Add or edit multiple study users

Download templates to create new users or edit existing ones simultaneously.

Before using the templates, it is recommended that you review Guidelines for using templates.

  1. On the Home page, open the study's settings and then select the Users tab.
  2. From the More Actions drop-down select one of the following options and save the file locally:
    • Create Users
    • Update Existing Users

    Tip:

    In both cases, the template is populated with the current active study roles available in the study. You should always download a new template to pick up any changes applied to your study.
  3. Open the template, select Enable Content, and then go to the Clinical One Users tab.
    Enable Macros
    • If you're using the Create Users template, enter the details for each new user that is to be created.
    • If you're using the Update Existing Users template, locate the user you want to update, and edit the necessary details.

    Note:

    Both templates support the functionality to add and update study users, as well as to create SSO accounts when they don't exist.

    For instance, you can add rows with updated details for existing users in the template generated to Create Users, or add rows with details for new users in the template generated to Update Existing Users. In both cases your updates will get properly applied.

  4. Select Validate and then select OK in the confirmation dialog.
    After you select Validate, macros run to ensure required data is present and adheres to the required format; cells with errors are highlighted. If applicable, address any issues identified by the macros.

    Note:

    Macros do not check for duplicate records. To avoid additional work, make sure all user names are unique.
  5. Save and close the file.
  6. Return to the Users tab in Oracle Clinical One Platform, and select Clinical One Users under Upload Templates in the More Actions drop-down. Then, when prompted upload the file you just updated.
    The Map Roles window opens in the Upload Clinical One SSO Users dialog.
  7. Map the roles in your file to the roles available in Oracle Clinical One Platform and then select Next.
  8. In the preview window, review the user details and do the following if applicable:
  9. Select Upload.
    • A progress bar on the Users tab provides the status of the import.
    • When the upload completes, a confirmation email is sent with the subject Bulk User Upload notifications.
    • The User Upload Error report generates automatically for any import that completes with errors.

      Tip:

      This report uses the same format as the User Upload template. You can fix errors directly in the User Upload Error report and upload it, instead of filling out a new template.
