22.1 Updating Disability and Protected Veteran Status Information for Employees and Applicants

This section provides an overview of disability and protected veteran status updates for employees and applicants, and discusses how to enter self-identification responses on behalf of employees and applicants.

22.1.1 Understanding Disability and Protected Veteran Information Update

As an HR administrator, you can search for disability and protected veteran status responses provided by an employee or applicant on the Disability and Veteran Status Responses form. You can review the self-identification responses and modify them, if required. You can also add a self-identification response for an employee or applicant.

If you use the JD Edwards EnterpriseOne HR Self-Service system, employees can use the Disclose Disability Status program (P085590) and the Disclose Veteran Status program (P085605) to submit their self-identification responses. You can use the Disability and Veteran Status Responses program (P085595) to view and update self-identification responses that are submitted through the self-service applications.

Use the Disability and Veteran Status Responses program (P085595) to search for disability and protected veteran status responses provided by an employee or applicant. Additionally, you can add a media object attachment to support the self-identification response provided by the employee or applicant. The system retrieves the employee and applicant information for the Disability and Veteran Status Responses form from the Disability and Veteran Status History table (F085590).

Use the HR - Identification of Disability and Veteran program (P085600) to add, modify, or delete a self-identification response for an employee or applicant.


Note:

You can only modify or delete a self-identification response that is entered by an HR administrator. You cannot modify or delete a self-identification response that is entered by an employee through the employee self-service applications. However, you can enter and update the special accommodation request fields.

After adding or modifying a self-identification response, the system stores the updated information in the Disability and Veteran Status History table (F085590).

22.1.2 Forms Used to Update Disability and Protected Veteran Information

22.1.3 Setting Processing Options for the HR - Identification of Disability and Veteran Program (P085600)

Processing options enable you to specify the default processing for programs and reports.

22.1.3.1 Process

1. When adding/updating self-identification responses, also update corresponding Veteran, Disabled Veteran, and Disability fields in the employee or applicant master:

Specify whether the system should update the Employee Master Information table (F060116) and the Applicant Master table (F08401) with the self-identification responses for disability and veteran status. Values are:

Blank: Update.

1: Do not update.

22.1.4 Entering Disability and Protected Veteran Information

Access the Quick Identification Disclosure for Employee and Applicant by HR form.

Address Number

Enter a number that identifies an entry in the JD Edwards EnterpriseOne Address Book system, such as an employee or applicant.

Offer Type

Enter a value from UDC table 05/OT that indicates the type of offer for the employee or applicant. Values are:

A: Pre-Offer

B: Post-Offer

C: Periodic Employee Offer

Self Identification Response Type

Enter a value from UDC table 05/TI that indicates the self-identification response type. Values are:

D: Disability

V: Veteran

Disabled

Enter a value from UDC table 05/HQ that indicates whether the employee or applicant has a mental or physical disability. Values are:

D: Do Not Wish to Answer.

Y: Yes, this employee or applicant has a mental or physical disability.

N: No, this employee or applicant does not have a mental or physical disability.

U: Unknown.

Veteran

Enter a value from UDC table 05/HO that indicates the veteran status of the employee or applicant for equal employment opportunity (EEO) reporting purposes. Values are:

A: Armed Forces Service Medal Veteran

B: Armed Forces Service Medal and Other Veteran

C: Armed Forces Service Medal and Recently Separated Veteran

D: Armed Forces Service Medal, Other, and Recently Separated Veteran

L: Protected Veteran

N: Not a Veteran

O: Other Veteran

S: Recently Separated Veteran

Y: Other and Recently Separated Veteran

Disabled Veteran

Enter a value from UDC table 05/HP that indicates whether the employee or applicant is a disabled veteran. Values are:

Y: This employee or applicant is a disabled veteran.

N: This employee or applicant is not a disabled veteran.

Military Discharge Date

Enter the date on which the employee or applicant was discharged from military duties.


Note:

When you enter a date in the Military Discharge Date field, the system does not update this information in the Supplemental Data table (F00092).

Special Accommodation Request

Enter a value from UDC table 05/SA that indicates whether the employee or applicant has made a request for special accommodation. Values are:

Blank: Not applicable

Y: Requested

N: Not Requested

Special Accommodation Request Status

Enter a value from UDC table 05/RS that indicates the special accommodation request status. Values are:

Blank: Not applicable

A: Request Accommodated

I: In Process/Under Review

R: Received from Employee

Special Accommodation Request Date

Enter the date when a special accommodation request was received from the employee or applicant.

Response Date

Enter the date that the disability/veteran self-identification response was received.

If you leave this field blank, the system date is used.
