Managing Inspections for a Permit

The permit information includes a consolidated list of inspections related to a permit and subapplications. As a permit coordinator, you manage inspection activity for a permit—including status, inspection results, code or requirement violations, and more—on the Inspections list page in the permit details.

As agency staff, you use the Inspections list page in the permit details to view a complete list of inspections for a permit application and its subapplications. Registered public users only see inspections in the list for permits for which they are the applicant or a contact with permit access.

Tip: You can access this page on a mobile device as well as on a laptop or desktop computer. The layout and some functionality changes based on the device you are using. For more information about using the Overview page on a phone, see the Performing Inspections on Oracle Inspector.

As agency staff, you can perform these tasks on the Inspections page in the permit details:

  • Manage inspection activity for a primary permit and its subapplications.

  • Access inspection details.

  • Request, schedule, postpone, reschedule, cancel, or claim an inspection.

  • View prerequisite and required inspections in a diagram.

  • Update inspection dependencies at the application level.

  • Work with inspection types for which the inspector arrives unannounced at inspection site.

Only agency staff can update inspection dependencies for the primary permit and subapplications on the permit's Inspections list page. For information, see Working with Inspection Dependencies.

Here's how you can navigate to the list of inspections for a permit:

  1. Select the Permits tile on the Agency Springboard.

  2. On the Transactions – Permits page, click the row for the permit application you are working with.

  3. Click Inspections in the left navigation panel of the permit details to open the inspections list for the permit.

You can view the same information and perform many of the same actions on other inspection pages as well, including the Inspection request page for a permit, the Inspections console page for agency staff, and the consolidated Inspections list page for registered public users. Viewing Inspection Activity

On the permit's Inspections list page, you can monitor inspection activity in the grid.

Description

Pending

Turn on the Pending filter switch to view only the inspections in a Pending status in the grid.

Pending inspections can be manually created by agency staff or automatically created for an application type, depending on agency-level setup. Inspections are moved to a pending status when an inspection is postponed or indefinitely put on hold. Registered public users can only postpone inspections if allowed by the agency. For more information, see Setting Up Agency-Level Options for Permits.

This Permit

Turn on the This Permit filter switch to view only the inspections for the current permit in the grid. When the switch is turned off, the list displays all inspections, including inspections for linked permits.

Inspection

View the inspection number that was automatically generated based on the autonumbering definition in the inspection type.

Inspection Type

Displays the inspection type, which determines the scheduling method, assessment type, passing rule, rating method, scoring method, type of inspection checklist, and so on. For more information, see Setting Up Inspection Types.

Unannounced

Indicates whether the inspection type is for an inspection where the inspector arrives unannounced, without any prior communication sent to the applicant. Unannounced inspections are hidden from applicants and contacts with application access until the inspector has submitted the inspection results. For more information, see Setting Up Inspection Types and Setting Up Inspection Groups.

Required

Indicates whether an inspection type is required.

Status

View the inspection status, which can be one of these, depending on the inspection statuses defined by your agency:

  • Scheduled

  • Requested

  • Completed

  • Canceled

  • Pending

When the Pending filter switch is on, you only see the inspections with a Pending status.

Inspector

Identifies the inspector assigned to the inspection.

The date or date and time of the scheduled inspection is displayed beneath the inspector’s name.

Public users can't see the inspector name on inspections or request inspectors.

Property

View the address of the property associated with the inspection.

Preferred Date

Displays the preferred date and time for inspections configured with the Request scheduling method. Depending on your agency's setup, you may only be required to enter a date.

Ready-by Date

Displays the date and time when the work is ready to be inspected for inspections configured with the Ready scheduling method. Depending on your agency's setup, you may only be required to enter a date.

Scheduled

Displays the date or date and time when the inspection is scheduled.

Depending on your agency's setup, you may be required to enter only a date or time range, such as "Morning" or "Afternoon."

Application and Application Type

Displays the permit number and permit type that this inspection is for. The list contains inspections for the primary permit and its subapplications, if any.

Relationship Type

Indicates whether the inspection is associated with the primary permit (Primary) or one of its subapplications (Subapplication).

You can click the column title to change the sort order to display inspections associated with primary permits or with subapplications first.

Completed

Displays the date and time when the inspection was completed.

Result

View whether the inspection passed or failed.

Reinspection

For failed inspections that have been reinspected, this column displays the unique identifier for the reinspection.

For reinspections, this column displays the unique identifier of the original failed inspection.

Note: Reinspection information appears after you submit a reinspection request. The Reinspect button is available for failed inspections.

Performing Actions on Inspections

Let's take a look at the actions available on the list of inspections for a permit.

Add Inspection

Click this button to request an inspection on the Inspection page. See Requesting Inspections.

You can't create a new or duplicate inspection when an inspection of the same type is already in a Pending status; you can schedule the existing pending inspection.

Update Dependencies

Click the link to view and modify the prerequisite inspections for each inspection type associated with the primary permit and any subapplications that are linked to it. On the Update Dependencies page, you can review all of the inspection types, including whether the inspection type is required or final. Expand the inspection row to add or remove prerequisite inspections. For more information, see Working with Inspection Dependencies.

Note: Unannounced inspection types can't have prerequisite inspections or be prerequisite inspections for other inspection types. The dependencies setup is unavailable for unannounced inspections.

View Dependencies

Click the link to view a graphical representation of the default prerequisite inspections and any updates. Agency staff and public users with application access can view the dependencies as well as required inspections. For more information, see Working with Inspection Dependencies.

View Subapplications

Click the link to view the subapplications linked to the primary permit. You can also click Linked Permits in the left navigation panel of the permit details. See Working with Linked Permits.

This Permit

Turn on the This Permit filter switch to view only the inspections for the current permit in the grid. When the switch is turned off, the list displays all inspections, including inspections for linked permits.

Assign icon

Click the icon in the Assign column to assign an inspection to an inspector for a specific date or date and time on the Scheduling modal page. The icon appears only for users with the PSC Inspections Supervisor role. This column is not visible to registered public users.

If an inspection is already assigned, but not yet completed, this button enables you to reassign the inspection.

Note: You'll receive a warning when you assign or reassign an inspection with prerequisite inspections that haven't passed or been corrected.

Reinspect

Click this button to access the Inspection request page where you can submit a reinspection request for a failed inspection. The reinspection request has a new inspection ID, and it includes all of the information from the failed inspection. Before submitting the reinspection request, you must enter the required scheduling information based on the scheduling method of the inspection.

You can access more actions by clicking the actions icon in the Actions column:

The table here describes the options for viewing the inspection request, viewing inspection detail, and claiming an inspection.

View Request

Click to review, update, or cancel an inspection on the Inspection request page. For more information about inspection requests, see Requesting Inspections.

View Detail

Click to view the inspection details on the Inspection Detail page. See Reviewing Inspection Details.

Assign to Me

Claim a scheduled inspection assigned to another inspector. This action is available when the inspector who claims the inspection has the Building Inspector job function with district and inspection type job attributes that match the inspection's district and type attributes.

If you want to reschedule the inspection, click the View Detail action to select a new date and time on the Inspection Detail page. Depending on your agency's configuration, you may only be able to select a date.

Inspectors can also claim inspections on the Inspections console page and in the Oracle Inspector mobile application.
