Managing Block Room and Rate Grid

Use the Room & Rate Grid to manage the original and current room allocation and associated rates (pricing) for a block; you can also view the pickup, pickup percentage and available rooms in the block allocation.

When the Block Contract Grid OPERA Control is active you can manage a separate Contract grid for output on the Sales Contract.

When the Block Forecast Grid OPERA Control is active, you can manage a separate Forecast Rooms and Forecast Rates grids for forecast reporting in R&A. The OPERA Cloud forecast reports do not consider the Forecast Room and Forecast Rate entries.

When the Allow Rate Editing with Rate Code OPERA Control is active, you can adjust the pricing per date and room type.

When the Cutoff OPERA Control is active, Cutoff Date or Cutoff Days can be entered for each room type / room pool. When the Cutoff Schedule OPERA Control is active, Cutoff Days are defined for the various room types in the block allocation according to the cutoff schedule selected in the block details. For more information, see Configuring Block Cutoff Schedules.

Room & Rate Grid Types

There are various block grid types available, depending on the status of the Block.

  1. House Availability: Displays general house availability.

  2. Original: Default value, and only available when the block is not in an Open-for-Pickup status. Displays the original room allocation, prior to status change.

  3. Current: Default value when the block is in an Open-for-Pickup status . Displays the current room allocation.

  4. Contract: Is for informational purposes and does not deduct rooms from inventory. The Contract grid is used in conjunction with the sales contract and can be manipulated without affecting any other grid. (Available when the Block Contract Grid OPERA Control is active).

  5. Forecast Rooms:  Displays the Forecast Rooms. Defaults with the Original grid when the Autoload Forecast Grid OPERA Control is active. (Available when the Block Forecast Grid OPERA Control is active).

  6. Forecast Rates: Displays the Forecast Rates. Defaults with Original grid net room revenue, transaction code generates & packages when the Autoload Forecast Grid OPERA Control is active. (Available when the Block Forecast Grid OPERA Control is active).

  7. Pickup Rooms: Displays the rooms picked up (reservations exists) in the room allocation.

  8. Pickup Percentage: Displays room picked up as a percentage.

  9. Available: Displays the Available Rooms remaining in the block allocation. (Current -Picked up) Available when the block is in an Open-for-Pickup status.

  10. Changes to Original: Display a comparison between original and current room allocation.

  11. Rates: Displays the rate amounts for the primary rate code of the block. When the Occupancy Split Per Room Type OPERA Control is active, rates are managed per occupancy level.

  12. Released Rooms: Displays the room released from room allocation back to general house availability.

The Block Business card displays at the top of the Room & Rate Grid and indicates block name, block code, block ID, start and end dates, room and catering status , owners and the property code. Click + to expand and collapse the business card.

The Room & Rate Grid shows you a summary of the rooms allocated per room type by dates and the associate rate amount (price).

Changing the Grid View Options

  1. From the OPERA Cloud menu, select Bookings, select Blocks and then Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want to . . . Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. Click View Options.

    1. Manage Grid By.

      1. Room Type: Select to display each room type.

      2. Room Pool: Select to display room pools. (Available when the Room Pools OPERA Control is active).

    2. Show

      1. All Room Types: Select to display all room types.

      2. Used Room Types: Select to display allocated room types only.

    3. Grid Type

      1. Select check boxes to display various room and rate grid types.

      2. Select Cutoff check box to display the cutoff date for each room type.

    4. View Occupancy: Select check boxes to display various occupancy

    5. Room Type Order: Use the navigation buttons to change the display sequence of room types in the grid; position allocated room types at top of the list.

  5. Click Apply.

Loading Block Room Allocation

Use the Load Room Grid action to load the entire block room allocation; that is, the number of rooms per room type and (optionally) rates if rates are the same each night. Even if the rates are not the same, it is recommended that you use this functionality to load the grid and then edit each Date and Room Type combination as required.

When the Contract Grid and Autoload Contract Grid OPERA Controls are active, the Original Grid is copied to the Contract grid; select Stop Auto Load Contract action from the Actions link to prevent this from occurring.  

When the Block Forecast Grid and Autoload Forecast Grid OPERA Controls are active,  the Original Grid is copied to the Forecast Rooms grid; the Forecast Rates grid is populated based on the room revenue, configured generates & packages selected in the block; select Stop Autoload Forecast action from the Actions link to prevent this from occurring. 

Note:

The Maximum Occupancy attribute of each room type is not referenced when loading a block allocation. 
  1. From the OPERA Cloud menu, select Bookings, select Blocks and then Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want to . . . Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. Click Actions then select Load Room Grid, complete the following:

    1. From: Enter or select a start date.

    2. To: Enter or select an end date.

    3. Grid Type: Select the grid type from the list.

      1. Original: Default value, and only available, when the business block is not in an Open-for-Pickup status.

      2. Current: Default value, and only available, when the business block is in an Open-for-Pickup status.

      3. Contract: Display the contract grid for use in conjunction with the Sales Contract and can be manipulated without affecting any other grid. (Available when the Contract Grid OPERA Control is active).

      4. Available: Display the Available Rooms grid. These are the rooms remaining in the allocation; not picked up. Available when the business block is in an Open-for-Pickup status.

      5. Forecast Rooms: Display the forecast grid.  (Available when the Block Forecast Grid OPERA Control is active). 

      6. Available: Display the Available Rooms grid. These are the rooms remaining in the allocation; not picked up. Available when the business block is in an Open-for-Pickup status.

    4. Day of the Week: Select check boxes for each day of the week. By default all the check boxes for the days within the From/To date range are marked. You can select or deselect the check boxes to make changes to only a specific day or days of the week.

    5. Shoulder: Select to allow selection of Shoulder Start or Shoulder End Date Range (when Shoulder Dates are defined for block) to load rates for these dates. No Inventory can be loaded for Shoulder Dates. (Available when the Shoulder Date OPERA control is active).

    6. Room Types / Room Pools: Select one or more room types or room pools.

    7. Increase/Decrease Rooms: Select check box to indicate that you want to add or subtract rooms from the existing allocation in the grid. To increase the number of room nights on the grid, select this check box and insert in Occupancy fields the number of rooms by which to increase the block. To decrease the number of room nights on the grid, select this check box and insert a negative number, a number preceded by a minus sign (-), in Occupancy fields. To change (replace) the number outright, do not select this check box and insert a positive number in the appropriate Occupancy field.

      Note:

      The Increase/Decrease check box flag only applies to the Number of Rooms; this excludes sell limits and booking positions. The values entered into those fields are always considered to be absolute values.
    8. No of Rooms.

      1. Occupancy 1, 2, 3, 4, Total: Specify number of rooms per occupancy. (Available when the Occupancy Split Per Room Type OPERA Control is active).

      2. Rate 1, 2, 3, 4, Additional: Available if a rate code has not been selected for the business block. Specify the rate for each occupancy. Rate amounts are shown in the currency selected on the Rooms Grid.

        Note:

        The rate fields will not display if there is a rate code selected for the block.
      3. Block Sell Limits: Allows you to set a maximum number of available rooms per room type for elastic block (Available when the Sell Limits OPERA Control is active).

    9. Cutoff Date: Every block can have a specific cutoff date, a rolling cutoff date, a fixed number of days before every arrival date or no cutoff date at all. If you enter a cutoff date, the OPERA Cloud will release the not-yet-picked-up rooms from the block on the night of the cutoff date. OPERA Cloud releases the rooms by reducing the number of allotted rooms until it equals the number of picked-up rooms, thereby leaving zero rooms Available in the block. The original block does not change so you can see how many rooms were originally blocked even after the cutoff date. The picked-up grid does not change and the actual blocked grid now equals the picked-up grid. Because the Rooms Available grid is only the difference between actual and picked-up, the rooms available are all zeros after the cutoff date. The rooms are returned to house availability and can be picked up by non- block guests. It is still possible, if desired, to increase the block after the cutoff date has passed. (Available when the Cutoff OPERA Control is active).

    10. Override Cutoff Schedule: Select check box to override the cutoff schedule and enter a Cutoff Date or Cutoff Days: Selecting this check box is recorded in the changes log as Override Cutoff Schedule Checked. (Available when the Cutoff  OPERA Control is active).

    11. Cutoff Days: Cutoff days is basically the same as cutoff date with one important difference. If you use a cutoff date, the entire block will be released on the same night. If you use cutoff days, OPERA Cloud will release only one day of the block at a time. If you enter a 7 in the Cutoff Days field, rooms will be cutoff one week before each date within the block. This is useful for travel agent allotments, where the travel agent has, for example, up to 14 days before arrival to pick up the reservations, after which they are returned to the property availability. (Available when the Cutoff OPERA Control is active).

  5. Click Save or Save and Continue to load more rooms.

Editing Block Room Allocations

  1. From the OPERA Cloud menu, select Bookings, select Blocks and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want to . . . Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. On the Room & Rate Grid complete the following:

    1. Enter search criteria, then click Search.

    2. Click Edit to update the rooms in the grid.

    3. Enter the number of rooms for each date and room type into the grid. When the Occupancy Split Per Room Type OPERA Control is active you can enter the number of rooms per occupancy level.

    4. Enter the rate amount for each date, room type and occupancy level into the grid. (Available when no rate code is selected for the block).

    5. Use << and >> to scroll left and right through the room types.

    6. Click Save.

Overriding Rates for Block Room Allocation

Use this option to change rate amounts when a rate code is selected for the block. (Available when the Allow Rate Editing with Rate Code OPERA Control is active and your role is granted the Override Rate Code Amounts task).

When the Occupancy Split Per Room Type OPERA Control is active, rates are managed per occupancy level.

  1. From the OPERA Cloud menu, select Bookings, select Blocks and then Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, then click I Want to . . . and select Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. Click Actions then select Override Rates.

    1. Override Rates Reason: Select a reason from the list. For more information, see Configuring Rate Override Reasons.

Removing Rate Override from Block Room Allocations

Use this option to remove rate amounts entered in the room and rate grid and revert to the rate code pricing.

  1. From theOPERA Cloud menu, select Bookings, select Blocks and then Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want to . . . Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. Click Actions then select Remove Rate Override.

Washing Block Room Allocations

Using Block Wash, you can quickly remove either a percentage or a fixed number of rooms from the room allocation for any number of days and room types.

You may also setup a wash schedule to automate the block wash process. For more information, see: Managing Block Wash Schedule.

Note:

If you wash an Original room allocation (not yet open for pickup status) and the Autoload Contract Grid OPERA Control is active, the wash also affects the Contract grid room allocation.
  1. From the OPERA Cloud menu, select Bookings, select Blocks and then select Manage Block.

  2. Enter search criteria, click Search.

  3. Select the block in the search result, click I Want to . . . Room & Rate Grid or open the Block and click Room & Rate Grid.

  4. Click Actions then select Wash.

    1. From: Enter or select a start date.

    2. To: Enter or select an end date.

    3. Day of the Week: Select check boxes for each day of the week. By default all the check boxes for the days within the From/To date range are marked. You may You can select or deselect the check boxes to make changes to only a specific day or days of the week.

    4. Room Types / Room Pools: Select one or more room types or room pools used within the block.

    5. Value: Select this option when you would like to wash the block by a specific number of rooms.

      1. Number of Rooms: Enter the number of rooms to reduce by.

    6. Percentage: Select this option when you would like to wash the block by a percentage of the number of rooms of each room type.

      1. Percentage: Enter a percentage amount.

    7. Percentage by Day: Select this option when you would like to wash the block by a percentage of the number of rooms of each room type by Day of the Week.

      1. Days of the Week: Enter a percentage amount for each day of the week.

    8. Click Save.
