Managing Profile Communication

You can add communication types to a profile, such as additional addresses, phone numbers, fax numbers, and email addresses.

Select one entry of each communication type as the primary; the primary address is used on guest and company stationery such as folios and AR invoices.

When the Address Validation OPERA Control is active, an external system validates the address details. If no verified match is found, you are presented with a list of potential matching addresses to choose from (maximum of 25 matches). The Address Validation Country Codes OPERA Control determines the countries, and the Address Validation Profile Types OPERA Control determines the profile types for which address validation is performed. The Validated check box indicates if the address is valid.

When the Mandatory Communication Details OPERA Control is active, and the Default Guest Phone Type and Default Guest Email Type OPERA Control settings are configured, two communication rows (one for phone and one for email) are auto-generated. The Communications panel on both the Profile and Reservation screens opens directly in edit mode. If no communication details exist, a blank row is automatically added to facilitate quick data entry.

When the Profile Email Validation OPERA Control is active, an external system validates the email address and sets the Validated check box to Y to confirm that the email address is valid.

When the Profile Phone Validation OPERA Control is active, an external system validates the phone number and sets the Validated check box to Y to confirm that the phone number is valid.

When Duplicate Communication OPERA Control is Active, you can create identical communication values across different communication types.

Adding Profile Communications

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profile

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want to... , and select Communications  or open the profile and click Communications in Profile Presentation.

  4. To add Phone, Email or Fax, click Edit.

    1. Enter a number of rows to create and click Add Rows.

    2. Complete the following

    3. Primary: Click to mark this entry as the primary communication for this communication type.

    4. Type: Select the communication type from the list.

    5. Value: Enter the communication details, such as phone number or email address.

    6. Validated: Select the check box to bypass external validation.
      1. Select to bypass validation when the Bypass Email Validation task is assigned to your role. (Available for Communication Type = Email and the Profile Email Validation OPERA Control is active).
      2. Select to bypass validation when the Bypass Phone Validation task is assigned to your role. (Available for Communication Type = Phone and the Profile Phone Validation OPERA Control is active.
    7. Sequence: Enter a sequence value.

  5. Click Save.

  6. To add Address click New and enter the following details:

    1. Address Type: Select the address type from the list.

    2. Address1: Enter the street address.

    3. Address2: Enter the street address.

    4. Address3: Enter the street address.

    5. Address4: Enter the street address.

    6. City: Enter the city (suburb).

    7. Country: Select the country from the list.

    8. State: Select the state from the list.

    9. Postal Code: Enter the postal (zip) code.

    10. Postal Code Ext: Enter the postal code extension.

    11. Language: Select a language for the address

    12. Primary: Select the mark the address as the primary address.

    13. Validated: Select the check box to bypass external validation. (Available when the Bypass Address validation task is assigned to your role). When displayed unchecked the address is not validated. When checked the address is validated or bypassed.

  7. Click Save.

Editing Profile Communications

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profile

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want to... , and select Communications. The panel will open in Edit mode.
    1. Update details.

    2. To re-validate an address change, uncheck the Validated check box.

  4. Click Save.

Deleting Profile Communications

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profile.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want to... , and select Communications  or open the profile and click Communications in Profile Presentation.
  4. To delete Phone, Email or Fax, click Edit.

    1. Select the entry and click the entry and click the X icon to delete.

  5. To delete an address:

    1. Select the Address tab.

    2. Click Delete.

    3. Click Delete to confirm.

  6. Click Save.
