How do I create a task in Journeys?

Hello, in this video, I’ll explain how to create a task in Journeys.

First, there are a few considerations when creating tasks. Whether it’s a predefined task or a brand new task, a task only becomes relevant when you add it to a journey. Most times you can use the predefined tasks that are available, but sometimes you may have to create new tasks altogether, which is what we will focus on in this video.

You may choose to create a new task when:

  • You create a personal journey

  • You edit a personal journey, or

  • When you manage an assigned journey.

Let’s say your company wants to enable new hires the ability to provide proof of their COVID vaccinations within the first 7 days of their employment.

You first need to create a new journey, then create a new task. You can create journeys and their corresponding tasks by using Journey Templates, or through the Explore tab in the Journeys app.

In this example, let’s create tasks using Journey Templates. We’re logged in as Curtis Feitty, who is an HR Specialist.

From the Home page, click My Client Groups.

Then from the Apps Section, click Journeys Setup.

On the Journeys Setup page, select Journey Templates.

On the Journey Templates page, create a new journey.

On the Journey Templates page, click Create.

On the New Journey page, you have the option to create a new journey, copy an existing journey to modify it to your requirements, or use AI Assist. In this example, create a new Journey.

In the Creation Method, select New.

In the Category field, we will select On Boarding since this is for new hires.

In the Category drop-down list, select On Boarding.

Enter a display name and select the number of months for archive and purge. Then create the draft.

In the Name field, enter Vaccination Certificate.

In the Archive after how many months? field, enter 3.

In the Purge after how many months? field, enter 3.

Click Create Draft.

On the Vaccination Certificate page, edit to enter the following details:

  • Enter a journey title.

  • Enter a description.

  • Save the information.

  • Then scroll down to add a task.

On the Vaccination Certificate page, click the Edit Basic details icon.

In the Add a journey title field, enter Vaccination Certificate.

In the Description field, enter Vaccination proof for employees.

Click Save.

Scroll down to add a task.

You have the option to create a new task, select an existing task from a task library, or add a task group. Create a new task.

In the Tasks section, in the Add drop-down list, select New Task.

On the New Task page, enter a Task Name and Task Description.

In the Task Name field, enter COVID-19 Vaccination Certificate.

In the Task Description field, enter Upload covid vaccination proof.

We want this to be a required task, so we’ll make this task mandatory.

In the Make this task mandatory drop-down list, select Yes.

In the Performer field, we’ll select Worker, as it will be the worker completing the task.

In the Performer drop-down list, select Worker.

In the Owner task, we will select Initiator as we will be the one managing the task.

In the Owner drop-down list, select Initiator.

Since this will be a manual task for the worker, in the Task Type field we’ll select Manual task.

In the Task Type drop-down list, select Manual Task.

And new hires will have 7 days to complete this task.

In the Duration field, enter 7.

In the Time Unit drop-down list, select Days.

We’ll select 10 days after assigned date in the task expiration fields.

In the When does this task expire? drop-down list, select After assigned date.

In the After how many days? field, enter 10.

Since we want new hires to upload a document, we’ll enable attachments.

Click Enable attachments.

In the Add attachments to document records field, we'll select COVID-19 Vaccination.

In the Add attachments to document records drop-down list, select COVID-19 Vaccination.

In the Whom are the attachments for? field, we'll select the performer of the task, who in our example is the worker.

In the Whom are the attachments for? drop-down list, select Performer.

Save the task.

Click Save.

The task is added to the Tasks section for the journey. Note that if you add another task, it’s added to the end of the existing task list.

Activate the journey.

Click the Activate button.

Now navigate to Journeys. The journey gets added to the Explore page. You can now assign this journey to an employee.

Click the Home icon.

Click My Client Groups.

Click Journeys.

Click the Explore tab.

In the filters, deselect Personal.

In the Category drop-down list, select On Boarding.

Click the Vaccination Certificate tile.

Click Assign.

In the Assign Journey page, select the person to assign it to.

In the Select a Person field, enter Hope Hightower.

Click Hope Hightower,

Click the Assign button.

After you assign a task to a performer, you are now taken to the Team Journeys page where you can find the journey. You can then edit the task or due date, send a reminder, reassign the task, or remove it.

On the Team Journeys page, select Hope Hightower for the On Boarding journey.

In the Employee tasks section, for the COVID-19 Vaccination Certificate row, click .

View the options.
