Autocapture Appointments

Let your users' appointments be automatically synced between Microsoft Exchange and Sales. With autocapture enabled, your salespeople don't have to categorize the appointments as Shared with Oracle anymore, for them to be syncronized.

After you enable autocapture of appointments, here's what happens:

  • The application automatically shares the appointments that have a Sales contact in the recipients list.
  • When all the contacts on the appointment invitee list belong to the same account, the sync engine automatically determines the account and assigns the appointment to the appropriate Sales records.

Enable Appointment Autocapture

Let's see how you enable the application to automatically create appointments in Sales, even if they aren't categorized as Shared with Oracle in Outlook. This setup means your users save time, because they don't have to share appointments manually by setting the category of the appointment.

  1. Navigate to the Manage Microsoft 365 page.

  2. Under Synchronization Settings > Appointments ensure that Enable Sync setting is checked.
  3. Under Appointment Sync Settings, enable the Autocapture Appointments option.
  4. Save your changes.
Autosync Private Appointments and Blocked Time

Depending on your organization's preferences, you can let the application autosync private appointments and capture the blocked time of users, as well. See the next two sections for more information.

Sync Private Appointments

You can configure the application to synchronize private appointments. When you sync private appointments, even appointments that a user has marked as explicity private in Outlook are syncronized to Sales. Here's how to enable this feature:

  1. Navigate to the Manage Microsoft 365 page.

  2. Under Synchronization Settings > Appointments ensure that Enable Sync setting is checked.
  3. Ensure that Autocapture Appointments is checked.
  4. Enable Include Private Appointments from Outlook.
  5. Save your changes.

Enable Sync of Blocked Time

Now, let's see how you enable the application to also synchronize "blocked time" appointments. Blocked times are the appointments that don't have any invitees. Salespeople sometimes create such appointments to block some time on their calendars to complete priority tasks or for other reasons.

  1. Navigate to the Manage Microsoft 365 page.

  2. Under Synchronization Settings > Appointments ensure that Enable Sync setting is checked.
  3. Ensure that Autocapture Appointments is checked.
  4. Enable Capture Appointments with Empty Invitee List.
  5. Save your changes.
