Posting and Replying to Comments

While performing reviews in Oracle Smart View for Office, you can add comments and reply to comments in Word-based and PowerPoint-based report package.

Guidelines for Posting Comments

  • The selection area for comments cannot be empty. Select a graphic or at least one word or number when adding comments.

  • Unlike the Narrative Reporting web interface, adding multiple comments at the same location, or nesting them within the same selection is not allowed in Smart View.
  • In Smart View, adding comments on text within a textbox is not allowed.

Posting a New Comment in a Report Package

To post a new comment:

  1. In the review instance, select the object you want to comment on and click Add New Comment in the Narrative Reporting ribbon. The way of selecting varies based on the object as explained below:
    • Text: In Word, select the text to comment on.

In PowerPoint, with your cursor in the text on the slide you want to comment on, place the pin on the desired location within the text.

    • Graphic: Select the graphic to comment on and place the pin on the desired location within the graphic.

Select only the graphic. Do not select any paragraph markers, text, or empty spaces around the graphic.

    • Embedded Content (Word only): Select a data or text cell within a single instance of embedded content. For example, select data or text within an individual cell in an embedded content object. You may select a range of cells, but the pin is placed only on the first cell in the range (the upper left cell of the range).

To select an entire embedded content object for commenting, select some text from the row above the embedded content, along with the entire embedded content object. Selecting only the embedded content object is considered as an empty selection and commenting is not allowed.

You may add comments to only one embedded content object at a time. If you must add the same comment to other embedded content objects, you must add the comment separately to each embedded content object.

    • TOCs (Word only): In manual TOCs, you can comment on the heading and body of the TOC.

Commenting on automatic TOCs is not allowed. You can place the comment as close to the TOC as you can, and then refer to the TOC in your comment.

  2. In the Add Comments dialog box, enter a comment.

The Add Comments dialog box displays an entered comment mentioning a user, along with the options for formatting text, adding URL and attachment.

You can format text, mention other users, and add URLs. You can also add attachments to comments. A comment must contain text, attachment, or both.

  3. Optional: Apply rich text formatting to your comment as follows:
    • Apply formatting (bold, italics, underline).
    • Select font and font size.
    • Select font color and background color.
  4. Optional: Add URLs in your comment.
    1. Type the link text and select it.
    2. Click Link icon.
    3. Enter the URL in the Insert Link dialog box, and click OK.
    4. Optional: To remove a link, select the link text and click Unlink icon.
  5. Optional: Mention other users in your comment by typing @ and selecting the required user from the displayed list. A notification is sent to the mentioned users after the comment is posted.
  6. Optional: Attach supporting files in your comment.
    1. Click and then navigate to the file to attach and select it, and then click Open.
    2. In the Add Attachment field, enter a name for the attached file, and click OK. This name is visible in the comment.

After posting the attachment, you can rename the file by clicking the file name. You can also download it and delete it, if required.

  7. Click post comment to post your comment and close the Add Comments dialog box.

Your comment is added to the list of comments in the comments pane in the Smart View Panel, and an anchor icon, Anchor icon, which looks like a pushpin, is added to the review instance to indicate that there is a comment.

For example, this is a comment posted on a text.
