Navigate the Data Management view

Learn more about the actions and filters available for managing subjects and visits.

First, you must determine in which mode you need to work, whether it's Testing, Training, or Approved. For step-by-step instructions, see Access your study in a specific mode.

Actions overview

The Actions menu provides options to manage subjects and visits, allowing you to choose between the following actions, based on your selection:
Option Description
Lock Lets you lock a subject, a visit, multiple subjects, or multiple visits - based on your selection.
Unlock Lets you unlock a subject, a visit, multiple subjects, or multiple visits - based on your selection.

Search overview

You can search for subjects or click a subject's ID to search their visits.

Search field Description
Search Subject

Manually type the number of the subject you are looking for. As you type, the list of subjects will automatically narrow down. You can select multiple subjects.

Use spaces between search terms to broaden your results. For example, typing CLIN-0004 will show only that exact query. But typing CLIN and 0004 separately will display results with either keyword, giving a broader range.

Search Visit When searching, separate terms with spaces broaden your results. Each term is treated individually. To narrow results and search for an exact visit title, enclose your query in single or double quotes.

For example, searching for Cycle 10 - B4D1 (with spaces) returns multiple visits containing any of these words. Searching for "Cycle 10 - B4D1" (with quotes) returns only the exact match.

Filters overview

Filters are located at the top of the page and can be used individually or in combination to narrow the list returned on the Data Management view.
  • In most cases, filters applied in the Data Management view are cleared if you navigate away from the page or switch to another study. However, in some cases the filters are preserved when returning from specific pages. For example:
    • If you apply the All Visits Complete filter, open a subject's visits, and then return, the filter remains applied.
    • If you filter by Unresolved Queries, open the linked query count in the Unresolved Queries column, and then return from the Query List page, the filter remains applied.
    • If you apply any filters and switch between the Data Management view and the Subject Overview view, the filters remain applied.
  • To remove the filters, select X next to any filter you include in the Search Subject bar.

Tip:

For a better filtering experience, you can combine any of the filters listed below.
Filter Description
Country

Select one or multiple countries that you want to view subjects for.

Site

Select one or multiple sites that you want to view subjects for.

This filter includes the sites that you have access to.

Status

Select one or multiple subject statuses if you want to view subjects in a specific state.

All Visits Complete

Select this filter to only display subjects whose visits are all complete. This excludes visits that have a status of New, In progress, Incomplete, or Not started.

Skipped visits are treated as Completed visits for this filter. Subjects are not excluded due to skipped visits.

Queries

Select No Unresolved Queries to only display subjects without any unresolved queries. Select With Unresolved Queries to display subjects with data that contains unresolved queries.

Verification

Select Verified to only display subjects whose data is verified. Select Verification Required to display subjects and visits whose data still requires verification.

Signature

Select Signed to only display subjects whose data is signed. Select Signatures Required to display subjects and visits whose data still requires signatures.

Locked

Select Locked to view subjects whose entire data is locked. Subjects whose data is partially locked are not included in this filter

Visit Status

Note - This filter is only located on a subject's page - displayed when you select a subject's ID.

Select one or multiple visit statuses: Complete, Incomplete, Skipped, Not Started, In Progress.

Columns overview

Columns can be of particular help when you're trying to lock specific subjects or visits.

You can sort data on the Data Management view based on columns, too.

Column title Description
Subject ID The subject ID links to the subject's page. There, you can see their visits and visit details, including visit status, visit date, type, lock status, and the number of unresolved queries.
Status

On the page where multiple subjects are displayed, this indicates a subject's current status.

On a subject's page - displayed when you select a subject's ID - this indicates the visit's status.

Lock Displays Locked when a subject is fully locked. When subject data is partially locked or not locked at all, the column remains empty.
Incomplete Visits Shows the number of a subject's incomplete visits. The number on this column links to the subject's page with detailed views of these visits.

Note - When you select a number on this column, the subject's visit page sets the Visit Status filter to Incomplete and Incomplete with Errors by default.

Next Visit Shows the upcoming visit in a subject's schedule. The visit title links to the visit's page. From there, you can also lock one or multiple forms, as well as one or multiple questions.
Next Visit Window Indicates the upcoming visit's window, as defined by a study designer when designing the study.
Unresolved Queries

Note - The same column on a subject's page is for information only. You cannot use the number to navigate to the Query List page.

Shows the number of unresolved queries (with a status of Open or Answered) associated with the subject. The number on this column links to the Queries page with detailed information on these queries.
Visit Title

Note - This column is only located on a subject's page - displayed when you select a subject's ID.

Indicates the visit's title as specified by a study designer. The visit title links to the visit's page. From there, you can also lock one or multiple forms, as well as one or multiple questions.

Visit Date

Note - This column is only located on a subject's page - displayed when you select a subject's ID.

Indicates the visit date entered for the visit.

Type

Note - This column is only located on a subject's page - displayed when you select a subject's ID.

Indicates whether the visit is required, optional, unscheduled, or an adverse event.
