Managing Profile Ownership Records and Owner Referrals

Use Ownership Records to define the ownership of a room configured as an owned room.

When the Owner Exclusive check box is selected for an owner record, the room can only be assigned to reservation linked to the owner or any authorized guests (owner referrals); resulting in the room not being listed in Available Room Search for assignment to regular guest reservations for the exclusive dates specified. 

To create an owner or owner referral reservation use the Owner Rooms list field in Look to Book search after selecting the owner or owner referral profile. Owned rooms can also be filtered in Room Diary.

Tip:

To view historic ownership records or owner referrals, select the vertical ellipsis Actions menu and select Show Inactive.

Note:

A confirm conflict warning appears if another profile ownership record for same room, owner exclusivity and overlapping dates exists; select the appropriate action. When the Component Suites OPERA Control is active, you must create ownership records for the component room(s) comprising the component suite prior to creating the ownership records for the component suite.

Note:

User activity is tracked in the changes log in the Room Rotation group.

Adding Profile Ownership Records

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Records tab.

  5. Click New and complete the following

    1. Room: Enter or select a room from the list.

    2. Start Date: Enter or select a start date

    3. End Date: Enter or select an end date. Date may overlap with other records when the Owner Exclusive check box is unchecked.

    4. Contract Number: Enter a contract reference number

    5. Owner Exclusive: Select the check box when the room ownership is exclusive and the room cannot be assigned to regular guest reservations. The selected Room can only be assigned to reservations linked to the Owner or any Owner Referrals for the Start and End dates specified. 

    6. Click Save.

Editing Profile Ownership Records

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Records tab.

  5. Select the ownership record, then click vertical ellipsis Actions menu and select Edit.

  6. Update the details.

  7. Click Save.

Deleting Profile Ownership Records

Note:

You can only delete an Ownership Record with a Start Date equal or greater than the current business date.

If an Ownership Record has Owner Referrals attached, a warning is presented to confirm the deletion of both the Ownership Record and the Owner Referral record(s) that exist for same day as the business date or future date. 

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Records tab.

  5. Select the ownership record, then click vertical ellipsis Actions menu and select Delete.

  6. Click Delete to confirm.

Adding Profile Owner Referrals

An owner referral is considered an authorized guest for an Owner Exclusive room. An Owner-Owner Referral relationship is created between the owner and owner referral profiles. There cannot be a duplicate Owner Referral Record for the same profile selected as the Owner Referral. The guest profile selected as the Owner Referral cannot be the same as the Ownership Record Guest Profile. Owner Referral records that are marked as 'Inactive' on the current business date would be re-instated as 'Active' should you need an Owner Referral record for the same guest profile. 

Note:

Any profile type can be selected as an owner referral (Contacts available when the Contacts OPERA Control is active).
  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Referrals tab.

  5. Click New and complete the following:

    1. Room: Enter or select an owned room from the list, then click Select.

    2. Profile:

      1. Click the search icon search icon.

      2. To create a profile, click Create Profile. For more information, see Creating a Guest or Contact Profile or enter search criteria, then click Search.

      3. Select a guest profile from the search result, then click Select.

    3. Click Save.

Editing Profile Owner Referrals

To update an ownership referral as inactive.

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Referrals tab.

  5. Select the ownership referrals, then click vertical ellipsis Actions menu and select Edit.

  6. Update the details.

  7. Click Save.

Deleting Profile Owner Referrals

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Referrals tab.

  5. Select the ownership referrals, then click vertical ellipsis Actions menu and select Delete.

  6. Click Delete to confirm.

Viewing Ownership Details for an Owner Referral Profile

To view the owner details for a owner-referral related profile.

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and then select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To..., and select Ownership Records or open the profile and click the Ownership Records link in Profile Presentation.

  4. Select the Ownership Referrals tab.

  5. The Owner Referrals panel is displayed showing:

    1. Name: Displays the room owner.

    2. Room: Displays the owned room.

    3. Relationship: Displays Owner.
