Configuring Out of Order and Out of Service Reasons

Out of Order: rooms are removed from room inventory and are not available for assignments to reservations. OO status is typically used for rooms removed from inventory for staff accommodation or for seasonal periods of low occupancy when rooms are dormant and not sold. Out of order rooms are removed from the total room inventory counts, reducing the total number of rooms available in your hotel. Therefore, for the period a room remains out of order, 100% occupancy is calculated based on Inventory Rooms - Out of Order rooms. For example, if you have a 100 room property and 5 rooms are out of order, 100% occupancy is reached when 95 rooms are occupied. Rooms in Out of Service status therefore also impact Average Room Rate and RevPAR calculations.

Out of Service: rooms remain in room inventory and can still be reserved for a reservation. OS status is typically used for rooms with a temporary maintenance issue not preventing sale of the room. If a room is placed Out of Service, it is available for the front desk for assignment and it remains in the total room inventory count.

When the Unit Status OPERA Control is active, Out of Order and Out of Service reason configuration is replaced with unit status configuration; enabling the ability to configure unit statuses as Deduct Inventory and/or Included in Occupancy Statistics in Reporting and Analytics. Note:
When the Multi Property OPERA Control is active, new Out of Order and Out Of Service codes are created by selecting the Template tab. Once created, you can copy Out of Order and Out Of Service codes to specific properties using the Copy action. For more information, see Copying Configuration Codes to Multiple Properties.-
From the Administration menu, select Inventory, select Rooms Management, and then select Out of Order /Service Reasons.

Click New and complete the following fields:

Code: Enter a code for the OO/OS reason.

Description: Enter a description for the OO/OS reason code.

Sequence: Enter a number that controls the position of this code in listings. Codes without a sequence number assigned are listed in alphabetical order following codes with a sequence assigned.

Click Save.
Editing Out of Order / Service Reasons

From the Administration menu, select Inventory, select Rooms Management, and then select Out of Order /Service Reasons.

Enter search criteria and click Search.

Select the OO/OS code in the search result, then click the vertical ellipsis Actions menu and select Edit.
- Make the required changes.
- Click Inactive to make a code inactive; inactive codes are not available for selection.
- Click Save.
Deleting Out of Order / Service Reasons
Note:
Reason code cannot be deleted if selected in the Out of Order Default Reason Code or Out of Service Default Reason Code OPERA Controls; update the setting(s) with a new value prior to deleting the code.

From the Administration menu, select Inventory, select Rooms Management, and then select Out of Order /Service Reasons.

Enter search criteria and click Search.

Select the OO/OS code in the search result, then click the vertical ellipsis Actions menu and select Delete.

Click Delete to confirm.
