Exporting a Transaction to the Calculation Workbook


The Calculation Workbook allows you to review the transactions by employee and to make any final modifications before running the calculation engine. After running the calculation engine, you can review and verify the calculations before releasing them to the field for employee review.

Transactions are exported from the Transaction Workbook to the Calculation Workbook using a server process called ICM CalcWkbk Import. Run this server process using the Export Transaction feature in the Transaction Workbook. Only compensable positions on the Transaction Team are exported to the Calculation Workbook. If a Transaction Team has no compensable members, the transaction is not exported.

To export a transaction to the Calculation Workbook

  1. From the application-level menu, choose View > Site Map > Incentive Compensation Tracking > Transaction Workbook.
  2. In the Transaction Workbook form, click the select button in the period field, and choose a period.
  3. (Optional) In the Criteria field, enter criteria.
  4. If the number of transactions you are planning to export is very large, you can use the Criteria field to specify criteria for the export so that only a subset of the transactions in the period are exported.

    You must use the correct syntax when entering criteria or the export process will fail. The correct syntax is:

    [field name 1] = `value' OR [field name 2] = `value'

    The field name is the business component field name, not the field caption. Use Siebel Tools to look up individual field names. Square brackets MUST surround the field name. Value must be in single quotes. For example:

    [www] = `xxx' OR [yyy] = `zzz'

  5. In the Transactions Workbook form, click the menu button and choose Export Transactions.

You can navigate to Server Component Request > My Component Requests to view the status of your request or you can query the Transaction Workbook and verify that the Exported to Calc Workbook check box flag is selected (set to True).

The server request has a status of Queued until the process is completed. When the process is done, the status changes to Success.

The relevant transactions are exported to the Calculation Workbook. This server task also converts your records from transaction-based (as they are in the Transaction Workbook) to employee-based.

For example, as Table 31 shows, you might have one record for order XYZ with the order sales team consisting of Terry Smythe, Madison Stern, and Keith Beale with two line items. When imported into the Calculation Workbook, this record has a total of nine associated records for this order—one order record for each member on the sales team and a line item record for each product and each sales team member.

This breakdown allows you to view the transaction detail for specific employees, as well as the compensation amount for particular orders or line items, after the Calculation Run is executed.

Rollups in the Calculation Workbook

Positions in the sales hierarchy that are compensated as a result of rollup are automatically credited with the transaction as data is moved from the Transaction Workbook to the Calculation Workbook. If a sales representative closes a deal, the deal revenue is credited to the representative, as well as the manager, the second-level manager, and so on. The rollup occurs along the appropriate sales hierarchy, based on Territory ID and Plan Date of the transaction. The rollup process only rolls up achievement when the manager's Compensable check box flag is selected.
