minimum age required for a guest to have an individual registration card.

The Print Registration Cards for Accompanying Guests parameter must be active for this setting to be available

RESERVATION ROOM FEATURES AND FLOORS

[RESERVATION_ROOM_FEATURES]

 

This parameter is used in conjunction with Room Feature and Floor preferences associated with reservations and profiles. When active, Room Feature and Floor preferences associated with the reservation are displayed in Room Assignment. When inactive, Room Feature and Floor preferences associated with the profile are displayed in Room Assignment.

RESERVATIONS SMOKING PREFERENCE

[RESERVATION_SMOKING_PREFERENCE]

 

If active when Assigning a room number for a reservation, populates the Smoking Preference filter based on the Reservation Smoking Preference, not the Profile Smoking Preference.

ROOM FEATURE VALIDATION

[ROOM_FEATURE_VALIDATION]

 

Enables an information message when the Room Features that are requested on a reservation/profile are not present in the configuration of the room that is being assigned (including Auto Assign), re-assigned or selected during a room move.

ROOM TYPE AUTO ROOM ASSIGN

[ROOM_TYPE_AUTO_ROOM_ASSIGN]

 

Enables an Auto Room Assign check box at property level in Room Type configuration.  By selecting the Auto Room Assign check box, OPERA Cloud will auto-assign a room number to new reservations when a reservation is made for the room type and a room has not been manually assigned for the reservation. This functionality will occur only for newly created reservations should this parameter be active.

Note:

 Cannot be used in conjunction with AI Room Assignment or Enhanced Room Assignment function.

SWAP/SHIFT ROOMS

[SWAP/SHIFT_ROOMS]

 

Allows the assigned room on two reservations, with matching room type and arrival date, to be swapped or shifted. A room can be shifted from one reservation to another, leaving one of the reservations unassigned.

TELEPHONE BOOK / OPERATOR

[TEL_BOOK_OPERATOR]

 

The telephone book is available to maintain contact information for local theaters, restaurants, taxi stands, airlines, churches, employee directory, other properties, etc. Use the Telephone Operator to perform reservation searches and to quickly manage guest messages, traces, wake up calls, and guest locators from a single screen.

AUTO ADVANCED BILL PAYMENT METHOD

Defines the payment method for the prepayment of the Advanced Bill. (Available when the Check In Prepay Rules OPERA Control is set to Advanced Folio Posting).

 

MINIMUM NUMBER OF NIGHTS

Minimum Number of nights to enforce Reservation Prepay Rules

 

PREPAY FOLIO

[PREPAY_FOLIO]

Enables credit card auto-settlement for reservation updates resulting in additional total cost of stay charges payable by the guest. Auto payment processing executes hourly and is based on the credit card details in Window 1. Payment activity is recorded in the changes log with Advance Payments action type.

CUSTOM CHECK IN STEPS

[EXPOSE_ADDITIONAL_CHECKIN_TRAIN_STOPS]

 

Allows adding steps to the Check In, and provides the option to set the order in which these steps show. The Room Selection and Review Payment steps are required and selected by default.

 

DEFAULT CHECK IN STEP

When the parameter is on, the Check In defaults to the first step selected in the Custom Check In Steps setting. When the parameter is off, the Check In defaults to the first step that requires attention. When no step requires attention, the Check In defaults to the Verify Payment step.

ROOM DISPLAY ORDER

In the room lookup screens, the order of the rooms displayed can be least used ascending, least used descending, back to back ascending, back to back descending, ascending, descending or by display sequence based on the parameter set here.

ROOM MOVE ROOM STATUS
