PWA - Managing Reservation Traces

Traces are actionable instructions for a selected department for a specific date and time; once actioned, the trace status is updated as resolved.

Viewing Traces for a Reservation

  1. From the Ask Oracle menu navigate either to Today's Traces, Arrivals, In-House, or Departures.
  2. Select a reservation.
  3. Select the Notes & Traces icon icon from More Actions menu.

    Note:

    • The indication count on the Reservation page shows the number of reservation notes and traces associated with the reservation.
    • Traces overdue or due today are displayed by default. Select View All to view all traces for the reservation.
    • Trace Frequency: (Available when the OPERA Control parameter Trace Frequency is active. Select a Trace Frequency to add the trace to the reservation. When a Trace Frequency other than Specific Date/Date Range is selected, modifying the reservation stay dates automatically updates the trace date(s) based on the new stay dates. The X Days Prior to Arrival option is not available because only Arrival, In-House, and Departing reservations can be managed.

Adding Reservation Traces

  1. From the Ask Oracle menu navigate either to Today's Traces, Arrivals, In-House , or Departures.
  2. Select a reservation.
  3. Select the Notes & Traces icon icon from More Actions menu.
  4. Select Add Note/Trace and select the Traces tab.
    1. Department: Select department(s) form the drop down to receive the trace.
    2. From Date: Enter a start date for the trace.
    3. To Date: Enter an end date for the trace; one trace per day is created.
    4. Trace Frequency: (Available when the OPERA Control parameter Trace Frequency is active. Select a Trace Frequency to add the trace to the reservation. When a Trace Frequency other than Specific Date/Date Range is selected, modifying the reservation stay dates automatically updates the trace date(s) based on the new stay dates. The X Days Prior to Arrival option is not available because only Arrival, In-House, and Departing reservations can be managed.

      1. Specific Date/Date Range : Select to the trace for a specific date or date range.
      2. On Arrival Day Only: Select to create a trace for the Arrival Day of the reservation.
      3. On Departure Day Only: Select to create a trace for the Departure Day of the reservation.
      4. Every Day of Reservation: Select to create a trace for every day of the reservation
      5. Starting from Day X, Every Y Day of Reservation: Select to add the trace starting on day 'X' and then subsequent traces for every 'Y' number of days following.
      6. Specific Days of the Week: Select to generate the trace for specific days of the week over the duration of the guest stay.
    5. Time: Enter a trace time.
    6. Trace Text: Enter the trace text.
  5. Select Create to save the Trace.

Updating Reservation Traces

  1. From the Ask Oracle menu navigate either to Today's Traces, Arrivals, In-House , or Departures.
  2. Select a reservation.
  3. Select the Notes & Traces icon icon from More Actions menu.
  4. Select Trace (select View All if you are unable to see the trace you are looking for). Alternatively, swipe to the right and select Manage.
  5. Update the relevant fields, such as the Department, Date / Time and Trace Text.
  6. Change the status to Completed or Unresolved.

    Note:

    You can also change the status from the list screen by swiping left and selecting the status update option.

Deleting Reservation Traces

  1. From the Ask Oracle menu navigate either to Today's Traces, Arrivals, In-House , or Departures.
  2. Select a reservation.
  3. Select the Notes & Traces icon icon from More Actions menu.
  4. Select Trace (select View All if you are unable to see the trace you are looking for).
  5. Select the More Actions menu, and then click Delete Trace.
