Creating a Time Sheet Manually


If end users have time entries for periods outside the current reporting period, they can create time sheets for each of those periods manually, and then use the Add to Time Sheet command to move entries into the proper time sheets.

The following procedure explains how to create a time sheet manually. This procedure sets up the framework of the time sheet. For instructions on how to add line items to the newly created time sheet, see Adding Line Items to a Time Sheet.

To create a time sheet manually

  1. Navigate to the Time Sheets screen.
  2. In the Time Sheets list, create a new record.
  3. Complete the necessary fields.

    Some fields are described in the following table.

    Comments

    Account

    Customer or potential customer organization associated with the time worked.

    Class

    General category of time spent. Defaults to the Billing Class of the selected Project. Typical values include Client Billable, Client Investment, and Internal. Available values are set in the PROJECT_CLASS list of values. The value in this field sets the default Class value for this time sheet's line items, but the line item Class value is overwritten if the line item Project value is changed.

    Created

    Date on which the time sheet was created. Automatically populated.

    Description

    Text field for information about the time sheet.

    Division

    Organizational division of the person who worked the time.

    End

    Final day of the time reporting period.

    Name

    A name to help identify the time sheet.

    Opportunity

    Sales opportunity associated with the time worked. Automatically populated based on the value of the Project field, if there is an opportunity associated with the project.

    Period

    Required. The time period covered by the time sheet. Defaults to the current period, but can be changed. Available values are set by your Siebel administrator.

    Prepared By

    Read-only. User ID of the person who created the time sheet. Automatically populated. The only people who can edit a time sheet are the person specified in the Prepared By field and the person specified in the Submitted By field.

    Project

    Project associated with the time worked. If the time was not worked for a specific customer project, you can enter a public project or a work type. The value of this field sets the default value for the Project field when entering time line items.

    Project #

    A unique identifier for the project. Automatically populated when the project value is picked.

    Site

    Location of the account associated with the time worked. Automatically populated when the account value is chosen.

    Start

    First day of the time reporting period.

    Status

    Indicates the stage the time sheet has reached in the approval process. If the status is In Progress, the time sheet can be edited.

    Submit To

    Required. The User ID of the person who should approve the time sheet. Normally defaults to the User ID of the person to whom you report, but can be changed, if, for example, that person is unavailable for an extended period.

    Submitted By

    Required. User ID of the person who worked the time being recorded.

    Time Sheet #

    A unique identifier for this time sheet. Automatically populated.

    Time Sheet Total

    Sum of the hours recorded in the Line Items view tab. Includes both billable and nonbillable hours.
