Configuring Cancel Penalty Schedules

Prerequisites for Cancel Penalty Schedules

Cancellation penalty schedules enable you to impose cancellation charges or penalties when a reservation is cancelled within a specified period before the arrival date. You can specify the cancellation rule along with the begin date and end date that define the period during which the schedule is in effect.

Note:

Duplicate schedules for the same effective period are not permitted.

Tip:

When a cancellation schedule has the Override check box selected, the schedule takes precedence over all other schedules that apply.

You can also configure credit ratings for use with cancellation schedules. Guests and callers who make reservations with your property will have a cancellation rule applied to their reservation based on the credit rating indicated on their profile. Configuring Credit Ratings .

Adding Cancellation Penalty Schedules

  1. From the Administration menu, select Booking, select Booking Rules and Schedules, and then select Cancel Penalty Schedules.

  2. Click New and complete the following fields:

    1. Property: Confirm or enter the property for the cancel penalty schedule.

    2. Begin / End Date: Define the effective period for the cancel penalty schedule by selecting its start date and end date. Duplicate rule schedules cannot have overlapping effective periods. For example, assuming you have two cancellation penalty schedules for the FLAT cancellation rule, and both are applied to the AARP rate code and the 6 PM reservation type. One rule schedule cannot have effective dates of 06-01 through 07-31 if the other already has effective dates of 07-15 through 08-15.

    3. Rule: Choose a Configuring Cancel Penalties rule from the list to apply to this schedule.

    4. Rate Code: Choose the rate codes to which this schedule applies. When creating a new rule schedule, this is a multi-select list of values. If a rate code is selected, block code or credit rating cannot be selected for the rule schedule.

    5. Block Code: Choose the block codes to which this schedule applies. When creating a new rule schedule, this is a multi-select list of values. If a block code is selected, rate code or reservation type or credit Rating cannot be selected for the rule schedule.

    6. Reservation Type: Choose the reservation types to which this schedule applies. When creating a new rule schedule, this is a multi-select list of values. If a reservation type is selected, block code or credit Rating cannot be selected for the rule schedule.

    7. Credit Rating: Select a Credit Rating to limit this cancellation schedule to reservations with a credit rating as indicated on their profile. When creating a new rule schedule, this is a multi-select list of values. If a credit rating is selected, block code or rate code or reservation type cannot be selected for the rule schedule. (Available when the Credit Rating OPERA Control is active).

    8. Season Code: Choose a Season Code to limit this schedule to a specific rate season.

    9. Seq: Enter the sequence number that determines the position of this rule schedule in a list of values.

    10. Override: Select check box if you want this rule to override all others that might apply to a date or range of dates.

  3. Save or click Save and Continue to add more cancel penalty schedules.

Note:

When multiple criteria are selected separate schedules are created for each combination.
  • Rate Code

  • Reservation Type

  • Credit Rating

  • Block Code

Editing Cancellation Penalty Schedules

  1. From the Administration menu, select Booking, select Booking Rules and Schedules, and then select Cancel Penalty Schedules.

  2. Enter search criteria, and click Search.

  3. Select the cancel penalty schedule from the search result, then click the vertical ellipsis Actions menu and select Edit.

    1. Make the desired changes.

    2. Inactive. Select check box to make this cancellation penalty schedule inactive.

    3. Click Save.

Deleting Cancellation Penalty Schedules

  1. From the Administration menu, select Booking, select Booking Rules and Schedules, and then select Cancel Penalty Schedules.

  2. Enter search criteria, and click Search.

  3. Select the cancel penalty schedule from the search result, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.
