The State of Oklahoma Health Care Authority expanded the use of PeopleSoft ERP modules

Summary

The State of Oklahoma Health Care Authority (OHCA) and Office of Management and Enterprise Services (OMES), in conjunction with their partner MIPRO, expanded the use of the General Ledger, Accounts Payable, Accounts Receivable, Billing, Purchasing, Contracts, Project Costing, and Grants modules to The Oklahoma Health Care Authority. The project went live in August 2024.

The Oklahoma Health Care Authority (OHCA) had been using a legacy financial system, which included several external spreadsheets and processes to manage their financial needs. The State of Oklahoma OMES had standardized on PeopleSoft as the state's financial system, so OHCA had the need to migrate to the statewide PeopleSoft ERP system. OHCA and OMES teamed with MIPRO to provide the PeopleSoft expertise, and they teamed with Oracle to provide support for the PeopleSoft OCI environment. MIPRO led the effort to identify the business requirements that were needed for OHCA and develop a plan to implement PeopleSoft in a manner that met the needs of OHCA yet fit within the statewide standards set by OMES.

The move to PeopleSoft provided OHCA with many improvements in efficiencies and new functionality. Some of the benefits of the new system include:

  • Elimination of dual entry for procurement transactions saves 5-10 minutes per transaction.
  • Automated interfaces to external systems save about 10 hours per week in data preparation and transaction entry.
  • Grant reporting can now be done within the PeopleSoft environment versus maintaining Excel spreadsheets.
  • Financial reporting is now maintained in the PeopleSoft environment versus Excel spreadsheets providing greater transparency and accessibility of financial data across the organization.
  • OHCA now meets the State of Oklahoma’s standards for system platform and financial reporting.

An additional benefit of migrating to the statewide PeopleSoft platform is that ODWC can be supported by OMES in a consistent manner like the other agencies on the PeopleSoft system. Due to that support, OWDC can take advantage of new features and capabilities more easily as well as stay current on security updates, patches, and other infrastructure-related updates without having to manage those within their department.
