Optimized Management of Reference Organization Items
You can use the new File-Based Data Import template for assigning items to definition and reference organizations. This template has three sheets:

EGP_IMPORT_REF_ORG_ITEMS_INT: This sheet is used to identify the list of items that needs to be assigned to various definition and reference organization. Specify a batch ID (a dummy batch ID that’s used for processing) and the item numbers.

EGP_IMPORT_REF_ORG_STRUCT_INT: This sheet is used to identify the structures that belong to each item, that will be common to the identified reference organizations.

Reference Organization Structures Interface Sheet
- Specify the same batch ID (that was specified in the previous sheet).
- If the item number and structure name is provided in this sheet, then the structures will be made common to those reference organizations listed in the EGP_IMPORT_REF_ORG_ORGS_INT sheet.
- If the item number isn’t provided and structure name is provided in this sheet, then the structures for the items listed in the EGP_IMPORT_REF_ORG_ITEMS_INT sheet will be made common to all the reference organizations listed in the EGP_IMPORT_REF_ORG_ORGS_INT sheet.
- If the item number is provided and structure name isn’t provided, then all the structures are made common for the items listed in the EGP_IMPORT_REF_ORG_ITEMS_INT sheet.

EGP_IMPORT_REF_ORG_ORGS_INT: This sheet identifies the list of definition organizations and reference organizations to which the item will be assigned.

Reference Organization Interface Sheet
- Provide the same batch ID that was identified in the first sheet.
- If the definition organization is provided and not the reference organization, then the items in the EGP_IMPORT_REF_ORG_ITEMS_INT sheet will be assigned to all the associated reference organizations.
- If the definition organization isn’t provided and the reference organization is provided, the items in the EGP_IMPORT_REF_ORG_ITEMS_INT sheet will be assigned to only these reference organizations.
After adding the data in the Excel file, zip this file, and then perform the following steps:
- Upload the ZIP file using the Load Interface File for Import scheduled process. Go to Tools > Scheduled Process, select Schedule New Process, search and select the Load Interface File for Import scheduled process, and select OK.

- Specify the following details:
- For Import Process, select Import Reference Organization Items.
- In Data File, select Upload New File and upload the FBDI zip file.

- Submit the scheduled process. This process loads all the data from the FBDI file to the new import reference organization interface table.
- After the Load Interface File for Import scheduled process is completed successfully, run the Import Reference Organization Items scheduled process to import the reference organization items.

- Specify the following details.

- In the Process Details window, provide the batch ID.
- Select the corresponding Import Mode to appropriately assign the reference organization assignments or create common structures across all the reference organization or both:
- Assign all items to all reference organizations: Assigns items in the sheet EGP_IMPORT_REF_ORG_ITEMS_INT to all the reference organizations listed in the EGP_IMPORT_REF_ORG_ORGS_INT sheet.
- Create common structures across all reference organizations: Creates common structures across reference organizations.
- Assign items and common structures to all reference organizations: Assigns items to all reference organizations and creates a common structure for all the reference organizations.
- Select Submit to submit the scheduled process.
After the scheduled process is completed, you can verify that the items and structures listed in the FBDI sheet is available in the reference organizations.
Users with large number of items, definition organizations, and many reference organizations in the enterprise can use this upgrade process to automatically assign all the items to all the reference organizations or selectively assign the items to a limited set of reference organizations. In this case, you don’t need to use the FBDI template. Instead, use the following process:
- Go to Tools > Scheduled Process, and select Schedule New Process.
- Search and select the Upgrade Product Management Data scheduled process, and select OK

The Parameter1 attribute accepts the list of definition organizations as an argument in a comma separated value format. All the reference organizations associated with each definition organization in this field will automatically assign all the items in the enterprise.
- Select Submit to submit the process.
The scheduled process log provides information to the administrator whether a few items weren’t assigned to the reference organizations due to any constraints. Administrators must generate a BI Publisher report separately to identify the items and structures that weren’t assigned. You can assign these items once again after fixing any constraints using the FBDI process provided in the preceding section.
Businesses can benefit immensely from the improved performance when the enterprise has an enormous number of items in the reference organization.
Steps to enable and configure
Use the Opt In UI to enable this feature. For instructions, refer to the Optional Uptake of New Features section of this document.

Tips and considerations
- Download and review the latest templates in the Product Lifecycle Management section of Oracle Fusion Cloud SCM: File-Based Data Import (FBDI) for SCM, available on the Oracle Help Center.
- Use the Purge Interface Tables scheduled process to purge the data from the interface table. You can use the Import Reference Organization Items as the import process and use the request ID to purge the interface table data.
- The search results show the count of items that are assigned to the definition organizations.
- The Organization suggested filter that appears beneath the Search field is available as a multiselect option.
