Reviewing a Calculation Summary


The Calculation Summary summarizes an employee's total compensation for a specified period. By drilling down on the last name of the participant in the calculation summary view, you can review details for caps, draws, and hurdles that were applied during the calculation run.

Figure 22 shows the summary detail views. The Cap Details view tab lists display plan cap and plan rule cap amounts withheld or refunded within the calculation run. The Draw Details view tab lists plan draws that were applied or refunded within the calculation run. The Hurdles Details view tab lists the target and achievement for each aggregate hurdle, as well as for any one-time nonaggregate hurdle. The Hurdles Details view does not display results for recurring nonaggregate hurdles.

For example, if you are running the calculation engine for multiple periods (such as January, February, March, or Quarter 1), there are different records for each period, with the total compensation for each employee.

If the employee holds more than one position, the employee is listed twice in the summary, one time for each period and one time for each position. This guarantees that the employee is paid for both of the roles the employee holds in the organization.

The data in Calculation Summary can be exported to Microsoft Excel or to a .txt file using the Export function from the menu, and then moved into your payroll system. The Release Status field indicates whether or not the total amount has been released. When the compensation amount is released, it becomes visible to the employee in the My Compensation Statement view.

To review a calculation summary

  1. From the application-level menu, choose View > Site Map > Incentive Compensation Tracking > Calculation Summary.
  2. The Calculation Summary list appears showing records for compensable employees and their compensation totals.

  3. In the Calculation Summary list, click Query to locate the employees or periods you want to view.
  4. In the Calculation Summary list, drill down on the hyperlink in the participant's Last Name field to view cap, draw and hurdle details.
  5. In the Calculation Summary Detail form, click the show more button to show additional fields.
  6. The following table describes the Calculation Summary Detail form fields.

    Comments
    Calculation Run
    Name or ID of the calculation run in which compensation was calculated.
    Cap Balance
    Sum of cap balances for caps applied in the current selected record (one calculation run, one participant). Drill into the record and select the Cap Details view tab to review each cap.
    Cap Refund
    Sum of cap refunds in the current selected record (one calculation run, one participant). Drill into the record and select the Cap Details view tab to review each cap.
    Cap Withheld
    Sum of cap amounts withheld in the current selected record (one calculation run, one participant). Drill into the record and select the Cap Details view tab to review each cap.
    Comments
    Text field for comments.
    Draw Applied
    The amount of eligible draw that has been applied for this participant.
    Draw Balance
    The amount of recoverable draw that the participant has received and not yet paid back.
    Draw Recovered
    The amount of recoverable draw that has been recovered.
    Eligible Draw
    Amount of draw for which the participant is eligible.
    Eligible for Gross Earnings
    Indicates whether or not the participant is included in the Gross Earnings Eligible total.
    First Name
    First name of the participant being compensated.
    Gross Earnings
    The employee's gross earnings for the selected Plan Rule.
    Gross Earnings Eligible Amount
    The gross earnings, less earnings from any transaction where the Eligible Payment flag (check box) is set to False.
    Last Name
    Last name of the participant being compensated.
    Last Cap Balances
    Sum of cap balances from the previous calculation run. This field is for information only, and is not used by the calculation engine.
    Last Draw Balances
    Sum of draw balances from the previous calculation run. This field is for information only, and is not used by the calculation engine.
    Last Recoverable Draw Balances
    Sum of recoverable draw balances from the previous calculation run. This field is for information only, and is not used by the calculation engine.
    Last Refundable Cap Balances
    Sum of refundable cap balances from the previous calculation run. This field is for information only, and is not used by the calculation engine.
    Net Earnings
    The net earnings of the participant, including any draws applied, and so on. For example, if a participant has gross earnings of $1,000, but an eligible draw of $10,000, the net earnings is $10,000 ($1000 gross earnings plus $9,000 draw).
    Period
    Name of the period for which the calculation engine was run.
    Position
    Position of the participant on the compensation plan.
    Recoverable Draw Applied
    Amount of recoverable draw that has been applied.
    Recoverable Draw Balance
    Balance of the recoverable draw.
    Refundable Cap Balance
    Sum of cap balances for refundable caps applied in the current selected record (one calculation run, one participant). Drill into the record and select the Cap Details view tab to review each cap.
    Refundable Cap Withheld
    Sum of cap amounts withheld for refundable caps applied in the current selected record (one calculation run, one participant). Drill into the record and select the Cap Details view tab to review each cap.
    Released
    Indicates that the compensation has been released to end users.
    Replaced
    Indicates that this calculation run has been replaced by another calculation run.
    Replaced by Calc Run
    Indicates which calculation run has replaced the former run.
    Year-to-Date Cap Balances
    Sum of cap balances year-to-date.
    Year-to-Date Cap Withheld
    Sum of caps withheld year-to-date.
    Year-to-Date Draw Balances
    Total year-to-date draw amount for the participant. If the participant receives a monthly draw amount of $500 and this is the third month that the compensation plan has been run, the YTD Draw is $1,500. YTD Draw is calculated based on the calendar year and only includes runs that have been released to end users plus the current run, which may or may not be released.
    YTD Eligible Draw
    Total year-to-date amount of draw for which the participant is eligible.
    YTD Gross Earnings
    Total pay calculated year-to-date for past periods. YTD Total Pay is calculated based on the calendar year and only includes released runs plus the current run, which may or may not be released.
    YTD Net Earnings
    Total year-to-date earnings, including any draws that have been applied.
    Year-to-Date Recoverable Draw
    Total year-to-date recoverable draw amount for the participant. If the participant receives a monthly recoverable draw amount of $500 and this is the third month that the compensation plan has been run, the YTD Recoverable Draw is $1,500. YTD Recoverable Draw is calculated based on the calendar year and only includes runs that have been released to end users and the current run, which may or may not be released.
    Year-to-Date Recoverable Draw Balances
    Sum of recoverable draw balances year-to-date.
    Year-to-Date Refundable Cap Balances
    Sum of refundable cap balances year-to-date.
    Year-to-Date Refundable Cap Withheld
    Sum of refundable caps withheld year-to-date.
