How do I drill to more detail in OTBI?
Start in OTBI.
In part 3 of our 3-part video series on OTBI reports, I’ll show you how to drill to another OTBI analysis to view more detail.
Here’s the report that I created in part 1, and enhanced in part 2. I’ll copy, paste, and rename this report so that I don’t lose any changes.
On the Catalog page, click to select the Age Band Summary report.
Click the Copy icon.
Click the Paste icon.
In the Catalog list, click to select the copy of Age Band Summary, then right-click and select Rename.
In the Name field, enter Age Band Drill.
Click OK.
Now I’ll edit this copy of the report.
In the Age Band Drill row, click Edit.
The first thing I want to do is remove some of the features that I no longer need, since what I want now is a list report.
Expand the View section vertically and horizontally.
In the View section, click to select Column Selector, and then click Delete.
In the View section, click to select View Selector, and then click Delete.
In the View section, click to select Graph, and then click Delete.
In the View section, click to select Pivot Table, and then click Delete.
The only view I want to keep is the table. So I’ll select that and move it back into the analysis.
In the View section, click to select Table and then click Add View.
Click the Criteria tab.
I don’t need the Assignment Count anymore, so I’ll remove that as well.
In the Assignment Count criteria, click the Settings icon and select Delete.
This report is only going to list workers, and I want to add all the columns that are found in the summary reports. So first I’ll add their names.
In the Subject Area section, click to expand Worker, and then double-click Display Name.
Then I’ll add their Person Number, Gender, and Business Unit Name.
In the Subject Area section, double-click Person Number.
In the Subject Area section, double-click Person Gender.
In the Subject Area section, click to expand Business Unit, then double-click Business Unit Name.
Next, I want to be able to filter on these criteria and make them prompted so that this report can accept these parameter values from the summary report.
In the Age Band column, click the Settings icon and select Filter.
Click the Operator drop-down list and select Is prompted.
Click OK.
Then I’ll do the same with Gender, Country, and Business Unit Name.
In the Person Gender column, click the Settings icon and select Filter.
Click the Operator drop-down list and select Is prompted.
Click OK.
In the Country column, click the Settings icon and select Filter.
Click the Operator drop-down list and select Is prompted.
Click OK.
In the Business Unit Name column, click the Settings icon and select Filter.
Click the Operator drop-down list and select Is prompted.
Click OK.
Click the Results tab.
Now I have a report that lists everyone. I want to reorganize the columns so that they’re in a more intuitive, useful order.
Click and drag the Person Number column to the far left.
Click and drag the Display Name column to the right of Person Name.
Click and drag the Person Gender column to the right of Display Name.
Next, I want to remove all the interactions in the results.
Click the Criteria tab.
In the Person Number column, click the Settings icon and select Column Properties.
Click the Interaction tab.
In the Column Heading section, click the Primary Interaction drop-down list and select None.
In the Value section, click the Primary Interaction drop-down list and select None.
Click OK.
In the Person Gender column, click the Settings icon and select Column Properties.
Click the Interaction tab.
In the Column Heading section, click the Primary Interaction drop-down list and select None.
In the Value section, click the Primary Interaction drop-down list and select None.
Click OK.
In the Display Name column, click the Settings icon and select Column Properties.
Click the Interaction tab.
In the Column Heading section, click the Primary Interaction drop-down list and select None.
In the Value section, click the Primary Interaction drop-down list and select None.
Click OK.
Click the Results tab.
All the interactions have been removed. Now I want to remove the scroll bars.
In the Table section, click the View Properties icon.
In the Data Viewing section, click to select Content Paging.
Click OK.
I’ll save this, then edit the original version of the report to call this report.
Click Save Analysis.
Click the Catalog link.
In the Age Band Summary row, click Edit.
In the Column Selector row, click Edit View.
In the Column 2 column, Assignment Count row, click the Column Properties icon.
Click the Interaction tab.
In the Value section, click the Primary Interaction drop-down list and select Action Links.
Click the PLUS icon to create a new action link.
Click the Invoke PLUS symbol and select Navigate to BI Content.
Navigate to the edited version of the report (Age Band Drill).
Click OK.
Click Options.
When I call the new report, I want it to open in a new window, or in this case a new tab.
Click to select Open in New Window.
Click OK.
Click OK.
Click OK.
I’ll select this so that when I click the link, OTBI will open a new tab and run the detail report. If I don’t select this, I’ll have to select the report from the small dialog box displaying the report link text, and that’s not what I want. I can add as many reports here as needed, but for now this is the only one I want.
Click to select Do not display in a pop up if only one action link is available at runtime.
Click OK.
Now the link to the new detail report is added to Assignment Count, but not to Head Count.
Click Done.
I’ll save the report and then run it from the Catalog.
Click Save Analysis.
Click the Catalog link.
In the Age Band Summary row, click Open.
Click the Business Unit Name drop-down list and select Country.
On the graph, in the China row, click the click the Assignment Count for 25-45.
OTBI has automatically called and run the detail report I created in a new tab, where I can see assignment details for China in the 25-45 age band.
In the browser, click the Age Band Summary tab.
The original report is still open in another tab. I can go back to it, look at Person Gender, and see details for women over 66.
Click the Country drop-down list and select Person Gender.
Click the red Female 66+ assignment count value in the top row.
OTBI opened another new tab where I can see the assignment details for females in this specific age band.
In the browser, click the Age Band Summary tab.
Now if I go back to the original report and change the view to Head Count, OTBI won’t call the other report since I only linked it to Assignment Count.
Click the Assignment Count drop-down list and select Head Count.
