Setting Up Contractor Registration
Contractor registration in the Business Licenses offering provides the process for contractors to register their contractor licenses with the agency. Your agency can configure a business license transaction type with the contractor registration subclassification.
The Contractor field group on the business license application designer allows the agency to collect contractor license information such as classification, insurance, bond, and more in the registration intake form. Agencies can optionally add instructional text to provide guidance and instructions in each contractor license section as well as hide sections they don't want to use.
The agency can also set up communications, fees, expiration, and the renewal and amendment process for contractor registration transactions, as for business license transactions. When contractors renew or amend their registration, the original contractor license information is copied over to the renewal or amendment.
Several steps are required for your agency to set up contractor registration:

Set up and manage instructional text.
The agency staff can set up and manage instructional text which will help them to configure the contractor page on the intake form. Create the instructional text and group the instructional text using categories on the Instructional Text page. For contractor registration, you can embed instructional text in each section of the contractor field group when designing the intake form.

Set up contractor license sections.
The Contractor License Sections page allows the users to customize section titles. When you change the description, the section labels on all contractor pages are changed. This includes contractor information in the Contractors list page, intake form, and application or transaction detail pages for permits, planning applications, and business licenses.

Set up contractor license options.
In the Section tab on the Contractor License Options Details page, you can enable the sections on all contractor pages including the agency's contractor list and the Contractor field group on intake forms and application details pages for permits, planning applications, and business licenses. The field Limit License Usage to Authorized Contacts allows only authorized applicants to use the contractor license. A contact is authorized to use the contractor license only when its status is Verified or Active for the contractor license.

Set up validation groups.
The contractor validation group will validate contractor licenses on the transaction for expiration date, license type, classification, and insurance. The usage values are Permits, Business Licenses, and Planning Applications. The usage field identifies the offering where the validation group is used. When you add a license on an application, the validation group performs the contractor validation. The validation is also displayed on the Application Details page.

Set up business license expiration rules.
For business licenses, you can set up rules to define when an inactive pending application expires or when the business license expires. As you set up the expiration rules, keep in mind the type of business license the rules are for.

Set up business license applications.
Set up contractor registration applications using the Contractor Registration subclassification.
Associate a contractor validation group with the business license type for the system to perform validations on the entered contractor license. The validations are also performed on the Contractor page in the transaction details.
The application will require at least 1 contractor license on the application, depending on the agency configuration of the Contractor field group in the intake form designer. Only applications using the Contractor Registration subclassification require a contractor license.

When a contractor registers using the configured form, they add contractor licenses and contacts:

Add contractor licenses.
Agency staff with appropriate permission can automatically or manually add a contractor license to the contractor records.

Add contractor license contacts.
Agency staff with appropriate permission can automatically or manually add contractor license contacts to the contractor records. Active and Verified contacts are authorized users of the contractor license and can be referenced on application transactions.
These fields provide information for contractor registration on the Contacts grid:

License Holder: Identifies the contact as the license holder.

Active: Indicates whether the contact is active.
You can review and update this information on the Contact Details page:

Verification status: When the field is changed to Verified, the Active checkbox will be selected. When the verification is pending or fails, the checkbox will be deselected.

Active: Indicates whether the contact is active.

Active Status Last Updated: Indicates when the active field was last updated.

License Holder: Identifies the contact as the license holder.
