Rescheduling, Postponing, and Canceling Inspections

Agency staff and applicants can reschedule, postpone, or cancel an inspection, depending on the inspection type setup and agency settings for public users. This topic discusses rescheduling, postponing, or canceling a permit inspection displayed in the Redwood Experience.

Agency staff can always cancel inspections and postpone scheduled or requested inspections, but registered public users can only postpone or cancel inspections based on the agency-level options for permits and business licenses. Agency staff and registered public users can modify an inspection in the Redwood Experience on the Inspections page in the permit details. For more information about updating inspections in the Redwood Experience, see Reviewing Inspection Details.

Note:

Applicants and contacts with application access can't reschedule, postpone, or cancel an inspection once the scheduled inspection is within the number of hours defined in the Schedule Change Policy field for the inspection type. For more information about schedule change policies, see Setting Up Inspection Types.

This table provides details about when you can cancel, postpone, and reschedule inspections, based on the inspection status. Details are provided in the surrounding text.

Note:

When the inspection status is Completed or Canceled, you can still add an inspection to the Origination activity of a business license application due to recurring inspections.

Rescheduling an Inspection

Agency staff and registered public users can select the Reschedule option in the Actions menu or in the inspection details to remove inspections from the schedule and request or select a different time or date, depending on the scheduling method for the inspection type.

The Resechule option opens the drawer where you can make your selections. For inspections configured with the Ready scheduling method, you enter a new date and time when the work is ready to be inspected. For inspections configured with the Request scheduling method, you enter a new preferred date and time. Depending on your agency's setup, you may only be required to enter a date. Agency staff with permissions can click the Override button to override inspector availability on the schedule.

Note:

The Reschedule option isn't available for public users once the time to the scheduled inspection is less than the number of hours defined in the Schedule Change Policy field for the inspection type.

When you or the applicant reschedule an inspection, the applicant, inspection contact, inspector, and inspection supervisor can receive a notification, depending on the communication template setup.

Postponing an Inspection

Select the Postpone option in the Actions menu or in the inspection details to take an inspection off the schedule. This action moves the inspection into the Pending status. You can postpone inspections that have been requested or a scheduled status when you want to wait to schedule the inspection. Agency staff can always postpone inspections, but registered public users can only postpone or cancel inspections based on the Schedule Change Policy for the inspection type.

Canceling an Inspection

Agency staff can manually cancel inspections, and registered public users can cancel their inspections, depending on the agency-level setup for permits or business licenses. Inspections are also canceled automatically when an agency staff member withdraws the application associated with the request. Canceling an inspection permanently removes the inspection appointment; if needed, you can schedule a new inspection.

Note:

Depending on agency-level setup for permits or business licenses, public users may be able to cancel any of their inspections, none of them, or only the inspections that aren't required for the application. Registered public users must drill into the inspection details to cancel the inspection, when the option is available. For more information, see Setting Up Agency-Level Options for Permits and Setting Up Agency-Level Options for Business Licenses.

The Cancel Inspection action isn't available for inspections with a status of Canceled or Completed.

  1. Select the Cancel Inspection option in the Actions menu or in the inspection details.

  2. Enter a Cancellation Reason on the Cancel Inspection modal page. Your agency may require comments, depending on settings in the agency options.

  3. Click Confirm.

When you or the applicant cancel an inspection, the applicant, inspection contact, inspector, and inspection supervisor may receive a notification, depending on the communication template setup.
