15 Managing Credit and Collections for Multiple Currencies

This chapter contains the following topics:

15.1 Generating and Reviewing Multicurrency Statements

This section provides an overview of multicurrency statements and discusses how to:

  • Generate multicurrency statements.

  • Set multicurrency processing options for Statement Notification Refresh (R03B500X).

  • Review multicurrency statements.

  • Run the Credit Analysis Refresh program.

15.1.1 Understanding Multicurrency Statements

To generate statements, you run the Statement Notification Refresh program (R03B500X) and specify whether to generate statements in the domestic or foreign currency by setting the Multi-Currency processing option on the Aging tab.

The Statement Notification Refresh program updates amounts in the A/R Notification History (F03B20) and A/R Notification History Detail (F03B21) tables.

After you generate statements, you can review them online. Depending on whether you generate the statement in the domestic or foreign currency, the system displays the information differently:

  • If you generate statements in the domestic currency, when you review the statement, the system displays all transactions and total amounts in the domestic currency only.

For example, assume the currency of the remit to company is Canadian dollars (CAD) and the transaction currency of the invoices is euro (EUR). You run the Statement Notification Refresh program to generate statements in the domestic currency. On the Statement Review form, the transactions display in CAD.

  • If you generate statements in the foreign currency, when you review the statement, the system displays the transactions on the statement in the currency of the transaction and provides a total amount for each currency.

For example, assume the currency of the remit to company is CAD and the transaction currencies of the invoices and receipts are EUR and CAD. You run the Statement Notification Refresh program to generate statements in the foreign currency. On the Work With Notifications form, the transactions display in the transaction currency of the invoices, EUR and CAD.

15.2 Generating and Reviewing Multicurrency Delinquency Notices

This section provides an overview of multicurrency delinquency notices and discusses how to:

  • Print delinquency notices in multiple currencies.

  • Set multicurrency processing options for A/R Delinquency Notices Print (R03B20) and Tiered Delinquency Notice Print (R03B21).

  • Review multicurrency delinquency notices.

15.2.1 Understanding Multicurrency Delinquency Notices

You use a version of the Credit Analysis Refresh program (R03B525) to print delinquency notices and generate records in the A/R Notification History (F03B20) and A/R Notification History Detail (F03B21) tables. The Credit Analysis Refresh program does not have any processing options that are specific to multicurrency for processing the delinquency notices. The system uses the currency code in the policy to determine the minimum amount required to generate a notice only; it does not use the currency code to determine the currency of the delinquency notice. The currency of the invoices on the delinquency notice are relevant only to the totals that print:

  • If all of the invoices on the delinquency notice are in the same currency, the system prints a total amount past due for all the invoices.

  • If the invoices are in different currencies, the system does not print a total as the amount would be meaningless.

After you generate delinquency notices, you can review and approve or reject them, as necessary, before you print them and update the notification tables.

15.3 Generating and Reviewing Multicurrency Delinquency Fees

This section provides an overview of multicurrency delinquency fees and discusses how to:

  • Generate multicurrency delinquency fees.

  • Set multicurrency processing options for Generate Delinquency Fees.

  • Review multicurrency delinquency fees.

15.3.1 Understanding Multicurrency Delinquency Fees

You use a version of the Credit Analysis Refresh program (R03B525) to process delinquency fees and generate records in the A/R Fee Journal History (F03B22) and A/R Fee Journal History Detail (F03B23) tables. You specify the currency in which to generate the fee by setting a processing option in the Credit Analysis Refresh program. You can generate the fee in one of these currencies:

  • Company currency.

This is the base currency of the company assigned to the invoice. If you have invoices for multiple companies with different base currencies, the system generates a separate fee for each currency.

  • Customer currency.

This is the currency assigned to the customer record. The system generates all fees in the currency specified in the A/B Amount Code field (CRCA) in the customer master record.

  • Invoice currency.

This is the transaction currency of the invoice. If you have invoices with multiple currencies, the system generates a separate fee for each currency.

Regardless of the currency you select, the system generates one fee invoice record per currency code for each company. For example, if companies 00001 and 00003 are assigned a currency code for Canadian dollars (CAD), the system generates two fee invoices—one for company 00001 for CAD and one for company 00003 for CAD.

After you generate fees, you can review them online and accept or reject them as necessary before the system updates the information to the fee tables.

15.3.2 Forms Used to Review Multicurrency Delinquency Fees

Form Name FormID Navigation Usage

15.3.4 Setting Multicurrency Processing Options for Generate Delinquency Fees (R03B525)

This section discusses the processing option that is specific to multicurrency processing.

15.3.4.1 Fees

7. Currency of Fees

Specify the currency that the system uses to generate delinquency fee invoice records (document type RF). The system uses the most recent exchange rate from the (F0015 table to calculate the currency fee amount. Values are:

1: Company. Generate the fee in the currency that is assigned to the company record that appears on the invoice.

2: Customer. Generate the fee in the currency that is assigned to the CRCA (A/B Amount Codes) field of the customer record in the Customer Master by Line of Business table (F03012).

3: Invoice. Generate the fee in the currency that is assigned to the invoice at the time that the invoice was entered.

Note:

Regardless of the value that you select, the system generates one fee invoice record per currency code for each company. For example, if companies 00001 and 00003 are assigned a currency code for Canadian dollars (CAD), the system generates two fee invoices—one for company 00001 for CAD and one for company 00003 for CAD.

15.4 Reviewing Customer Accounts in Multiple Currencies

This section provides an overview of the collection management review programs and discusses how to review customer accounts in multiple currencies.

15.4.1 Understanding the Collection Management Review Programs

To generate the collection information, which includes the open, past due and aging days of invoices, you must run Credit Analysis Refresh (R03B525). After you generate the collection information, you can use the online programs to review and manage collection activities:

  • Use the Account Balance Inquiry program (P03B218) to review all past due accounts assigned to a specific collection manager, the open balance of a customer's account as of a certain date, and so on.

The system displays customer amounts on the Account Balance Inquiry form based on these company numbers:

    • For nonzero companies, the system displays amounts in the currency of the company.

    • For company 00000, the system displays amounts in the currency in the A/B Amounts Codes field of the customer record.

To review statistical information about an account, select Account Status from the Row menu.

  • Use the Parent/Child Browse program (P03B151) to review account balance information for a parent account and its associated children, including the total open amount of a child account or whether a child account has exceeded its assigned credit limit.

The system displays customer amounts on the Parent/Child Browse form based on one of these company numbers:

    • For nonzero companies, the system restates and displays amounts in the currency of the company.

    • For company 00000, the system displays amounts in the currency in the A/B Amounts Codes field of the customer record.
