With the support of their partners—MIPRO Consulting, Oracle ACS, and others—OMES is able to add new agencies and new capabilities to their PeopleSoft environment.

Queen's University of Belfast

The Queen's University of Belfast (Queen's), in conjunction with their partner Version 1, migrated all PeopleSoft Campus Solutions environments to Oracle Cloud Infrastructure (OCI). This transformative project also included an upgrade of all database environments to Oracle 19c and all PeopleSoft environments to the latest PeopleTools release. Further value was gained through deploying PeopleSoft Cloud Manager, migrating Oracle Enterprise Manager to OCI, and in exploiting native OCI services including Oracle Management Cloud (now migrated to Full Stack Monitoring), Web Application Firewall, and Cloud Guard.

Queen's uses Cloud Manager to provision PUM environments for updating their Campus Solutions application taking each PUM update as it is released along with all PRPs. Additionally, Queen's uses Cloud Manager for providing their developers and business owners with early access to new application and PeopleTools releases for testing, learning and update readiness.

Queen's University Belfast, located in Belfast, Northern Ireland, United Kingdom, is a member of the Russell Group of UK research intensive universities and combines outstanding educational facilities with ground-breaking research. Queen's has more than 25,000 students and 4,000 academic and administration staff. The university's PeopleSoft systems are essential to its successful operation.

Queen's University Belfast is using PeopleSoft Campus Solutions to provide comprehensive student administration services. They completed a migration of all PeopleSoft environments to OCI in 2023. Additionally, McLane Company has used Data Migration Workbench to migrate the Page & Field Configurator / Event Mapping configuration.

UMass Chan Medical School New

UMass Chan Medical School, situated in Worcester, Massachusetts, is a public medical institution affiliated with the University of Massachusetts system.

UMass Chan Medical School implemented configurable search functionality for delivered and customized screens, enhancing flexibility for end users. This capability proved invaluable, particularly when accommodating same-day requests from business users to modify search parameters. Additionally, the automatic search results feature allowed users to see search results at launch, reducing the number of clicks.

Embry-Riddle Aeronautical University

Embry-Riddle Aeronautical University, in conjunction with their partner Gideon Taylor, deployed Oracle Digital Assistant. Embry-Riddle Aeronautical University's digital assistant, named Ace, has been seamlessly integrated across Embry's diverse campus environments including Daytona Beach, FL; Prescott, AZ; and their extensive worldwide online campus, providing immediate and around-the-clock assistance to their students.

Ace was successfully launched across all three campuses, offering a unified support experience. Ace interprets natural language queries to provide relevant responses and guidance, including directing students to identified pages within the PeopleSoft system, thereby making the navigation process more intuitive and efficient.

In 2023 alone, Ace proficiently handled almost 9,000 student inquiries, streamlining the information dissemination process.

Leveraging PeopleSoft Integration Broker, Ace dynamically sources answers from within the PeopleSoft system, ensuring accurate and up-to-date information delivery. Additionally, Ace is a prominent fixture on the SharePoint student portal, offering a seamless, integrated experience. Through authenticated single sign-on (SSO) capabilities, Ace personalizes responses by connecting to the students' individual record in the PeopleSoft database, further enhancing the relevance and precision of the support provided.

Loyola University Chicago

Loyola University Chicago successfully used the delivered Chatbot Integration Framework to deploy a digital assistant for students and advisors. The chatbot answers questions that are personalized to the role and include data and transactions from PeopleSoft.

Virginia Community College System New

The Virginia Community College System (VCCS), in conjunction with their partner Gideon Taylor, deployed a digital assistant using Oracle Digital Assistant (ODA) with PeopleSoft. This solution was tailored to address the unique challenges faced by VCCS students, such as balancing work and education by providing 24/7 access to critical information and support.

The digital assistants were deployed in waves over 18 months across 23 colleges and completed at the end of 2023. Deployment of the digital assistants has resulted in:

  • 24/7 student support: Ida provides round-the-clock assistance, significantly reducing the dependency on traditional help desks. More than 50% of interactions occur outside regular office hours, ensuring students receive timely help whenever needed. After login and verification, students even receive specific account-related answers based on their student information system account.
  • High accuracy and trust: The digital assistant boasts an accuracy rate of over 90%, thanks to extensive custom training and continuous improvement efforts. This high level of accuracy has built trust among students; authenticated user conversation volume has tripled since last year.
  • Cost-effective solution: The federated model allows each institution to benefit from cutting-edge AI technology at a minimal cost of $1 per user, making it a sustainable solution for VCCS.
  • Quantifiable benefits: Since implementation, one VCCS college has experienced a 40% reduction in help-desk call volume and a 60% decrease in email inquiries. With the addition of live chat, these reductions have enabled staff to focus on more complex and personalized student issues.

Kaiser Permanente

Kaiser Permanente has subscribed to Oracle's Guided Learning cloud offering and are using it with PeopleSoft. They have created 400 FSCM guides that are live and have been used thousands of times in the last year! Additionally, end-users benefit by having the same UI experience as they do with the Guided Learning on the recent Oracle HCM Cloud deployment.

State of North Dakota

The State of North Dakota, in conjunction with their partner SpearMC Consulting, has rolled out Oracle Guided Learning with their PeopleSoft systems. Birla Institute of Technology & Science (BITS) Pilani

While upgrading their PeopleSoft FSCM and Campus Solutions systems, Birla Institute of Technology & Science (BITS) Pilani, in conjunction with their partner Kovaion Consulting, identified many customizations that they were able to convert to configurations using drop zones, Application Engine plugins, event mapping, and Page and Field Configurator. BITS Pilani identified over 100 customizations in FSCM and over 250 customizations in Campus Solutions. More than 50% of these customizations were converted to configurations using event mapping, Application Engine plugins, and drop zones. Additionally, 30% of the 270 customized pages identified were reconfigured using Page and Field Configurator.

UMass Chan Medical School New

Since early the 2000s, UMass Chan Medical School has been on Oracle utilizing PeopleSoft Financials, HR, and Campus Solutions maintaining version 9.2 for several years.

UMass Chan Medical School has leveraged the event mapping feature to isolate customizations on delivered screens and has also employed the Page and Field Configurator. These tools were recently used to mask data, rename labels, and show or hide fields based on roles, among other tasks. Previously, achieving these modifications necessitated coding, testing, change management processes, and deployments. The implementation time has significantly reduced since the adoption of these features. The school is now preparing to explore drop zones soon.

Fresenius Medical Care North America

Fresenius Medical Care North America, in conjunction with their partner HyperGen Inc., used the PeopleTools customization repository to manage their customizations. This tool has enabled Fresenius Medical Care to perform selective adoption without impacting their customizations. To establish their customization repository, a project containing all their customizations was created and uploaded to a PUM image. Using the customization repository, the PUM image is now able to identify if the objects included in a change package have customization impact. These insights, available while creating the change package, enable their IT team to plan more effectively and streamline their selective adoption and maintenance.

University of South Florida

The University of South Florida is utilizing the PUM Automated Updates (PAU) feature to download and apply patches on-demand, keeping their PeopleSoft Update Manager (PUM) source up-to-date. This has proved to be much easier than manually downloading the PeopleSoft Release Patchset (PRP) zip archives and applying them to their PeopleSoft image the old way via Change Assistant.

Community Healthcare System in Northwest Indiana deployed OpenSearch and OpenSearch Dashboards.

Hennepin Healthcare

Hennepin Healthcare upgraded their PeopleSoft systems to PeopleTools 8.60.11. They moved their HCM and CRM systems to OpenSearch and OpenSearch Dashboards. The move from Elasticsearch and Kibana to OpenSearch and OpenSearch dashboards was smooth and they are seeing better performance on OpenSearch when compared to Elasticsearch. They plan to move their FSCM systems to OpenSearch and OpenSearch dashboards in a few months.

University of California, Berkeley

The University of California, Berkeley moved their PeopleSoft Financials system to OpenSearch. The transition from Elasticsearch to OpenSearch was smooth. They plan to move their Campus Solutions systems to OpenSearch later this year.

After moving to OCI, they are benefiting from several OCI services such as:

King County

King County moved all of their PeopleSoft systems including production, non-production, development, and disaster recovery to Oracle Cloud Infrastructure.

Peralta Colleges

Peralta Colleges moved their PeopleSoft systems from Microsoft SQL Server platform on Azure to Oracle DB on Oracle Cloud Infrastructure (OCI).

Saint Paul Public Schools

SNCF, France's national state-owned railway company, migrated its PeopleSoft system to Oracle Cloud Infrastructure, taking the initiative to reduce their carbon footprint while improving the profitability and servicing of their operations.

Sydney Catholic Schools

Sydney Catholic Schools, in conjunction with their partner Deloitte, successfully transitioned their PeopleSoft HCM and ELM systems from a third party cloud vendor to OCI reducing their hosting costs by 20%.

TriNet

TriNet, in conjunction with their partner Astute Business Solutions, migrated their entire workload including their PeopleSoft application to Oracle Cloud Infrastructure. This involved over 150 TB in data transferred from approximately 2,000 servers, 100 databases, and 100 applications including PeopleSoft. TriNet has deployed a multi-region disaster recovery solution and are using the ZFS storage appliance and file shares.

Overall, TriNet migrated:

  • 550 VMWare servers to OVCS (Oracle Cloud VMware Solution on OCI).
  • 25 Exadata databases to ExaCS (Exadata Cloud Service).
  • On-premises containers to OKE (Oracle Cloud Infrastructure Container Engine for Kubernetes).
  • Non-Exadata workloads to the Exadata platform.
  • OCVS to native OCI using RackWare and Oracle ISV.

TriNet is continuing its journey on OCI to optimize their cloud footprint and develop microservices and APIs to modernize their SaaS platform.

University of Tasmania

University of Tasmania moved their existing PeopleSoft systems from on premises to OCI, resulting in approximately 20% cost savings and approximately 30% performance improvement for critical pay processes like Time Admin, Payroll, and General Ledger.

Baird implemented PeopleSoft Kibana. Baird took inspiration from the delivered search indexes and Kibana visualizations, built custom detailed search indexes and visualizations, and then modified the labels on these to suit organizational terminology. Baird is a great example of what customers can do with search indexes and Kibana beyond what the applications teams deliver. Their implementation is an example for other customers to see the value and then leverage that investment.

Bupa

Bupa has deployed several PeopleSoft-delivered dashboards: Early Detection and Monitoring, Trend Analysis, and My Budget. Feedback from users has been positive. They love the look and feel and enjoy being able to easily use the dashboards to find what they need. Additionally, using delivered PeopleTools features, Bupa has developed custom dashboards for inventory and match exception. They plan to deploy more dashboards in the future.

Cape Cod Healthcare

Cape Cod Healthcare deployed the PeopleSoft-delivered Payroll dashboard.

Using delivered PeopleTools technology, Cape Cod Healthcare has also deployed the following custom dashboards:

  • HCM: An HR Metrics dashboard for their executive team leveraging data from their existing traditional fluid pivot grid-based dashboard. This allows their senior management team quick and easy access to high-level HR metrics that tie in directly with existing reporting where additional drill-in capability is available.
  • FSCM: A Purchase Order Receipt Accrual dashboard that has filters enabled on top categories, departments, and GL accounts, providing vendors with a model of the journal entry that gets created at the end of the month. This allows their partners to see in real time how corrections would affect the final results.
  • FSCM: A Savings Initiative dashboard that is set up with a custom page to enter information on specific initiatives on item price and utilization to show potential savings. This data is then used by the dashboard to show projected and actual savings based on each specific initiative. Additional graphs will show department and item-level detail.

Hennepin County

Hennepin County rolled out six PeopleSoft-delivered billing and receivables dashboards: Billing Operations, Billing Analysis, Accounts Receivables Collection Analysis, Collector, Collector Performance, and Collections Manager. These dashboards provide users the ability to see information easily and dynamically, and have received positive feedback.

Additionally, Hennepin County, in conjunction with their partner Astute Business Solutions, developed custom controller dashboards focusing on vouchers and payments. The visualizations and queries are built on a process that is run every morning.

Lakeland College

Lakeland College, in conjunction with their partner NTT DATA, used PeopleTools capabilities to create WorkCenters and Kibana dashboards for their PeopleSoft Campus Solutions system.

The WorkCenters created include important transactions and reports that each department group runs on a daily basis. WorkCenters have eliminated the time taken for these users to navigate through several pages, or to organize their long list of favorites The WorkCenters have provided them with a central place to complete their work and daily activities.

A Kibana dashboard for admissions application information was created using the PeopleTools-delivered framework. Seven visualization were created as part of the Admissions Statistic Dashboard:

  • Five tag cloud visualizations: Application admit terms, Campus, Year of study, Program level ownership, Citizenship status of DOM (domestic) or INT (international).
  • One stacked bar chart for Application unique count by program and program action.
  • One bar chart for Application unique count by program.

Creating Kibana dashboards with visualizations greatly reduced the manual effort required to query the data, extract into Excel, and the build charts. The dashboard allows management to monitor the data more frequently, rather than being dependent on a manual report production.

State of North Dakota

To support their implementation of Remote Worker functionality, the State of North Dakota created their first Kibana dashboard to help administrators easily understand where employees of agencies and departments are working.

Strategic Distribution, Inc. (SDI) upgraded their PeopleTools and implemented a custom dashboard for purchasing using PeopleSoft Kibana for total Purchase Order amount issued, Purchase Order status by business unit, Purchase Order status by supplier, and, Purchase Order hold status.

The School District of Lee County

The School District of Lee County Florida deployed the PeopleSoft-delivered Benefits Open Enrollment Insights dashboard. The benefits team was able to quickly see who had not processed their open enrollment elections during the district's recent annual open enrollment. Prior to using the dashboard, they created queries to pull in the information and ran them multiple times a day during the open enrollment period. The benefits team found the dashboard much more efficient to use and there was no need to keep updating spreadsheets for tracking. The School District of Lee County has also created additional insights for their users including one to track principal and assistant principal information and to track internal IT bugs and fixes.

AARP, in conjunction with their implementation partner Astute Business Solutions, has used PeopleSoft Test Framework to create end-to-end automated test scripts for asset management, eProcurement, expenses, purchasing, accounts receivable, accounts payable, billing, and general ledger modules. AARP started to use PeopleSoft Test Framework in 2016, and since then, AARP has been using it consistently for PeopleTools upgrades, PUM updates, database upgrades, new business unit implementations, and more. Using PeopleSoft Test Framework has resulted in increased coverage and increased accuracy of results, has reduced testing cycle times by 50%, and has resulted in 70% resource savings.

Community Healthcare System

Harvard University is using real-time indexing for menu searching with suggestions and recent menu selections. In addition, they are using content searching for job data, modify a person, and health benefit.

Los Rios Community College District

Los Rios Community College District upgraded to PeopleTools 8.59 and are now using PeopleSoft real-time indexing in production for search suggestions in keyword, recent menu items, and class search. Keyword and recent menu items search suggestions provided noticeable improvements in the navigation for users. Additionally, implementation of real-time indexing for class search has resulted in elimination of database resource spikes that used to occur during frequent incremental search index jobs.

Omaha Public Power District

Omaha Public Power District recently upgraded to PeopleTools 8.60.05 to take full advantage of the real-time indexing for recruiting. Enabling real-time indexing for the job opening and job posting indexes allows recruiters to see the job openings as soon as the recruiter hits save. They no longer have to wait overnight for a process to run.

Recruiting administrators at Omaha Public Power District took a look at the Insights dashboard delivered with PeopleSoft recruiting and were excited to start using it right away. Data that would have previously taken them days to collect can now be retrieved from the dashboard.

Cape Cod Healthcare

Cape Cod Healthcare is the leading provider of healthcare services for residents and visitors of Cape Cod, with more than 450 physicians, 5,300 employees and 1,100 volunteers. Cape Cod Healthcare deployed Health & Safety specifically to allow employees to report an injury or illness, their previous process was to collect information on a paper form. Through self-service, employees enter information about their incident and attach any supporting documentation. Notifications are automatically sent to the Health & Safety Admin for review and approval.

In 2022, Cape Cod Healthcare rolled out vaccine tracking allowing employees to submit their vaccination details through employee self-service.

College of Lake County

The College of Lake County is a comprehensive public community college committed to equitable high-quality education, cultural enrichment, and partnerships to advance the diverse communities it serves. The college has three campuses in Lake County, Illinois enrolling about 15,000 students and employing about 2,000 people.

The Governor of Illinois issued a state mandate that students and personnel must show proof of COVID-19 vaccination status or submit to weekly testing. College of Lake County knew it would be extremely burdensome to have the Health & Safety Administrator entering in hundreds of COVID-19 test results each week. So, to assist in the tracking of employee vaccination and weekly testing, College of Lake County quickly deployed Health & Safety's Employee Vaccination and Test Result Self Service feature. College of Lake County employees can now easily and quickly go into Employee Self Service (from their computer or their phone) and enter their COVID-19 test information on a weekly basis. Employees can also view their vaccination status in the vaccination tile.

Endeavour Foundation

Endeavour Foundation is a not-for-profit charity headquartered in Brisbane, Queensland, Australia. Their vision is to support people with an intellectual disability to live their best lives, to live active and fulfilling lives at home, to find employment compatible with their abilities, and to engage more broadly within the community.

The Endeavour Foundation, in conjunction with their partner Deloitte, utilized the Fluid Announcement tile to communicate to the foundation's employees that they could start entering in their vaccination information. In addition to COVID-19, employees also enter vaccinations for hepatitis B, influenza, and tetanus.

Vaccination tracking is part of the foundation's long-term strategy and they decided to have PeopleSoft HCM serve as the system of record for tracking this information. The biggest benefits were the ability for the employees to enter their own vaccination information with approvals and the ability to keep the data secure within PeopleSoft HCM. The Endeavour Foundation was able uptake this feature in a matter of weeks.

RSM

RSM is an audit and tax consulting firm, employing more than 11,000 in the U.S. and Canada. They deployed Health & Safety specifically to allow employees to report when they received their COVID vaccinations. Through self-service, employees enter information about their vaccination and attach proof. Notifications are automatically sent to the Benefits and Employee Relations departments as part of the approval process. The ability to track employee vaccinations is critical to RSM’s operations since they need to ensure that any employees assigned to a client site or planning to return to work at an RSM office are properly vaccinated ahead of time.

Temple University Health Systems, in conjunction with their partner SpearMC, implemented PeopleSoft health and safety to replace a third-party system that was in use for health and safety incident management. PeopleSoft health and safety provides self-service capabilities for employees to report health and safety incidents and an approval workflow process with email notifications. These are great value additions that increase efficiency for health and safety administration.

National Housing Bank, in conjunction with their partner 1218 Global, rolled out fluid ePerformance. This rollout of fluid ePerformance allows administrators, managers, and employees to access consolidated talent information within PeopleSoft HCM. They have used the delivered attachment framework and approvals, and have been successful in retiring customizations. They were also able to deploy the capability to review the budget prior to the opening of a position.

SavaSeniorCare

One of the largest U.S. providers of skilled nursing, memory care, and rehabilitative services—SavaSeniorCare—deployed Fluid Position Management. In so doing, they were able to remove some legacy customizations. One advantage of Fluid Position Management is that it allows effective sequencing to flow from the position to the job record. This reduces the number of correction mode activities for SavaSeniorCare HR Administrators while improving the historical accuracy and auditability of their position records.

White & Case

White & Case, in conjunction with their partner Version1, went live with PeopleSoft fluid position management as well as the primary incumbent functionality. White & Case chose fluid position management because they needed the ability to utilize effective sequence while updating position information. White & Case also found great value in being able to mark the primary incumbent of a position, which is something they had not been able to do in the past utilizing classic position management capabilities.

Mutual of Omaha

Mutual of Omaha, a well-known insurance and financial services company, implemented fluid timesheet to enable employees to complete their own time entry. This self-service method streamlined the process by allowing employees to report their hours directly to Payroll. With the fluid timesheet, Mutual of Omaha turned on real-time rules to replace a customization that prevented employees from exceeding their vacation balance limit. Introducing the self-service fluid timesheet has improved the efficiency and accuracy of time entry for the company.

State of Montana

The State of Montana didn't find it easy to replace a timesheet that their employees had long grown used to, but in the end they were able to implement a fluid timesheet that gives their time reporters a more modern user experience and the ability to access it through mobile devices. Jack Henry and Associates

Jack Henry and Associates, a technology solutions and services provider for financial institutions, implemented three Fluid WorkCenters - Payroll, Benefits, and Time and Labor. While the Payroll staff had previously used the classic version before, the Benefits staff and Time and Labor Managers, about 19% of their employee base, were new to the concept. The response from all of the users has been very positive. The WorkCenters are intuitive, provide a modern look and feel, make running queries and reports much easier for the super user or a manager, and provides a flow for ensuing all processes are completed. The exception section under My Work with the Alert numbers in the Time and Labor WorkCenter provides a quick review and has increased the number of managers actually reviewing exceptions. It saves clicks because managers no longer have to search for anything to know if there is work to be done.

UMass is a five-campus public university system with 73,000 students and the only public research system in the Commonwealth of Massachusetts. UMass selectively adopted the HR Notifications feature originally delivered in HCM Image 34 because they needed a way to send monthly email updates to selected, large groups of employees for: Tax Withholding W-4 form renewals, Direct Deposit sign-ups, and Notification when paychecks have been processed. Prior to this, UMass would largely handle these notifications through multiple queries and manually sending out emails from their Help Desk. Notable advantages UMass observed were that HR Notifications included formatting options for the emails, logging capabilities for notifications, and that someone with a functional role could manage the process.

Evergy

Evergy is the largest electric company in the state of Kansas in the U.S., serving more than 1.6 million residential, commercial and industrial customers. In May 2019, Forbes named Evergy as one of America's Best Top 500 Employers.

Since Evergy has a large union population and a limited HR staff, managers performed the majority of job data transactions on the employee's behalf using Smart HR. With the rollout of Fluid Job Data, Evergy was able to streamline the data entry process for managers using Page and Field Configurator (PFC) by limiting the fields required for data entry. Managers liked seeing the employee's photo and the current and proposed changes side-by-side before submitting the transaction for approval.

Deploying Fluid Job Data has given Evergy an opportunity to take advantage of the new configurable search and the ability to hide, mask, and grey out fields by transactions using Page and Field Configurator.

Harris Health System

Harris Health System implemented fluid job data. Implementing fluid job data was one of the early steps in making their PeopleSoft application accessible outside the desktop. For the business, it has expanded their search capability through which they can save frequent searches to be used as quick filters, rather running a complete query or report to view results. The guided component helps their users to review the required pages upon adding or updating a row of data. The guide has two new pages that assist with their data entry such as validations with the ability to review a summary of the changes before the transaction is submitted.

J. Paul Getty Trust

The J. Paul Getty Trust implemented PeopleSoft Fluid Job Data. The new enhancements to Job Data, such as configurable search, attachments, approvals, and using Page and Field Configurator to hide or mask fields by Job Data transactions, results in a simple to use, intuitive application for HR administrators and clerks to perform various job data request transactions.

McLane Company, Inc.

McLane Company, Inc. is one of the largest supply chain services leaders in the United States, providing grocery and foodservice solutions for convenience stores, mass merchants, drug stores and chain restaurants. McLane Company tested and deployed Fluid job data within one week. This deployment of their most important component in PeopleSoft HCM gives them the new a user experience for their administrators and the ability to stay current with job data features and functionality. Deploying Fluid job data has given McLane an opportunity to take advantage of the new configurable search and the ability to hide, mask, and grey out fields by transactions using Page and Field Configurator.

During the pandemic, UMass also found other ways to leverage Paysheet Updates such as paying emergency earnings, parking refunds, and other unexpected payments to employees by having the process create off-cycle paysheets automatically.

Cape Cod Healthcare

Cape Cod Healthcare deployed the PeopleSoft-delivered Payroll dashboard.

Using delivered PeopleTools technology, Cape Cod Healthcare has also deployed the following custom dashboards:

  • HCM: An HR Metrics dashboard for their executive team leveraging data from their existing traditional fluid pivot grid-based dashboard. This allows their senior management team quick and easy access to high-level HR metrics that tie in directly with existing reporting where additional drill-in capability is available.
  • FSCM: A Purchase Order Receipt Accrual dashboard that has filters enabled on top categories, departments, and GL accounts, providing vendors with a model of the journal entry that gets created at the end of the month. This allows their partners to see in real time how corrections would affect the final results.
  • FSCM: A Savings Initiative dashboard that is set up with a custom page to enter information on specific initiatives on item price and utilization to show potential savings. This data is then used by the dashboard to show projected and actual savings based on each specific initiative. Additional graphs will show department and item-level detail.

Harvard University is a private Ivy League research university in Cambridge, Massachusetts. Harvard University has deployed Workforce Composition Kibana analytic dashboard. Harvard University's deployment of Workforce Composition dashboard in Kibana provides them with different visualizations to analyze employee composition data. These visualizations include display of employees by department, full-time versus part-time employees, by regular versus temporary employees, and a total employee count.

The School District of Lee County

The School District of Lee County Florida deployed the PeopleSoft-delivered Benefits Open Enrollment Insights dashboard. The benefits team was able to quickly see who had not processed their open enrollment elections during the district's recent annual open enrollment. Prior to using the dashboard, they created queries to pull in the information and ran them multiple times a day during the open enrollment period. The benefits team found the dashboard much more efficient to use and there was no need to keep updating spreadsheets for tracking. The School District of Lee County has also created additional insights for their users including one to track principal and assistant principal information and to track internal IT bugs and fixes.

Big Lots

Big Lots Stores, Inc. is an American retail company headquartered in Columbus, Ohio with over 1,400 stores in 47 states. As Big Lots administered return-to-work using a hybrid model, Big Lots went live with Employee Remote Worker starting in January 2022. With the reporting of employee location being an employee responsibility at Big Lots, the remote worker feature in PeopleSoft HCM allowed Big Lots to record employee work location and use it for payroll and tax purposes.

Clackamas County

When Clackamas County decided to implement telework as a permanent policy, they required each employee to complete a paper form with all the information and acknowledgement of the conditions of the telework agreement. What this meant for the County was collecting a form for every employee, data entry in an Excel spreadsheet, filing each form in the employee's personnel file, and then updating this manually anytime there was a change or with each new employee. This paper form would have created a huge workload and burden on HR as well as departments, manual processes, lost forms, and so on. With the PeopleSoft Remote Worker feature, employees and supervisors can manage the submission and approval of the telework agreement, and the County is able to provide real-time reporting to department and senior leadership on details of which employees are working remotely, when, and how often. Additionally, employees and supervisors can view their agreement at any time through Employee Self Service.

The State of Connecticut has implemented Business Process Weaver functionality to simplify month-end accounting period closing for Asset Management. This has dramatically expedited the task as it eliminates the need for ad hoc individual steps and instead runs them in sequence while also reusing the same process run control and Process Weaver ID. Steps can be re-initiated should they error out after troubleshooting fixes. Relevant parties are notified via email as each step completes. There's an elimination of the possibility that users change data while closing without the need to lock them out or begin the process after hours. And the whole process even pauses at one point to allow the functional team time to update the active accounting periods. Month-end accounting period closing for Asset Management at the State of Connecticut has been made more accurate, efficient, and convenient with Business Process Weaver.

The School District of Lee County implemented PeopleSoft Asset Tracking, eliminating the need for and cost of a third-party system. PeopleSoft Fluid Asset Tracking allows real-time processing and lookup of physical inventory. It also maintains necessary controls for all over or under discrepancies identified within the inventory capture. With PeopleSoft Fluid Asset Tracking, the School District of Lee County can find the exact location of assets without having to run additional reports.

State of Connecticut

The State of Connecticut, in conjunction with their implementation partner Accenture, successfully utilized PeopleSoft Asset Tracking to transition from older, outdated and disconnected manual asset tracking solutions. This has allowed them to utilize the latest portable mobile devices to communicate directly with their Asset Repository in real time. Users have enjoyed both the new convenience and data collection accuracy.

State of Oklahoma Department of Human Services (OKDHS)

Oklahoma Department of Human Services (OKDHS), in conjunction with their partner MIPRO Consulting, migrated from their existing legacy financial system to the State of Oklahoma's enterprise PeopleSoft environment, including the use of some features that the State had not yet deployed. The implementation of the Fluid Asset Tracking module has benefited OKDHS in numerous ways, including: increased accountability, transparency, and efficiency for the agency. Prior to implementation, the purchasing system was not tied to the manual asset tracking system, and therefore required a very time consuming and manual process to review all purchasing transactions by account code and unit cost.Through automation, the Fluid Asset Tracking module has saved the agency internal processing time, while also reducing error rates for both purchasing and asset tracking. Additionally, the implementation has enhanced both the visibility and transparency of the information shared with other state agencies, such as the Office of Management and Enterprise Services (OMES) asset management team.

The University of California, Berkeley implemented manage customer contracts in fluid. It brings contract billing, revenue, and prepaids into a common interface with the ability to clear exceptions and run processes for revenue recognition and billing. Various contract and award attributes are also visible. Related content for invoices, revenue, and vouchers is available to help answer ad hoc inquiries. Search and selection of contracts is based on user-specific criteria, so each contract administrator, biller, and others can have a dynamic list of contracts in their area of responsibility.

Bupa

Bupa has deployed several PeopleSoft-delivered dashboards: Early Detection and Monitoring, Trend Analysis, and My Budget. Feedback from users has been positive. They love the look and feel and enjoy being able to easily use the dashboards to find what they need. Additionally, using delivered PeopleTools features, Bupa has developed custom dashboards for inventory and match exception. They plan to deploy more dashboards in the future.

Hennepin County

Hennepin County rolled out six PeopleSoft-delivered billing and receivables dashboards: Billing Operations, Billing Analysis, Accounts Receivables Collection Analysis, Collector, Collector Performance, and Collections Manager. These dashboards provide users the ability to see information easily and dynamically, and have received positive feedback.

Additionally, Hennepin County, in conjunction with their partner Astute Business Solutions, developed custom controller dashboards focusing on vouchers and payments. The visualizations and queries are built on a process that is run every morning.

UMass Chan Medical School New

UMass Chan Medical School has actively embraced and integrated the latest functionalities offered by PeopleTools in its Campus Solutions implementation.

UMass Chan Medical School has utilized the PeopleTools-delivered activity guide framework to streamline the student onboarding process. All orientation and matriculation tasks are configured using activity guides, providing clear access to update information. This approach has eliminated the need for students to make in-person visits to various academic offices during onboarding. Incoming students can now conveniently complete required tasks online, including uploading pictures for ID badges, recording name pronunciation, submitting health-related documents for clearance, and providing other necessary information.

Birla Institute of Technology & Science (BITS) Pilani

PeopleSoft Campus Solutions 9.2 is used at Birla Institute of Technology & Science (BITS) Pilani for managing over 15,000 students and their curriculum across their campuses in India and Dubai. While upgrading PeopleSoft Campus Solutions from 9.0 to 9.2, in conjunction with their partner Kovaion Consulting, introduced self-service was introduced for students. This has resulted in:

Lakeland College

Lakeland College, in conjunction with their partner NTT DATA, implemented PeopleSoft fluid self-service for students in Campus Solutions.

They implemented delivered fluid tiles and related functionalities for profiles, tasks, academic records, and financial accounts. Additionally, they deployed other classic pages as tiles on the student homepage like change my password, forgot password hints, and custom help and FAQs.

Implementing fluid self-service for students greatly improved the user experience and gave students the ability to use mobile devices for critical transactions. The ability to use mobile devices to update contact information and view class schedules and other academic records like grades and transcripts have greatly enhanced the student experience at Lakeland. Moving forward, Lakeland College plans to deploy fluid pages to allow students to make fee payments.

The Northern Alberta Institute of Technology

The Northern Alberta Institute of Technology (NAIT), in conjunction with their partner NTT DATA, implemented a fluid activity guide in PeopleSoft Campus Solutions. Students see the activity guide in their task tile in self service. The pages guide students through the process of applying for entrance awards at NAIT. Entrance awards are offered to incoming students to help with the costs of post-secondary education. The award application process has been simplified by leveraging the intuitive activity guide functionality. The PeopleSoft pages allow the students to select awards preconfigured with questions and possible answers. The activity guide dynamically populates the questions page with the questions based on the awards selected by the students. Some of the selected awards have criteria to provide supporting documents or an essay. This feature was delivered by enabling the attachment framework for each award. The activity guide enables students to answer any required questions, provide additional information, and to save and revisit their applications later. It also enables the supervisor to identify eligible students based on the answers and supporting documents provided.
