Setting Up Recurring Inspections and Reinspections
Use recurring inspection and reinspection setup to automatically create follow-up inspections for permits. Agencies can configure reinspections to be created when a completed inspection fails, and recurring inspections to be created when a completed inspection has one of the configured result values. This topic also discusses setting up pending inspections.
A single inspection type can be configured for both reinspections and recurring inspections. For example, if an annual fire inspection fails, the system can create a near-term reinspection for the failed inspection and also create the next annual recurring fire inspection.
Here are the automation types and the inspection creation behavior:
-
Reinspection
Created when a completed inspection has a failed result and reinspection setup is enabled for the inspection type.
-
Recurring inspection
Created when a completed inspection has a result that matches the configured recurring inspection result values.
The system calculates the scheduled date from the configured base date and interval. The due date is populated with the scheduled date. The system considers inspector availability, holiday calendars, inspection calendars, and work schedules when assigning automatically created inspections.
If the original inspector isn’t available, the system assigns the inspection to another available inspector.
Pending inspections are created based on pending inspection setup and the applicable agency option.
Before You Begin
Basic setup for inspections is required before you set up recurring inspections and reinspections, like this:
-
Configure the inspection types and assessment result values used by the permit inspections.
-
Create or update the inspection group that includes the inspection types to automate.
You will assign the inspection group to the permit type as the Permit Inspection Group or Renewal Inspection Group.
-
Business Rules Framework setup is required.
Enable the Business Rules Framework rule and action for the Permit Inspection Complete event and set the event processing to ESS Immediate (asynchronous).
See the information Setting Up the Business Rules Framework in this topic.
Considerations for Recurring Inspections and Reinspections
Let's take a look at some considerations for working with recurring inspections and reinspections:
-
Automatic recurring inspections and reinspections are available for permits only.
-
The triggering inspection must reach the Completed status.
-
Recurring inspections don’t trigger additional recurring inspections unless the completed inspection is the last inspection in the recurrence set and the Repeat Recurrence Pattern switch is turned on.
-
Migrated inspections don’t automatically create reinspections or recurring inspections.
-
Cloned permit types require manual review and setup of automatic inspection configuration.
Confirm that the Business Rules Framework setup is enabled for recurring inspections and reinspections. If the Event Rule Type is configured to ESS Immediate and runs asynchronously, the created inspections might not appear immediately.
Setting Up Inspections for the Permit Type
-
In the Functional Setup Manager, select .
-
Open the permit type.
-
In the Inspections section, select a Permit Inspection Group from the drop-down list.
For renewable permits, select the Renewal Inspection Group.
-
Save the permit type.
-
Click the Automatically Create Permit Inspections or Automatically Create Renewal Inspections button.
-
In the setup drawer, review the inspection types from the selected inspection group.
-
For each inspection type, configure one or more of these options:
-
Pending Inspection
-
Reinspection
-
Recurring Inspection
-
Configuring Reinspections
Configure reinspections when you want the system to automatically create a follow-up inspection after a completed inspection has a failed result. A reinspection uses the same inspection type as the failed inspection.
| Page Element | Description |
|---|---|
|
Inspection Type Resulted |
Displays the inspection type that triggers the reinspection. |
|
Create Inspection Type |
Displays the inspection type that will be created. For reinspections, this is the same as the resulted inspection type. |
|
Base Date |
Select the date used to calculate the reinspection scheduled date. Values are Scheduled Date and Resulted Date. |
|
Days to Reinspection |
Enter the number of days to add to the base date. This value determines the scheduled date for the reinspection. |
|
Enabled |
Turn on to enable automatic reinspection creation for the inspection type. |
Click Save.
A reinspection is created after the inspection is resulted and reaches Completed status. Although users may describe the inspection as “resulted,” the automation is triggered when the inspection status is Completed.
Configuring Recurring Inspections
Configure recurring inspections when one completed inspection should create one or more future inspections based on the inspection result. The created inspection can be the same inspection type as the triggering inspection or another inspection type in the selected inspection group.
For example, an agency can configure an annual fire inspection so that when the current fire inspection is completed with a configured result, the system automatically creates the next annual fire inspection.
| Page Element | Description |
|---|---|
|
Inspection Type Resulted |
Displays the inspection type that triggers recurring inspection creation. |
|
Create Inspection Type |
Select the inspection type to create. The list includes inspection types in the selected inspection group. |
|
Base Date |
Select the date used to calculate the recurring inspection schedule. Values are Scheduled Date and Resulted Date. |
|
Inspection Result |
Select one or more inspection results that trigger recurring inspection creation. Values come from the assessment type for the inspection type that was resulted. |
|
Enabled |
Turn on to enable automatic recurring inspection creation for the inspection type. |
| Periodic Recurrence |
Select the recurrence frequency: Daily, Weekly, Monthly, or Yearly. |
| Interval |
Enter the interval for the selected recurrence frequency, such as every 2 weeks or every 1 year. The field label changes based on the selected recurrence type. |
| Number of Occurrences |
Enter the number of recurring inspections to create. The maximum value is 99. |
| Repeat Recurrence Pattern |
Turn on the switch to create a new recurrence set when the last recurring inspection in the set is completed. |
Click Save.
Enabling Automatically Created Pending Inspections
In the automatic inspection setup drawer, use the Enable Pending Inspection row action to enable automatic pending inspection creation for each inspection type. Click the action again to disable pending inspections. You can also select multiple rows and use the pending inspection bulk action to enable or disable pending inspection creation for the selected inspection types.

Setting Up Business Rules Framework
In addition to configuring recurring inspections and reinspections on the permit type, you must set up the Business Rules Framework so the system can create the inspections after the triggering inspection is completed.
Open the Business Rules Framework setup for the Permits offering and use the delivered business rule and action for the Permit Inspection Complete event:
-
Resource: Permit Inspection
-
Event: Permit Inspection Complete
-
Event Run Type: ESS Immediate, asynchronous
-
Rule Name: Default Rule for Recurring and Reinspections
Rule Description: The default rule for creating recurring inspections or reinspections.
-
Action Name: Create recurring or reinspections
Action Description: Creates recurring inspections or reinspections after an inspection is completed.
Recurring inspections and reinspections are created only after the inspection is resulted and reaches Completed status. Because the action runs asynchronously, the automatically created inspections might not appear immediately after the triggering inspection is completed.
