About the Advanced Setting—Include Uploaded Files

Oracle Clinical One Platform includes a question type called File Upload, which enables study designers to create questions on forms that allow users to upload files, such as images. The uploaded files are stored in the Uploaded Files folder, which is included in the appropriate site folder with each request. For additional information, see Upload documents in forms.

The subject PDFs include the name of the uploaded file, for example MRI_Spine.tiff, which is displayed next to the question. There is also a link next to the question, which is comprised of an ID plus the doc version, for example, 3454656_01. The file opens when the link is selected.

What Oracle CRF Submit Archives settings determine if a request includes uploaded files?

Include Uploaded Files

This setting is available on the Advanced Settings page. Select Advanced at the bottom of the Settings side panel to access it.

For Custom requests:

  • When set to Yes (default), the uploaded files are included in the Uploaded Files folder, which is present in each site folder. Additionally, questions in the subject PDFs display the file name and include a link, which, when selected, opens the relevant file.
  • When set to No, the files are not included in the Uploaded Files folder, and a link is not provided; only the file title is displayed next to the question.

For Submission, Archival (for sponsor users), and Archival (for site users) requests:

  • The setting is visible on the Advanced Settings page; it is set to Yes by default and cannot be changed.
  • The uploaded files are included in the Uploaded Files folder, which is present in each site folder. Additionally, questions in the subject PDFs display the file name and include a link, which, when selected, opens the relevant file.

All archive requests include a set of blank forms for each study version. File Upload-type questions are marked with the File Upload label.

Note: Submission requests include blank forms by default. The setting Include Blank Forms must be set to Yes to include them for Archival (sponsor and site) and Custom requests.

As of Date

This setting is available on the Settings side panel and determines which uploaded files are included in the request output.

  • If you select Now, the link is associated with the most recently uploaded file. The Audit Trail by CRF section of the PDF contains details about previous uploads and links to the associated files.
  • If you select a specific date for Select Date/Time, the link is associated with the file that was uploaded on or before the date selected. The Audit Trail by CRF section of the PDF contains details about previous uploads and links to the associated files.

The file name and link are no longer displayed on the questions if the last uploaded file is deleted. You can view the Audit Trail by CRF section of the PDF to see details for all uploaded files. This section also includes a link for each uploaded file.

Will the uploaded file links work if my request exceeds 200 MB?

If a request's total output surpasses 200 MB, Oracle CRF Submit divides the output into multiple zip folders to facilitate their download. If such an event occurs, the possibility exists that the subject PDF and the uploaded files may end up in two different zip folders.

Tip:

In order for the uploaded file links to work, you must extract all of the contents of the zipped folders to the same location. To achieve this, right-click each zipped folder, then select Extract All and follow the instructions in the extraction wizard.
