Set Up the Approvals Work Area
By default, when users click Navigator > Tools > Worklist, they get the Worklist: Notifications and Approvals work area. You can set things up so that they get the Approvals work area instead with Navigator > Tools > Approvals. The Worklist menu item would no longer be available.
Before You Start
Ensure your environment is enabled for hybrid search:
- In the Setup and Maintenance work area, on the Setup page, open the Tasks panel tab and click Review Topology. If you don’t see this link, ask your security administrator to give you the Review Topology Manager (ASM_REVIEW_TOPOLOGY_HIERARCHY) privilege.
- In the Diagnostic Tests tab, select the Enterprise Application Configuration subtab.
- In the Enterprise Application list, search for and select Oracle Hybrid Search.
- There are two Validate External Enterprise Application Endpoint URL rows, one with an active Run icon. Click the Run icon in the Validate External Enterprise Application Endpoint URL row in which it's available. Wait a few minutes for the process to complete. The Validate Enterprise Application and Module Endpoint URLs page should show a URL in the External Endpoint URL column for Oracle Hybrid Search.
Do the Setup
- In the Scheduled Processes work area, run the Create Approvals Search
Index scheduled process, which batches processing to build an
index of workflows. Don’t schedule this to run on a recurring basis. This
process creates search indexes for existing workflow tasks. The search engine
for the Approvals work area uses these indexes.
In some cases, you might need to run the process again in the future, for example to apply new settings or features retroactively to existing tasks. In the Process Details, to reingest tasks in your index after an initial run set the following options:
- Select Yes for the Reingest optional parameter.
- In the From optional parameter, enter a date from
which to ingest tasks. If you leave this blank, all tasks are
ingested.Note: When you reingest, the existing index is dropped after 14 days of workflows are ingested and used in the new index. The new index and the application remain available, but the open approvals count may be lower while background tasks are ingesting remaining tasks.
- Make sure the Create Approvals Search Index process is done running.
- Set the Approval Requests UI Enabled (ORA_FND_APPROVALS) profile option.
- In the Setup and Maintenance work area, go to the Manage Applications Core Administrator Profile Values task in the Application Extensions functional area.
- On the Manage Applications Core Administrator Profile Values page, search for and select the Approval Requests UI Enabled profile option.
- In the Profile Values section, set the profile value depending on
whether you want the Approvals work area to be available to all users or
only some users.
- For all users, select Yes in the Profile Value column for the Site level.
- For only some users:
- Leave the profile value set to No at the Site level.
- Click the New icon on the toolbar.
- In the new row, select User in the Profile Level column.
- In the User Name column, select the user you want to make the work area available to.
- Select Yes in the Profile Value column.
- Repeat steps ii through v to add more users.
- Click Save and Close.
Users can get to the Approvals work area next time they sign in.
Enable the Oracle Search for Workers List of Values
In order for the User drop-down to work when requesting information or reassigning from the Details page, you need to enable the Oracle Search for workers list of values. For details, see Set Up Oracle Search for List of Values (see the Oracle Search for Workers List Of Values section).
The Workers List of Values is only available for workers. If you attempt to assign a task to a non-eligible worker, you will get an error. If a task needs to be assigned to a user account that's not a worker, the action will need to be taken from Business Process Management.
