Update a subject number

If you ever need to update a subject number, you can do so during the study conduct period.

Before you perform this task, consider the following:
  • When a subject number is updated, that subject is temporarily locked in the system and you cannot perform any other updates related to it. After the update is complete, you can manage your subject as required.
  • If you attempt to update multiple subject numbers at the same time, and some of the new numbers do not adhere to the subject number format required by the system, none of the subject numbers are updated and you will receive the appropriate validation messages. To ensure that you successfully update multiple subject numbers at once, you must check that the updated subject number is according to the format requirements.
  1. On the homepage, determine where to work. For more information, see Access study modes and pages.
  2. On the Subjects page, select a subject.
  3. Click Manage Subjects and select Update Subject Number(s).
    The Update Subject Numbers dialog appears.
  4. Depending on whether you want to update one or multiple subject numbers, do one of the following:

    You cannot change the subject number to one that already exists. Also, if you need to swap two subject numbers, they need to be updated at the same time.
  5. On the Update Subject Number(s) dialog, if you want to remove a subject number that you added for an update, click the Delete icon (Trashcan icon) next to the corresponding row.
  6. In the Reason for Change text box, enter a reason for your change.
    The text you enter here must not exceed 255 characters.
  7. Click Update.

    A dialog appears indicating that the update of the subject numbers is complete. Click OK.

    Based on your permissions, you may receive an email notification for each subject for whom the subject number was updated.

To view the history of subject number updates for a subject, select the subject, and expand the Subject History side panel. A Subject Number Changed update is displayed in the subject's history.
