About Generating New Serial Numbers

You can update the serial number that is automatically generated for a case, lead, or evidence record when field values in the record change, and those field values determine the serial number. Use the Regenerate All button to assign a new serial number to a case record and many of its associated serialized records (for example, evidence items and attachments).

For example, if you change the Territory field in a case record from New York (NY) to New Orleans (NO), then you can click Regenerate All to update the serial number for the case and for an associated item of evidence. If the serial number for the case is NY-2B-296-3964041, and the serial number for the associated item of evidence is NY-2B-296-3964041-296-3964055, then when you click Regenerate All, the new serial number for the case is NO-2B-296-3964041, and the new serial number for the associated item of evidence is NO-2B-296-3964041-296-3964055. For more information about serialization, see About Serialization Rules.

The Regenerate All button behavior differs slightly from screen to screen:

  • When you click Regenerate All from the Cases screen, the serial numbers for the current case, evidence, and attachments records are assigned a new serial number. Lead serial numbers remain unchanged. For more information, see Generating New Serial Numbers for Leads.
  • When you click Regenerate All from the Evidence screen, the serial numbers for the current evidence record and any attachments are regenerated. All subevidence and related evidence records remain unchanged.
  • When you click Regenerate All from the Leads screen, the serial numbers for the current lead record and any attachments are regenerated. All sublead records remain unchanged. For more information, see Generating New Serial Numbers for Subleads.
