Configuring Membership Type Membership Handling

The Membership Handling Panel allows you to configure how items such as Membership Actions, External Database and Name behaviors should function.

Editing Membership Type Membership Handling

  1. From the Administration menu, select Client Relations, Membership Management, and then Membership Types.

  2. Enter search criteria and click Search.

  3. Select the membership type and click the vertical ellipse Actions menu and select Edit.

  4. Click Membership Handling.

  5. Click Edit and complete the following:

    1. Default Member Status: (Displayed only for Primary Memberships.) Select the default membership status to appear when this primary membership type is assigned to the guest profile. This status is informational only and can be changed on the Membership at any time.

    2. Membership Action: Select the Membership Action you would like for attaching memberships to a reservation:

      • Auto Attach: When a new reservation is created for a guest that has this Membership, the Membership and Number fields on the Reservation screen would automatically be populated.

      • Prompt if not Attached: A prompt displays if the Membership Type is not attached to the reservation. "Would you like to populate on to the reservation?"

      • Always Prompt: The Membership screen displays regardless if the Membership Type is attached to the reservation or not.

      • No Action. Membership must be attached manually and user will not be prompted. The New Reservation, Update Reservation, Check In, and Check Out check boxes become unavailable.

    3. Next select the lifecycle of the reservation when you want the membership action to be taken:
      1. New Reservation: Select if the Membership Action should be taken when the reservation is created.

      2. Update Reservation: Select if the Membership Action should be taken when an existing reservation is accessed.

      3. Check In: Select if the Membership Action should be taken at check in.

      4. Check Out: Select if the Membership Action should be taken when the reservation is checked out.

    4. Exclude Profile From Purge: Select to exclude profiles with an active membership of this type from the automatic purge utility. Selection of this option does not exclude profiles from being manually purged by users.

    5. Fulfillment: (Displayed only for Primary Memberships) Select to include this primary membership type when creating an export file for fulfillment. Ensure that the fulfillment checkbox on the Levels are also selected.

    6. Enrollment Code Required: Select if the Enrollment Code should be mandatory when enrolling a guest in this Membership type.

    7. Expiry Period: Enter the number of years (from 1 to 5 years if  Calculation Period is Rolling) or enter the number of years and month (if Calculation Period is Calendar) for membership card expiration. This value will be used to default the expiry date on the membership. Additionally, when the tier management process (including renewal) is run members eligible to be renewed will have their membership expiration date updated based on this setting.

    8. Externally Controlled: Select check box to identify that points calculation is managed in an integrated solution.

    9. External Database: (Displayed only if Membership Class = Loyalty) For Memberships with a Loyalty Class which is externally managed, select the database for the external system. For more information, see Validating Membership Numbers using an Integrated Solution

    10. Name Protected: (Displayed only for Primary Memberships.) Select to prevent the profile name from being updated when this membership type is attached to the profile.

    11. Alternate Name Protected: (Displayed only for Primary Memberships when the Alternate Name setting is active.) Select to prevent the profile alternate name from being updated when this membership type is attached to the profile. 

    12. Auto Populate Number From Name: (Displayed only for Primary Memberships.) Select to auto populate a membership number in Look To Book when a profile with this membership type is selected.

    13. Expiry Date: Enter an expiry date (Year/Month). (Available when the Loyalty Membership Configuration OPERA Control is active).

  6. Click Save.
