Modifying the Arrival Date in an Event Quote


Users can change the event arrival and departure date information, or delete the arrival date in a quote if necessary.

This task is a step in Adding Details to an Event Quote.

To modify the arrival date in a quote

  1. Navigate to the Quotes screen > Quotes List view.
  2. In the Quotes list, query for and select the required quote.
  3. In the Quote form, click the select button in the Arrival Date field.
  4. In the Enter/Change Arrival Date dialog box, select the new date, and choose a value in the Instructions field.

    The Instructions values are:

    • Update Dates. If the user modifies the arrival date and then selects Update Dates in the Instructions field, the dates of the room blocks and functions that are associated with the quote change according to the new date. The availability process is relaunched to check availability for the new date. All dates are updated by default if instructions are not specified.
    • Update Day Numbers. If the user modifies the arrival date and then selects Update Day Numbers in the Instructions field, the dates of the function and room block stay the same as the original, and the availability process is not launched. The Day Number field for each function or room block record is modified to reflect the new relationship between the quote arrival date and the function or room block date.
  5. Click OK to save the modification.

To delete the arrival date in a quote

  1. Navigate to the Quotes list view.
  2. In the Quotes list, query for and select the required quote.
  3. In the Quote form, click the select button in the Arrival Date field.
  4. In the Enter/Change Arrival Date dialog box, delete the arrival date, and then select a value in the Instructions field.

    The Instructions values are:

    • Clear All Dates. If the user deletes the arrival date and then selects Clear All Dates in the Instructions field, all room block and function dates that are associated with the quote are also deleted. All dates are cleared by default if instructions are not specified. If you choose to clear all dates, a dialog box is displayed that informs you that all inventory associated with the quote is lost. You can then choose to clear all dates or cancel the operation.
    • Only Clear Arrival Date. If the user deletes the arrival date and then selects Only Clear Arrival Date in the Instructions field, the dates and day numbers of the functions and room blocks remain unchanged.
  5. Click OK to save the modification.
