Prerequisites for Managing Event Waitlist

When the Event Waitlist OPERA Control is active,  you can manage wait-listed events requesting a booked function space for specific dates. The Wait-listed Events panel displays wait-listed events, while the Current Events panel displays the confirmed event allocated to the function space.  Wait-listed events are grouped together by date and function space, then sequenced by priority on wait list.

Note:

Sub-events inherit the status of the parent event if they are in the same space as the parent (Available when the Sub Events OPERA Control is active).

When the Activities OPERA Control is active, an activity is generated when the assigned function space becomes available for the wait-list event date. The activity type of the activity is defined by the Waitlist Activity Type OPERA Control. For more information, see Sales Activities.

Updating Event Waitlist Priority

With the Prioritize Events task assigned to your role, you can alter the event’s waitlist priority using the options in the search result.

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Waitlist.

  2. Select or confirm the Property, enter the From date and any other search criteria, and click Search.

  3. Select the Event and click either the Down Or Up arrow to change the priority.

Force Waitlist Event to Function Space

With the Force Availability task assigned to your role, you can force the assignment of a waitlist event to the function space, making the waitlist event the current event for the space. The original event changes to Waitlist status.

  1. From the OPERA Cloudmenu, select Bookings, select Events, and then select Manage Waitlist.

  2. Select or confirm the Property, enter the From date and any other search criteria, and click Search.

  3. Select the Waitlist Event, click the vertical ellipsis, and select Force Availability.

View Waitlist Event in Function Diary

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Waitlist.

  2. Select or confirm the Property, enter the From date and any other search criteria, and click Search.

  3. Select a Waitlist Event or Current Event, click the vertical ellipsis, and select Function Diary.
