Using Oracle Fusion Global Payroll for the United States involves managing multiple payroll cycle tasks, from maintaining personal payroll info for your employees to running payroll processes and reports.

Manage Payroll Transactions

Payroll flows are used to perform many of your payroll transactions. If you load data, calculate payroll and payments, run reports, or calculate and distribute cost results, you submit payroll flows. You monitor and manage each task and overall payroll flow.

As part of getting ready for your payroll run, make sure that everything at the organization level is up-to-date.

Verify Your Readiness

A good payroll run depends on many tasks performing successfully. Before you start your run, here's a checklist you can follow to help ensure it's successful.

  1. Confirm completion of all payroll prerequisites.

  2. Review the Payroll Dashboard for notifications, and take any actions requiring your attention.

  3. Run the Payroll Data Validation Report to identify noncompliant or missing statutory info for people in a payroll statutory unit.

Calculate, Validate, and Balance Payroll

After you have verified your payroll readiness, it's time to run payroll. Start the US Simplified Payroll Cycle flow, or start a flow you have configured yourself.

After you run the Calculate Payroll process, you validate its results. Then you make any necessary corrections and try again.

Calculate and Validate Payment Distributions

When you run the US Simplified Payroll Cycle flow, the Calculate Prepayments process starts automatically when you review and verify the Gross-to-Net Report. For further info, see Calculate and Validate Payroll Payment Distributions for the US in the Help Center.

When it completes, review the distribution of payments across employee personal payment methods in its process results.

If you find issues:

  1. Fix the data.

  2. Retry the action or roll back the record to remove them from the run.

  3. After you fix the data in the removed record, run the prepayments process again.

Distribute Payroll Payments

After you have validated the payment distribution amounts, you're ready to distribute payments.

Generates electronic funds transfer (EFT) payments for all payees with a payment method of EFT.

Addresses special situations where you want to cut a check after using QuickPay instead of the normal payment process, such as:

  • Replace a lost check that you voided

  • Create a final payroll check for a terminated employee

  • Pay using a different payment type or payment source than specified in the normal payment process

To distribute payroll accounting info, you typically:

  1. Run the Transfer to Subledger Accounting process to create journal entries for posting to Oracle Fusion General Ledger.

  2. Submit the Create Accounting process in draft mode to create journal entries for review.

  3. After you're satisfied with the journal entries, run it again in final mode to create, transfer, and post journal entries.

Manage Regulatory and Tax Reporting

You can use business outsourcing solutions providers such as ADP to help you with a variety of functions.

  • Form W-2 and 1099-R printing

  • Filing of federal, state, and local taxes

  • Performing quarter-end and year-end reporting for the US and its territories

If you're using such a third-party provider, use the Third-Party Tax Filing Extracts. They extract all your relevant payroll data into an output file suitable for submission to your provider.
