Allow a future date in forms

Study designers can choose to allow a future date for a Date/Time question by turning the Allow Future Date toggle on or off.

In some cases, you may be required to define a validation rule check for site users when collecting future dates in which they receive a system validation error. For example, if a site user collects the date of Informed Consent. The Allow Future Date control allows you to create this kind of validation rule check in these types of scenarios.

Details for study designers

Here is what's new in your workflow when adding Date/Time questions:

  • The Details side panel now includes the Allow Future Date toggle for every Date/Time question type.

    Note:

This feature is not available for time-only questions.
    • Turning the toggle On allows future dates while Off does not.

      Note:

The user can enter and save a future date while the toggle is set to Off, however, the system will alert the user of a validation error.
    • The toggle is set to On by default.
  • Future dates are determined against the date and timezone of the respective site. For example, when a site user answers a Date/Time question, the application compares the date of the site's timezone with the time that they entered.

    Note:

A timezone must be specified for your site in order for future date validations to function properly.
  • Only one validation rule is triggered at a time if there is more than one configured for a question. If the Allow Future Date is set to Off and a future date is entered, the system error message appears. Once this is resolved, validation rules that failed appear next.
  • When it comes to partial dates, only the present information is compared to the current date.
  • The Allow Future Date toggle is not visible for Age Smart objects and is defaulted to off, resulting in a validation error if a future birth date is entered.

    Note:

You are required to move the study version for the Approved container to implement this option for live studies.

More information on allowing future dates can be found in the Study Designer User Guide after the Release Assessment Environment (RAE) upgrade.

Impact on reports

More details on Allow Future Date settings in the Annotated Case Report Forms and Study Design report can be found in the Reporting Guide after the RAE upgrade.

Note:

The Allow Future Date toggle settings appear blank in the Study Design Dataset for existing studies in Oracle Clinical One Analytics until a new study version is moved to the container.

Already working in a live study?

When the upgrade for this release is complete, this function will be set to On by default for existing studies to keep functionality consistent. If you would like to disallow future dates, then you are required to move your study to Production in order to activate this feature.

You are required to perform an Advanced Study Version update to date questions in your study in order to set the Allow Future Date toggle to Off for existing studies.

Note:

When the Allow Future Date toggle is changed from On to Off for a question as an Advanced Study Version change, the validation is applied to existing dates that were in the future at the time the date was entered, based on the audit trail
