Analytics: PeopleSoft Insights
MedStar Health implemented PeopleSoft Grants Management a few years ago. We continue to expand and enhance our grants capabilities with a strong focus on improving reporting and dashboards for principal investigators (PIs) and the grants management team.
After seeing a demonstration of the new award portal and the cost reimbursable award OpenSearch dashboard, we prioritized getting current on PeopleSoft by completing PUM updates. With those updates in place, MedStar quickly launched a project to deliver a dedicated PI dashboard.
The team evaluated all delivered OpenSearch visualizations for the award portal (introduced in PUM 52) and cost reimbursable awards (introduced in PUM 49) and then designed a PI dashboard that blends delivered search indexes and visualizations with targeted enhancements and new insights providing PIs with clearer, role-based visibility into our awards.
Delivered visualizations implemented include:
- Number of awards by PI.
- Total number of awards.
- Number of awards by sponsor.
- Award list.
- Summary of cost, budget, and billing.
- Cost by source type.
- Cost by supplier.
- Award summary by award period.
- F&A reimbursement by department.
- Billing by project.
- Cost and billing for the last 12 months.
- Award summary (relabeled to award summary by award business unit).
- Total cost by award (relabeled to top 10 contract awards for total cost).
- Cost by principal investigator (relabeled to top 10 principal investigators for total cost).
- Billing by sponsor (relabeled to top 10 sponsors for billing amount and added budget to the visualization).
- Cost and billing by year and period (relabeled cost and billing by month).
- Funding modifications in the last year and forward.
- Modification detail.
- Open proposals and their funding by month.
- Open proposals detail.
New visualizations include:
- Award summary by award business unit – reimbursable.
- Award summary by award business unit – cost share.
- Top 10 contract awards for total cost – reimbursable.

Business benefits realized
The PI dashboard provides principal investigators with a single, visual view of key award summaries and metrics, enabling informed decision-making, rapid identification of trends or anomalies, and easy filtering, drill-down to detail, or direct navigation to the proposal or award page.
User feedback
User feedback has been extremely positive. Rapid adoption of the PI dashboard led the organization to begin a new initiative to further enhance the Grants dashboards with a focus on proactive visibility into expiring awards.
