Summary
Sarasota Memorial Health Care System (SMH) has implemented the PeopleSoft fluid project request feature, replacing their paper-based capital project request form. They used PeopleSoft Page and Field Configurator and event mapping utilities to tailor and extend functionality to meet the unique needs of the organization. In addition, project costing Insights were deployed providing project administrators flexible budget to actual reporting.

SMH has been live with project costing for seven years. We were excited to hear about the recent release of the fluid project request feature as we were looking for alternatives to our existing paper-based capital project request and approvals process.
We have successfully deployed the project request with some bolt-on functionality within a few months. We were able to use Page and Field Configurator and event mapping to tailor the project request. We were also able to incorporate a bolt-on capital budgeting with the project request, incorporate approval workflow, and develop new capital budget versus project request reporting in Insights.
With this deployment, we retired our capital project request paper form, inter-office mail, manual approval process, manual project creation, and manual reporting. The new self-service project request feature provides a seamless electronic process to:
- Request new projects and tie the project to a capital budget item.
- Assign individuals to the project team.
- Attach project documents deemed essential to the approval process.
- Validate requests with the annual capital budget.
- Create project request approval routings based on budget amount and project attributes.
- Automatically create projects, activities, and budget plans after final approval.
- Notify project requester, finance capital lead, and project manager upon approval and creation of the project.
- Track the project approval status online.
- Create new reports that show the capital budget versus projects created against the budget.
We used Page and Field Configurator and event mapping to hide delivered fields that we do not use. We also added a printable report to the approver summarizing the request.
