Editing Transactions

Users at times need to be able to edit one or more transactions in a single update. An administrator has to first allow preparers the ability to edit transactions in an Unmatched or Supported state on the Unmatched Transactions dialog by allowing it for individual data source attributes in a Match Type. The ability to edit is set to No as the default.

If editing is allowed, it displays with an Edit icon (pencil) on the Unmatched Transactions dialog. If a preparer performs an edit, a checkmark displays that it has been edited. In addition, there is also audit history available that shows the old and new values.

When you edit the value of a Number attribute, the value entered is rounded off based on the Decimal Places specified when defining the attribute. When you edit the balancing attribute, the value is rounded off to a precision that is inherited from the currency code of the default currency of the lowest currency bucket that is enabled for the Profile.

There are two parts to editing transactions:

  5. Select the Allowed to Edit check box and click Save.

You can allow editing to multiple attributes in a data source but it must be done one attribute at a time.

  6. Change the status of the Match Type to Approved.

Editing Transactions As Performed By Preparers

Once an administrator has allowed edits, preparers will see an Edit icon (Pencil) on the Unmatched Transactions dialog.

Unmatched Transactions with Allowed Edits

You can edit the values of attributes using the following methods:

  • Inline Edit

Use inline editing to quickly edit one value or one transaction at a time.

By default the grid is in read only mode. To edit a value inline, a Service Administrator must have enabled inline editing by selecting Enable Inline Edit in the Transaction Matching configuration settings.

Double-click the cell of the editable attribute that must be updated and enter the new value. You can also select the cell and press F12 to make the cell editable. The change is saved when the focus moves out of the current cell. To cancel an edit, press the Esc key. If a tool tip is displayed during inline edit, you may need to press the Esc key twice to dismiss the tool tip and cancel the edit. If there are any validation errors caused by the edit, the value is not saved and error is reported.

  • Bulk Edit

Bulk edit is used to update one or more transactions at a time. To perform a bulk edit, use the Edit icon as described in the following procedure.

To edit transactions on Unmatched Transactions:

  1. From Home, select Matching, and then select the reconciliation you want to work with.
  2. On the Unmatched Transactions, select one or more transactions that you want to update and then click the Edit icon.
  3. Once you select Edit, you see the Edit Transactions dialog with only the attributes that have been allowed by an administrator to be editable.

  4. Select an attribute and you can make a change in the Value field. Then click Save.

In the case of group attributes, you can update the key attribute only. The values of other member attributes are updated based on the key attribute selected. Select the required key and click the Edit icon to display the Edit Transactions dialog. Click the Value icon and select the required key attribute from the Select dialog.

  5. Click Yes to continue and make that change. Then close that dialog and return to the Unmatched Transaction dialog. Notice that because you performed an edit, there is a checkmark in the Edited field for that transaction.

Note:

If you make a change to an Amount or Accounting Date, then the system updates the Balance Summary.
