Explain Charges Posting Rules

There are two ways to post charges in Service Logistics. You can post them manually or you can set them up to post automatically.

You can either manually post or automate the posting of charges for generic, OFSC and third-party work orders. You must opt-in for the Automatically Post Charges feature.

  • Manual Posting

    For manual posting of charges:

    • Review the debrief lines and post the charge lines manually using the Post Charges option in the Manage Charges and Estimates page (for field service debrief).

      This field service debrief and posting functionality is enabled and ready to use.

    • Confirm the Post Charges or Post Charges with Rules privileges have been assigned to users so they can see the Post Charges button in the Manage Charges and Estimates page.

      Users who don't have these privileges assigned see the Complete Debrief button in the Manage Charges and Estimates page. When they click this button, the debrief line status is updated to the Needs Review status or the Posted status based on the auto processing rule check. When the charge line is in Needs Review status, the field service administrator will review the debrief line and post charges.

  • Automatic Posting

    For automatic posting of charges:

    • Set up automatic processing rules for charges. If the debrief lines meet the criteria specified in the rule, the rule check processes. If the rule check runs successfully, the charges are posted and the sales order is created. If there are errors, the debrief status updates to Needs Review. The field service administrator must then review the debrief and post charges.

      This feature is useful in large-scale businesses that have hundreds of debrief transactions from work orders. For example, you could set up a rule to:

      • Find debrief charges for business unit ABC.

      • Automatically post debrief charge lines for amounts less than 2500 USD.

      • Manually review and post debrief charges that are greater than 2500 USD.

Note: The Service Logistics landing page has a Needs Review infolet. When a field service administrator reviews these debrief lines, they see the reason a charge line wasn't posted along with any conditions that failed a rule check.
