Set Up Organizations

In this example, you will understand how you can set up organizations to use in the application.

To set up organizations for projects, you must complete the following tasks:

  • Select the organization hierarchy type

  • Create organization hierarchy

  • Classify organizations

  • Select organization hierarchies for the business unit

  • Create project unit and configure implementation options for the project unit.

  • Associate project units with business units

  • Run the process to maintain project organizations

Before You Begin

Verify that you have completed the following prerequisite steps.

  1. Create organization hierarchy type in HCM application.

  2. Create organizations using HCM applications. For this example, create Vision Operations as a Business Unit, Operations East and Operations West as Departments.

  3. Enable the Project Accounting business Unit function for all project business units.

Select the Organization Hierarchy Type

Select the organization hierarchy type, which enables you to assign organization hierarchies, such as the project and task-owning organization hierarchy and project expenditure organization hierarchy, to business units. Also, many organization classifications are available but all may not be relevant to a project. Only organizations with the classifications that you select in this task are available in various work areas of the application.

  1. In the Setup and Maintenance work area, go to the Manage Organization Hierarchies and Classifications task in the Project Organizations functional area.

  2. On the Manage Organization Hierarchies and Classifications page, in the Organization Hierarchy Types region, select the HCM Organization Hierarchy Tree Structure option.If you use an organization hierarchy, you must use the same organization hierarchy type in both Project Financial Management applications and Oracle Fusion Global Human Resources applications.
  3. On the Manage Organization Hierarchies and Classifications page, in the Organization Classification region, use the Available column to select the organizations that are relevant to projects, as shown in this table.

Create the Organization Hierarchy

Trees are hierarchical data models that you can use to organize data, apply business rules, control data access. You can use the hierarchy to manage data at various levels of the organization.

  1. In the Setup and Maintenance work area, go to the Manage Organization Trees task in the Workforce Structures functional area.

  2. On the Manage Organization Trees page, click Create Tree.

  3. On the Specify Definition Page, enter the following values and Click Next.

  4. On the Specify Labels page, click Next.

  5. On the Specify Access Rules page, click Submit. The application creates a tree with name Corporate Tree Structure.

  6. On the Manage Organization Trees page, search for Corporate Tree Structure tree.

  7. Select the Corporate Tree Structure row and click Create Tree Version.

  8. On the Specify Definition page, enter the following details and click Next.

  9. The application displays a confirmation message. Click OK to create nodes within the tree version.

  10. On the Specify Nodes page, click Add. And then on the Add Tree Node window, click Search.

  11. On the Search Node window, enter Vision Operations in the Name field and click Search.

  12. From the Search Results, select Vision Operations with classification as Business Unit and Click Add Tree Node. On the Specify Nodes page, you can see the Vision Operations Node.

  13. Select the Vision Operations Node row and click Add to add a child node.

  14. On the Add Tree Node window, click Search. On the Search Node window, enter Operations East in the Name field and click Search.

  15. From the Search Results, select Operations East with classification as Department and Click Add Tree Node. On the Specify Nodes page, you can see the Operation East node created under the Vision Operations node. Similarly, Create Operations West node under Vision Operations node.

  16. Click Submit. Click OK on the confirmation message.

  17. Select the Corporate Tree Structure Version 1 row and from the Actions menu, click Set Status Active. When you click Active, the application displays Manage Organization Trees page.

  18. On the Manage Organization Trees page, click Online Audit. Once the audit completes to 100%, click OK.

  19. Click Done.

  20. Select the Corporate Tree Structure Version 1 row and from the Actions menu, click Flatten Row Flattening. Row flattening is done to denormalize the tree. When you click Row Flattening, the application displays Manage Organization Trees page.

  21. On the Manage Organization Trees page, click Online Flattening. Once the flattening completes to 100%, click OK.

  22. Click Done. The organization hierarchy is ready to use in the application.

    Similarly, create another organization hierarchy named Organization Tree Structure if you want to use different hierarchies for project and task owning organizations and expenditure organizations.

Classify Organizations

Use the Manage Project Organization Classifications task to classify organizations as a project and task owning organization or to incur expenses. These settings are used during the project creation flow to restrict the list of organizations that can own the project.

  1. In the Setup and Maintenance work area, go to the Manage Project Organization Classifications task in the Project Organizations functional area.

  2. On the Manage Project Organization Classifications page, in the Search region, select Department in the Classification field, enter current date in Effective Date field, and click Search.

  3. In the Search Results region, select Operations East and Operations West rows and click Edit.

  4. On the Edit Project Organization Classifications page, in the Review Selected Organizations section, click Continue to enable the Classify Organizations section.

  5. In the Classify Organizations section, complete the fields, as shown in this following table.

  6. Click Save and Continue.

    Note: If later you create new organizations under the existing organization structure then you can use the Manage Project Organization Classifications task to also add these new organizations to the existing tree structure and run the Maintain Project Organizations process in a single guided flow.

Select Organization Hierarchies for the Business Unit

Use the Configure Project Accounting Business Function task to specify an entire organization hierarchy to associate with the business unit by selecting the top node on the tree, rather than individually associating organizations with the business unit. Specify part of an organization hierarchy by selecting an organization at any level of the hierarchy as the starting node on the tree. Oracle Fusion Project Portfolio Management associates all organizations in the hierarchy from the starting node down with the business unit.

  1. In the Setup and Maintenance work area, go to the Configure Project Accounting Business Function task in the Project Organizations functional area.

  2. On the Configure Project Accounting Business Function page, in the Basic tab, in the Project Task Owning Organization region, enter the following values.

  3. If you want different hierarchy structure for cost owning organization, then enable the Use different details for project expenditure organization option.

  4. On the Basic tab, in the Project Expenditure Organization region, enter the following values.

  5. Click Save and Close.

Create and Configure Project Unit

To create a project unit organization, either enable an existing organization as a project unit or create a new organization as a project unit. After the project unit is enabled for an organization, the project unit appears in searches on the Manage Project Units page.

Note: If you don't configure Manage Project Unit task, your project unit won't appear in the list of available projects in the Configure Project Accounting Business Function task.
  1. In the Setup and Maintenance work area, go to the Manage Project Unit Organizations task in the Project Organizations functional area.

  2. On the Manage Project Unit Organizations page, enter the following values.

  3. Click Save and Close.

  4. In the Setup and Maintenance work area, go to the Manage Project Units task in the Project Organizations functional area.

  5. Search for Project Operations, select the row and click Edit.

  6. On the General Properties page, enter the following values.

  7. Click Next.

  8. On the Related Business Units page, select the business unit you want to associate with Project Operations. If a business unit is not configured, then skip the Related Business Units step and associate the business unit as part of the Configure Project Accounting Business Function setup task.

  9. Click Next.

  10. On the Reporting Setup page, select the options for reporting as required.

  11. Click Save and Close.

Associate Project Units with Business Units

  1. In the Setup and Maintenance work area, go to the Configure Project Accounting Business Function task in the Project Organizations functional area.

  2. On the Configure Project Accounting Business Function page, select the Advanced tab.

  3. In the Project Units section, from the Available Project Units column, select the project units to associate with this business unit according to the following table.

  4. Click the right arrow to move the selected items to the Selected Project Units column.

  5. Click Save and Close.

Run the Maintain Project Organizations Process

You must run the Maintain Project Organizations process to ensure the organization changes are complete after you:

  • Classify organizations as project and task owning or project expenditure owning organizations.

  • Add or classify new organizations.

  • Change organization hierarchy type.

Use the following steps to run the process.

  1. Navigate to the Scheduled Processes page.

  2. Click Schedule New Process.

  3. Search for and select the Maintain Project Organizations process.

  4. In the Process Details window, click Submit.
