Managing Reservation Cancellation

You can cancel a reservation at any time prior to the reservation check-in. Cancelling a reservation returns the reserved room type back to inventory.

When the Cancellation Handling OPERA Control is active there may be a cancellation policy (rule) on the reservation; informing you of the cancellation penalty. For more information, see Managing Reservation Deposit and Cancellation.

If required, you can generate a cancellation confirmation detailing the cancellation number. When the Confirmation Letter for Cancel Reservation OPERA Control is active, you are prompted to generate a cancellation confirmation letter.

Note:

You cannot cancel an auto-created event reservation for a guest room reserved as an event space in OPERA Cloud Sales and Event Management Premium icon.

Note:

Any vouchers generated are removed, or voided if printed. For more information, see Managing Vouchers.

Cancelling Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to... then Cancel Reservation.

  4. Complete the following:
    1. Cancel Reason: Select a Cancellation reason.

    2. Description: Field defaults based on the reason selected; you can enter more details

    3. Delete All Traces: Select the delete reservation traces on the cancelled reservation.

    4. Click Cancel Reservation:

  5. The cancellation number is displayed in the confirmation panel .

  6. To generate a cancellation confirmation click Email/Print.
    1. Send To: Select a linked profile from the list.

    2. Email To: Select an email address from the list

    3. Confirmation Letter: Select a cancellation template from the list.

  7. Click Send.

    Note:

    If cancelling a share reservation, a message prompts you to indicate whether you want to cancel each of the sharing reservations as well. If you proceed to cancel share reservations, an individual cancellation number is provided for each canceled sharer.

Cancelling Reservations with Deposit Payment

When the Cancel with Deposit OPERA Control is active, reservations with deposit payments posted can be canceled; the deposit refund or retention can be managed at a later time. When the Cancel with Deposit OPERA Controls is inactive you are prompted to manage refund or retention of the deposit payment. For more information, see Managing Reservation Deposit Payments.

When the No Show and Cancellation Postings OPERA Control is active, the cancelled reservations can be accessed in Billing to post a cancellation fee and refund any remaining deposit. For more information, see Managing No Show and Cancellation Deposits and Charges.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, then click I Want to. . . and select Cancel Reservation.

  4. Complete the following:
    1. Cancel Reason: Select a Cancellation reason.

    2. Description: Field defaults based on the reason selected; you can enter more details.

    3. Delete All Traces: Select the delete reservation traces on the cancelled reservation.

    4. Click Cancel Reservation.

    5. When the Auto Deposit Cancellation Refund for Credit Cards OPERA Control is active, any automatic refund processed is indicated. Click the Deposit Refund <Amount> Processed or Auto Deposit not Processed link to open Managing Reservation Deposit Payments.

  5. The cancellation number is displayed in the confirmation panel.

  6. To generate a cancellation confirmation click Email/Print.

    1. Send To: Select a linked profile from the list

    2. Email To: Select an email address from the list

    3. Confirmation Letter: Select a cancellation template from the list

    4. Click Send.

Reinstating Cancelled Reservations

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, then click I Want to. . . and select Reinstate Reservation.

Viewing Cancellation History

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want to. . . then Cancel Reason.
