Reconcile Employee Balances for the US

Use the Employee Active Payroll Balance report to assist in reconciling your employee balances before periodic, quarterly, or year-end reporting.

Do this

Individual employees

To run this report against a single employee, use Employee Name to specify that person. If that employee belongs to multiple tax reporting units (TRUs), you can further narrow the results with the Tax Reporting Unit field.

Members of a payroll relationship group

To run this report against multiple employees, use Payroll Relationship Group. You can further narrow the results with Tax Reporting Unit. However, the report returns only data for employees that are members of the group.

All employees in a TRU

Use Tax Reporting Unit to run this report against all employees assigned to a specific TRU. However, you can further narrow the results by also using Employee Name or Payroll Relationship Group.

Employees associated with a specific payroll run

Use Payroll to run this report against all employees assigned to a specific payroll. However, you can further narrow the results by also using Employee Name, Payroll Relationship Group, or Tax Reporting Unit.

Year-end employee balances

Use this report to assist in your year-end balance reconciliation.

Quarter-end employee balances

Use this report to assist in your quarter-end balance reconciliation.

Pay-period employee balances

Use this report to assist in your pay-period balance reconciliation.

Note: If no employee balances match your report parameter criteria, the report returns an output file with no data.

Year-End Balance Reconciliation

To use this report in reconciling your employee year-end balances:

  1. Complete all payroll transactions for the year.

  2. Run the Employee Active Payroll Balance Report with these settings.

    Field name

    What you select

    Start Date

    Specify the first day of the year, such as 1/1/22.

    End Date

    Specify the last day of the year, such as 12/31/22.

    Tax Reporting Unit

    Select your TRU.

    Balance Dimension

    Select Year.

    Balance Group Usages

    Select one of these values.

    • Federal year balances

      Includes all federal-level tax balances and the most common federal-level W-2 balances.

    • Federal employee balances in end-of-year archive

      Includes balances that are reported on the W-2.

    Provide values for the other fields as needed.

  3. Run this report for other balance group usages as needed.

Quarter-End Balance Reconciliation

To use this report in reconciling your employee quarter-end balances:

  1. Complete all payroll transactions for the quarter.

  2. Run the Employee Active Payroll Balance Report with these settings.

    Start Date

    Specify the first day of the quarter, such as 10/01/22.

    End Date

    Specify the last day of the quarter, such as 12/31/22.

    Tax Reporting Unit

    Select your TRU.

    Balance Dimension

    Select Quarter.

    Quarter

    Select Quarter 4.

    Balance Group Usages

    Select Federal quarter balances.

    Provide values for the other fields as needed.

  3. Run this report for other balance group usages as needed.

Pay Period Balance Reconciliation

To use this report in reconciling your employee balances for a specific pay period:

  1. Complete all payroll transactions for the period.

  2. Run the Employee Active Payroll Balance Report with these settings.

    Start Date

    Specify the start date of the pay period.

    End Date

    Specify the last date of the pay period.

    Tax Reporting Unit

    Select your TRU.

    Balance Dimension

    Select Run.

    Balance Group Usages

    Select Federal run balances.

    Provide values for the other fields as needed.
