Clear all form data

Site users can now clear data from flat forms all at once instead of clearing data one question at a time.

Before you work on this feature

To use the Clear Form option, users must have access to the form and be assigned a study role that includes the Edit Form Data for Subjects permission. (If they have the Edit Classified Subject Data Only permission too, they can also clear classified data.)

When you clear a form, you reset the questions and change the status of the form to New. If all forms are cleared, the visit resets to New. If only the some of the data clears, the form status changes to In Progress or Incomplete.

Details for site users

As a site user with the appropriate permission, you can now:
  • Clear data from questions in flat forms all at once as long as the questions are not locked, frozen, or marked as read-only. You can only clear one form at a time and you must select a reason before you can clear data. Any data cleared from the whole form has the same impact as if you cleared it at the question level. For example, anything you cannot clear at the question level remains protected at the form level.
  • Clear parent forms (parent questions and related [child] questions). If the child forms contain data, you can clear the triggering question individually to automatically clear the child, clear all the items on the child, or clear the child form. Then, clear the parent form. (When you clear a trigger question, you clear any linked forms or connections. The system records it in the Answer and Visit History sidebar.)

Note:

You cannot clear Drug Reconciliation forms. And, you cannot clear questions that triggered the creation of a subject safety case. If you clear signed or verified questions, you can see the clear operation in the Audit History and the system records the Unsign or Unverify operation.

Details for sponsor users

When site users clear forms using the Clear Form option, you do not receive a notification unless the study setup included it. However, you may notice missing data, changes during monitoring, or questions if certain data gets cleared. You can also see cleared data and a history of the action such as:
  • Cleared items with previous value (now cleared)
  • Type of action used to clear items
  • Name of the site user who cleared the items
  • Date and time the action was performed

Impact on reports, extracts, archives, or datasets

  • The Clear audit information flows through the report as expected. You see the audit of the Clear transaction in the report.
  • Any report that includes subject data cleared with Clear Form continues to function as if the questions were cleared individually.

  • The FORM_STATUS (Form folder) shows a value of SCHEDULED. The form is new with no data.

Note:

The Subject Data Extract does not include cleared form instances. No record of the subject information (subject number, visit, form, etc.) gets included in the output.
