Customer comments

Momentum Group implemented the PeopleSoft-delivered offboarding feature as the core foundation of our offboarding process. The delivered functionality served as the primary framework for building our solution, enabling structured workflow, digital tracking, and seamless integration with our HR data.

Business drivers

  • Advance digital transformation by replacing manual, paper-based offboarding processes with a streamlined, technology-driven solution built on delivered PeopleSoft capabilities.
  • Enhance the employee experience by providing clarity, structure, and support during the exit process.
  • Reduce compliance risks and operational inefficiencies through automation and standardized workflows.
  • Enable real-time visibility for HR teams and managers, ensuring smooth transitions and workforce readiness.

Solution and implementation

Momentum Group’s offboarding solution was designed around digital integration and automation, with the platform seamlessly connecting to payroll, benefits administration, and IT systems. This enabled the automation of key offboarding tasks—such as termination processing, knowledge transfer, and equipment return tracking—significantly improving operational efficiency.

Each step of the offboarding journey was implemented using PeopleSoft's delivered Enterprise Components, including the Activity Guide Composer, Questionnaire Framework, Acknowledgement Framework, and Insights. These tools allowed for a fully structured and trackable process that required no custom development, preserving the system’s upgradability.

To capture meaningful feedback, employees were invited to complete structured exit questionnaires, which were followed by validation interviews conducted by HR professionals. This dual approach ensured data accuracy while offering leaders, actionable insights into employee experiences and workforce trends.

Real-time dashboards were developed for HR and line managers, providing visibility into each offboarding case and enabling proactive management of the process. These dashboards ensured that all offboarding steps were completed efficiently, minimizing disruption, and enhancing workforce readiness.

As part of the employee experience enhancements, the offboarding portal was reskinned to align with Momentum Group’s digital corporate identity. Brand-aligned colors, fonts, and design standards were applied to ensure a guided and visually consistent experience. This provided employees with clear information on final pay, benefits, and rehire opportunities, supporting a smooth and transparent exit journey.

Managing customizations

  • Customization was minimal and kept within the standard configuration capabilities of PeopleSoft. Our primary goal was to preserve the integrity and supportability of the delivered feature set while enhancing the employee and HC experience.
  • All enhancements were made using PeopleSoft configuration options, including Activity Guide Composer, Questionnaire Framework, and Acknowledgement Framework.
  • We applied our corporate branding standards (for example, colors, fonts, and icons) to align the look and feel of the interface with Momentum Group’s HC Tech, digital experience guidelines. This was done within the existing UI flexibility provided by the PeopleSoft fluid framework.
  • No core code was altered, and no custom bolt-on modules were created, ensuring full compatibility with future PeopleSoft updates and patching cycles.
  • The enhancements focused on experience enablement rather than functional customization, ensuring the underlying PeopleSoft capabilities were fully utilized and maintained.

Business impact and measurable outcome

  • Enhanced employee experience – The structured and transparent offboarding process reduces uncertainty for departing employees, fostering a positive exit experience and reinforcing long-term engagement with the organization as alumni.
  • Improved operational efficiency – Automation has significantly reduced manual effort and dependencies, leading to greater accuracy in payroll processing, timely system deactivations, and efficient asset retrieval.
  • Strengthened compliance and risk mitigation – The standardized framework ensures consistent adherence to governance policies, mitigating risks related to data security, regulatory compliance, and intellectual property protection.
  • Informed, data-driven decisions – Feedback captured through the structured exit questionnaire framework provides HR and leadership with valuable insights into workforce trends, supporting more effective talent retention and organizational planning strategies.
