Managing Profile Identification and Personal Details

Multiple identification records can be added to a guest/contact profile. You can either manually enter the details on the profile or scan the guest’s identification to auto-populate the details. For more information, see Desktop ID Document Scanning for more information.

Personal details recorded on the profile include Birth Date, Birth Place, Birth Country, Nationality, and Gender. Once saved, many of these values are masked and require the View (unmasked) Identification Details task to view the details.

You can access the Identification panel from the following locations:
  1. Select Client Relations, selecting Profile, selecting Manage Profile, searching for a profile, selecting I Want To..., and then selecting Identification.

  2. Select Front Desk, selecting Arrivals, selecting Search, selecting Check-in, and then selecting the Identification step. For more information, see Checking in Reservations for more details.

Note:

When accessing the identification panel, it automatically opens in edit mode with a pre-populated row in the Identification Information section, enabling users to add identification and personal details simultaneously. You can use the Add Rows option to add multiple Identification records.

Note:

The Identification panel always opens in edit mode. If no identification document records exist, a new section is added under Identification Documents for you to enter details. You can also select the New option to create additional identification records as needed.

Adding Identification and Personal Details

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Complete the following information:

      1. Identification Documents
        1. ID Type: Select an identification type for the ID.

        2. ID Number: Enter the number for the ID.

        3. Issued Place: Enter the place where the ID was issued.

        4. Issued Country: Select a Country.

        5. Issued Date: Enter the date on which the ID was issued.

        6. Expiry Date: Enter a date by which the ID expires.

        7. Primary: Select to mark this as the primary ID record.

      2. Personal Details
        1. Birth Date: Enter a date of birth.
        2. Birth Place: Enter a place of birth.
        3. Birth Country: Select a country of birth from the list.
        4. Nationality: Select a nationality from the list.
        5. Gender: Select a gender from the list.
  5. Click Save.

Editing Identification and Personal Details

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Update the details.
  5. Click Save.

Deleting Identification

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Click remove icon on the identification pop-up for the record that you want to delete.
  5. Click Save.

Viewing Identification and Personal Details

Identification fields are masked. You must have the View (unmasked) Identification Details task assigned to your role(s) to view unmasked values.

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Click Show Masked Information to unmask the values. This activity is tracked in the Changes Log.

Editing Identification and Personal Details

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Select the identification detail to update, click the vertical ellipsis Actions menu, and then select Edit.

  5. Update the details.

  6. Click Save.

  7. To update the Personal Details, select Edit.

  8. Update the details.

  9. Click Save.

Deleting Identification

  1. From the OPERA Cloud menu, select Client Relations, select Profiles, and select Manage Profiles.

  2. Enter search criteria and click Search.

  3. Select the profile in the search result, then click I Want To... and select Identifications or open the profile and click Identifications in the Profile Presentation.

  4. Select the identification detail to delete, click the vertical ellipsis Actions menu, and then select Delete.

  5. Click Delete to confirm.
