Assigning a Room to a Reservation

You can assign a room to a reservation from the Manage Reservation screen.

When the Room Feature Validation OPERA Control is active, a message will show when the Room Feature preferences on the reservation/profile are not configured on the assigned room. When the Reservation Room Features and Floors OPERA Control is active, the Reservation Room Features are matched; if it is inactive, the Profile Room Features are matched instead.

When the Advanced Daily Details OPERA Control is active and a reservation has multiple room segments (scheduled room moves), you are guided through each room segment to assign a room.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation. .

  2. Enter search criteria and click Search.

  3. Locate the reservation in the search results and then click Assign Room .

    1. In the Room Search panel enter search criteria and click Search . See Available Room Search.

    2. In the search results, select a room then click Select Room to assign to the reservation.

    3. When the Do Not Move Room OPERA Control is active, select the Do Not Move check box, then click Select Room to assign to the reservation and to set a Do Not Move lock on the reservation. A lock symbol appears to the right of the room to indicate the Do Not Move status.

Note:

When the Back-to-Back Handling for Linked Reservations OPERA Control is active, you will be prompted to choose if the Back-to-Back Reservation(s) should be assigned to the same room. If a Back-to-Back Reservation exists that is assigned to a different Room Type, you will be prompted with that information so you can potentially change the room type so the guest can stay in the same room for their entire stay.

Note:

When the AI Room Search OPERA Control is enabled for the Front Desk group, it automatically populates Room Features using information from Reservation Notes. It also adds any matching Room Feature Preferences at the property that are not already included in the reservation. For example, if a reservation note states, "The guest would like a view of the beach," and the "BEACH" Room Feature exists but is not assigned, the application will add it during room assignment. Additionally, a message explains why the Room Feature was added. Room Feature suggestions will also be made based on the Reservation Notes in the following areas of OPERA Cloud:
  1. Auto Assign (Batch Room Assignment): Select the Room Feature Suggestions check box.

  2. Suggested Rooms during Check In: Room Feature Suggestions check box is selected by default in the Room Selection panel for reservations where a Room Feature match is found.

  3. Auto Assign at Check In: (Available when the Auto Assign Room at Check In OPERA Control is active). A room with a matching Room Feature is assigned automatically.

Note:

When the Hold Rooms OPERA Control is active, you can place rooms on hold or remove them from hold directly from the Assign Room screen. For more information, see Managing Rooms on Hold.
