Maintaining Premises

The premise record contains geographic information about your service addresses.

The following methods list the various ways in which premises can be created:

  • A premise can be added via the premise replicator.
  • A premise can be added when an order is completed.
  • A premise can be added using this transaction.

The Premise portal presents various types of information about a premise. To access the portal, use the Main Menu, and then Customer Information, and then Premise. You are brought to a query portal with options for searching for a specific premise. Once a premise has been selected you are brought to the maintenance portal to view and maintain the selected record.

The following zones may appear as part of the portal's Main tab page.

  • Premise. This zone provides high level information about the premise.

    • The premise's unique identifier (i.e., the Premise ID) is a system assigned random number that stays with a premise for life.
    • Formatting is performed by a plug-in. The basic information about a premise that appears at the top of this page (and on many other pages in the system) is controlled by a plug-in algorithm on the installation record. Refer to the base package's premise format algorithm (PREM-INFO) for an example. If you prefer a different format, your system administrator should configure the system appropriately.

    • Indicate whether the address is a valid Mailing Address. Premises that are valid mailing addresses may be specified as the mailing premise on an account. Refer to Account - Person Information for more information.

    • The Time Zone in which the premise is located defaults from your postal defaults.

    • Landlord Agreement. Use Landlord Agreement to define the landlord agreement that covers the premise, if any.

      • Landlord reversion. When you specify a landlord agreement on a premise, you are telling the system that service associated with the premise's service points should be reverted to the landlord's account when a tenant stops service. The system uses this information during the stop service process to automatically create pending start service agreement(s) for the landlord.

      • Managing a large number of premises for the same landlord If the premise management module is not turned off, the premise management page helps you to manage the premises linked to the landlord.

    • Premise Hierarchy.
      • If the premise management module is not turned off, you may reference a Parent Premise to include this premise in a premise hierarchy.

      • When a premise is part of a hierarchy information about the hierarchy is provided in the Premise Hierarchy tab.
    • Alternate Address.
      • The option to specify an alternate way to define a premise's address only appears if you have enabled alternate addresses on the installation record. Refer to the description of the Alternate Representation field under Installation - Main for more information.
      • This is typically used in countries that use multiple character sets (e.g., the main address is entered in Chinese, the alternate address is entered in English). When a premise has an alternate address, both the main and alternate addresses can be used to search for a premise.

    • Miscellaneous details section.
      • You may indicate if the premise has life support or sensitive load equipment.

      • A person can also have life support / sensitive load information. If the equipment is personal (i.e., it travels with the person as they move from premise to premise), you should NOT specify the life support information on the premise. Rather, transfer to the Person page and specify life support information on the person.

      • Alert and C&C. If the base package's C1-LSSL-PREM algorithm is enabled on the installation record, and life support / sensitive load information is specified, an alert will appear when the premise is displayed on control central. In addition, if a premise has life support or sensitive load equipment, it is possible for a different credit & collection severance process to be kicked off if the account associated with the premise has overdue debt.     • Geographic Data section
      • Formatting is performed by a plug-in. The format that is applied to a Geographic Value is controlled by the algorithm that is plugged in on the respective Geographic Type. If you prefer a different format, your system administrator should configure this algorithm appropriately. Note, algorithms of this type will NOT convert the input value into the relevant format (i.e., you must enter the information in the exact format dictated by the algorithm).

      • Default note. A premise's geographic data defaults from your postal default information. Refer to Setting Up Premise & Service Point Postal Defaults for more information. If you change the premise's postal code, the system will default geographic values based on the new postal code.

    • At the bottom of this zone is a tree that shows the various objects linked to the premise. You can use this tree to both view high-level information about these objects and to transfer to the respective page in which an object is maintained.

  • Premise Characteristics. Characteristics may be used to control taxation and other rate options that differ based on geography. This zone shows existing premise characteristics. The collection is maintained using the Edit action for users that are allowed to update this premise.
    • Many charges that appear on bills associated with consumption at this premise are controlled by the premise's characteristic values (e.g., the taxing city defines the city tax percent applied to the premise's consumption). Refer to An Illustration Of A Bill Factor And Its Characteristics for more information.

    • Characteristics also matter if your rates were set up to convert measured consumption into some other unit of measure before charges can be calculated (e.g., converting a cubic foot of gas to its therm value). Refer to All Calculation Rule-Based Rates Share a Common Structure for more information about pre-processing calculation groups.

    • You can only choose characteristic types defined as permissible on the premise record. Refer to Setting Up Characteristic Types & Their Values for more information.

    • The characteristic effective date defaults from the Installation Record when you are adding a new premise. The effective date defaults to the current date when you are changing an existing premise.

    • Default note. A premise's characteristics default from your postal default information. Refer to Setting Up Premise & Service Point Postal Defaults for more information. If you change the premise's postal code, the system will default characteristic values based on the new postal code.

  • Premise Attachments. This zone maintains and displays attachments related to the premise.. You may use the zone header 'Add' action to attach more documents to this record.

The following zones may appear as part of the portal's Customer History tab page.

  • Premise Customer History. This zone lists the current and past customers at this premise.

The following zones may appear as part of the portal's Usage History tab page.

  • Premise Usage History. This zone allows you to query and review usage history at the premise.

The following zones may appear as part of the portal's Activity History tab page.

  • Premise Activity History. This zone lists a history of various types of activities at the premise.
  • Premise Activity Overview. This zone is hidden by default. It provides an overview of field work externally managed by the Service Order Management product. The zone is visible when explicitly enabled via the

    "Cross Product Configuration"

    integration related master configuration.
  • Service Order Management Information . This zone is hidden by default. It provides further details on a record selected from the 'Premise Activity Overview" zone.

The following zones may appear as part of the portal's Premise Hierarchy tab page.

  • Premise Hierarchy. This zone lists all parents of the current premise and its immediate children.
  • Child Premises. This zone lists all children of a premise selected in the 'Premise Hierarchy' zone.

The Additional Information tab page is hidden by default. It appears only when a custom zone is included as part of its definition. This tab is mainly provided as a way to preserve custom zones that your organization may have configured on the Premise Portal tab of the legacy Premise page.

Actions

The page supports the following special actions:

  • Main Address Update. Clicking on the icon adjacent to the address launches a drawer that allows you to review and edit the address.
    • The address's constituent fields vary based on the Country. Please refer to the Country page for more information.

    • Default note. A premise's state, city, county, division, characteristics, trend area and geographic data default from your postal default information. Refer to Setting Up Premise & Service Point Postal Defaults for more information. If you change the premise's postal code, the system will default geographic values based on the new postal code.

    • Use CIS Division to define the jurisdiction in which the premise is located if the premise type allows CIS Division. This defaults based on the Country and the Postal, but can be overridden here. If your implementation has set the Installation Option Control By CIS Division flag, the values are restricted to the user’s CIS Division(s). See Users and CIS Division for more information. The value is defaulted to user’s primary CIS Division, but that can be overridden by the postal defaults

  • Alternate Address Update. When applicable, clicking on the icon adjacent to the address launches a drawer that allows you to review and edit the address.
    • The address's constituent fields vary based on the Country. A premise's alternate address must be located in the same country as its main address. Please refer to the Country page for more information about address constituents.

  • Address Validation. The 'Validate' button is only available if you have set the Allow Address Validation option type to Y on the General System Configuration feature configuration. Once clicked, the Address Validation Script on the General System Configuration feature configuration will be invoked to validate the entered address. Refer to Implementing Address Validation for more information.

    Note:

    If you have enabled the address validation action, adding a new premise is directed to the legacy page for technical reasons. The ability to validate the address using a BPA script at creation time cannot be supported via the portal at this time.
  • Swap Main / Alt Address. This button becomes enabled when you've entered an alternate address. When clicked, the contents of the main address are swapped with the alternate address.

  • Premise (Legacy). The Premise portal replaces the legacy Premise page. This action allows you to navigate to the legacy page as needed.
