Details about importing lab data

Learn how Clinical One Cloud Service validates and imports EHR lab data into Lab Forms.

When importing EHR lab results, you can select one or more records from the same observation (column), for example, White Blood Cell Count and Sodium, which results in the importation of all associated data points, or you can select the checkbox to the left of the observation date (column header) to import all lab results.
  • Depending on the study design, you may be required to select a local lab from the Select Lab drop-down on the Lab Form before selecting Import EHR Data. If the lab form does not include the Select Lab drop-down, proceed directly to import EHR data.
  • If a lab is selected, the Lab Form displays the lab normal reference ranges defined in Clinical One Cloud Service for the selected lab. The displayed ranges are based on the subject's age, gender, and race. The system notifies you if any required demographic data is missing. Complete the missing fields before importing the EHR lab data.

    Note:

    If your study design includes demographic data and lab results in the same visit, import the demographic data before importing the lab results. This ensures that Clinical One Cloud Service has the information needed to determine the applicable lab normal reference ranges.
  • Lab Units, low and high ranges, and normal text result details included in the EHR lab results do not overwrite the values defined in Clinical One Cloud Service for the selected lab. These values are informational only.
  • If the Lab Test name or Lab Unit included in the EHR lab results do not match the corresponding lab values configured in Clinical One Cloud Service for the selected lab, the system does not import the lab result.

    Note:

    This is only the case when a Lab Form is used to store lab results. If the lab form is a one-section repeating form and the lab test name does not match, the lab results are inserted at the end of the lab form. For this to work, the form setting Allow Additional Rows must be enabled.
  • If the low or high range values included in the EHR lab results do not fall within the ranges defined in Clinical One Cloud Service for the selected lab, the system does not import the lab results.
  • When an EHR lab result includes a Collection Date, the system uses it to populate the Collection Date time field. EHR lab import is blocked when the Collection Date Time field is hidden.
  • EHR lab observations are grouped by collection date and time. Lab results from the same observation are imported into the same Lab Form instance and populate the corresponding Lab Test rows.
  • If the Lab Form setting Allow for Multiple Instances is enabled, lab results from different collection-date groups can be imported into separate Lab Form instances. If multiple instances are not allowed, only one collection-date group can be imported at a time.
