Edit the shipment Received On date

Users can update the shipment Received On (UTC) date while preserving inventory integrity and auditability.

Authorized users can edit the Received On (UTC) date for inventory request and destruction shipments at sites and depots, improving accuracy in inventory and compliance records.
  • Two fields—Registered On (UTC) and Received On (UTC)—are now available in the Shipments tab. Both are initially populated with the same date—the date on which the shipment was registered in Clinical One Cloud Service.
  • The Received On (UTC) field can be updated to reflect the actual receipt date. The selected date must be on or after the shipment creation date and on or before the Registered On (UTC) date.

    This is useful when a shipment is registered after it is received, allowing you to backdate the Received On (UTC) field to reflect the actual receipt date.

Permissions and study role updates

You must be assigned to a study role that includes the Edit Shipment Received Date permission to update the Received On (UTC) date.

Note:

Site users can update shipments received at their assigned site, and depot users can update shipments received at their assigned depot.
  • This permission is included in the following template roles:
    • Site User
    • Clinical Supply Manager–Unblinded
    • Pharmacy User–Unblinded
    • Blinded Depot User
    • Unblinded Depot User

  • SHIPMENT_RCVD_SITE_DEPOT_DATE (Shipment folder): Indicates the Registered On (UTC) date in the system, regardless of shipment type (depot to site, site to depot, or depot to depot).
  • SHIPMENT_RECEIVED_BY_WID(Reference folder): Indicates the numeric identifier of the user who registered the shipment.
Unblinded Kits dataset New data elements
  • SHIPMENT_RCVD_SITE_DEPOT_DATE (Shipment folder): Indicates the Registered On (UTC) date in the system, regardless of shipment type (depot to site, site to depot, or depot to depot).
  • SHIPMENT_RECEIVED_BY (Shipment folder): Indicates the user name of the person who registered the shipment.
  • SHIPMENT_RECEIPT_DATE (Shipment folder): Initially indicates the Registered On (UTC) date at the time of shipment registration and updates to reflect the Received On (UTC) date if the Received On (UTC) date is modified.
  • SHIPMENT_RECEIVED_BY_WID (Reference folder): Indicates the user ID of the person who registered the shipment.
