Clear saved data for a subject

You can now clear data saved for a subject to correct any known errors.

Before you work with this feature

  • Any permissions site users are assigned with to enter specific data allow them to also clear that data.
  • Site Edits Visit Date must be enabled under Study Settings for the menu icon (Hamburger menu icon) to appear for the particular visit type you would like users to be able to clear the visit date for.
  • To remove data from a radio button question without returning it to a new state, you have the option to select Reset from the menu.
  • When Reset is selected for a radio button question, the Answer History will show it has been reset, while the Answer History will reflect a question has been cleared when Clear has been selected.

Details for site users

As a site user, here is what's new in your workflow:
  • The option to clear data will only be available in the menu for an item once data has been entered and saved for that question.
  • You can select Clear from the menu icon (Hamburger menu icon) next to the item you would like to clear data from.
  • You are prompted to select an option from the Reason for Change drop-down when you choose to clear data.
  • Data entered for a question or visit cannot be cleared if that question or visit is locked or frozen.
  • The option to clear data is available in all visit types (Scheduled, Unscheduled, Screening, Withdrawal, Completion, Dispensation, Randomization, and Adverse Events).

Report enhancements

You can now include or exclude cleared data from the Subject Data report and Subject Events report:
  • When you select the Subject Data report under the Reports & Archives tab, the option to include or exclude cleared data is available in the Settings pane on the right.
  • A new status, Visit Date Cleared, appears under the Event Type column in the Subject Events report.
  • In addition, the Subject Data Extract will not include records of cleared forms.

Already working in a live study?

Once the upgrade for this release is complete, clearing subject data will be available for all existing studies. More information on data clearing and step-by-step instructions on how to do so will be featured in the Site User Guide.
