Configuring Comp Transaction Codes

Adding Comp Transaction Codes

  1. From the Administration menu, select Financial, select Comp Accounting, and then select Comp Transaction Codes.

    Note:

    When the Multi Property OPERA Control is active, new comp transaction codes are created by selecting the Template tab. Once created, you can copy a comp transaction code to specific properties using the Copy action.. See Copying Configuration Codes to Multiple Properties for more information.

  2. Click New and complete the following fields:

    1. Property: Enter or confirm the property.

    2. Code: Enter a numeric code to represent the new comp transaction code.

    3. Description: Enter a description of the comp transaction code. The description appears in Billing and outputs on folios.

    4. Manage Translation: (Available when the Multi Language function is active in the General group in OPERA Controls.) Select this link to add translated descriptions to print translated folios for foreign guests / companies.

    5. Subgroup . Select a subgroup for the transaction code. Subgroup selection determines whether the transaction code is considered sales (revenue and non-revenue), payment, or wrapper based on the transaction group linked to the subgroup.

      Note:

      Transaction codes that belong to the same subgroup are grouped together for the same date on the Billing screen. When printing folios, the styles are: 1, 9, 10, 11, 14, 16, 15, or 19.

    6. Group: The transaction group. This field automatically populates once the subgroup is selected.

    7. Transaction Type: Select a transaction type. Transaction types are used to cluster similar transaction codes. This field is optional, but certain reports (Financial Transactions with Generates and Financial Transactions by Folio No.) print financial information based on the transaction code type. Available options are Lodging, Food and Beverage, Telephone, Minibar, Tax, Non-Revenue, Others, or blank.

    8. Tax Code: When you select a Tax transaction type, this field is enabled (1-20) to define up to 20 tax bucket values for the tax type transaction code. Use these buckets to group various tax transactions into one total on the footer of the folio and in reports. For example: all GST transaction codes would have tax code = 1.

    9. Fiscal Transaction Code: This tells the local fiscal application how to format charges for this transaction code when building the fiscal printer XML files.

    10. Minimum Amount: The minimum amount allowed under the new comp transaction code. If the minimum is not met, a warning message appears.

    11. Maximum Amount: The maximum amount allowed over the new comp transaction code. Enter amounts during a manual posting. If the maximum is exceeded, a warning message appears.

    12. Accounting Code.

    13. Quantity Code.

  3. Options: In this section, complete any of the following optional fields or selections:

    1. Revenue Group: Select this check box if this transaction code is revenue. If deselected, the charges posted to the transaction code are treated as non-revenue.

    2. Include in Deposit/CXL Rule: (Available if either the Deposit Handling application function or the Cancellation Handling application function is active in the Cashiering group in OPERA Controls.) When selected, the transaction code is included in the calculation of deposit and/or cancellation rule fees. You can use this feature to include or exclude costs such as packages, generates, and fixed charges associated with a reservation when calculating deposit requests and cancellation penalties.

    3. Generates Inclusive: Select this check box if generated charges (such as taxes or service charges) are included in the base amount posted. For example, a minibar charge could be tax inclusive, so when posting a 40.00 charge (and generates are set up), the guest would see $40.00 on the folio; however, internally the tax generate would be broken out ($35.00 minibar, $5.00 tax). If unchecked, tax generates are calculated from the base amount posted, and then posted separately as itemized, exclusive charges (taxes) on the folio.

    4. Check Number Mandatory: Select this check box if a check number must be entered when making a posting against this transaction code.

    5. Comp Payments (available with the OPERA Comp Accounting Cloud Service subscription): Select if this payment type is available for settlement of comp windows 101-108. A payment type without this option selected cannot be used to settle comp windows 101-108.

    6. Print Receipt: Select this option to print a receipt of the transaction when this comp transaction code is used.

  4. Associated Transaction Codes: In this section, select the transaction codes you want to associate with the comp transaction code by selecting one or more codes in the Available pane and clicking the arrow button to move them to the Selected pane. You can also filter the list of available codes by entering a code in the Filter field and clicking Go.

  5. Click Save or click Save and Add Generates to configure add-on charges for the comp transaction code. Generates are automatically calculated charges, such as taxes and service charges, that are added to a guest's bill when transactions are posted using this comp transaction code.

Editing Comp Transaction Codes

  1. From the Administration menu, select Financial, select Comp Accounting, and then select Comp Transaction Codes.

  2. Select or confirm the Property.

  3. Enter search criteria and click Search.

  4. Select the comp transaction code, click the vertical ellipsis Actions menu, then select Edit.

  5. Update the configuration.

  6. Click Save.

Deleting Comp Transaction Codes

  1. From the Administration menu, select Financial, select Comp Accounting, and then select Comp Transaction Codes.

  2. Select or confirm the Property.

  3. Enter search criteria and click Search.

  4. Select the comp transaction code, click the vertical ellipsis Actions menu, then select Delete.

  5. Select Delete.
